Where you spend your time

Your time is money

We know how your week actually goes

Most accounting firms are not short on clients; they are short on time. Chasing client documents, reconciling bank feeds, managing payroll deadlines, and preparing financial statements fill every week before the real advisory work begins.

Actionist builds AI agents for accounting firms that handle your digital work, so your team can focus on analysis, advice, and the client relationships that grow the practice.

What matters to you
  • Client documents in on time
Chasing receipts and bank statements costs hours every month-end close.
  • Reconciliations that close clean
A clear trial balance is the foundation every engagement depends on.
  • Tax deadlines met without the scramble
Filing on time protects clients and keeps the practice out of trouble.
  • Payroll runs without errors
One payroll mistake costs far more to fix than the time saved by cutting corners.
  • Invoices out, cash collected
WIP and outstanding fees are revenue only if someone follows them up.
  • Built around your practice
These are examples. Build a custom agent for any job your team repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Accounting Firms team's day.

Triggers and Reactions

Your Agent wakes up Automatically whenever something happens

WhenA new client enquiry landsfires within about a minute
The agent automatically

When a potential client submits your contact form or emails the practice, the agent reads the message within about a minute, assesses the entity type, services needed, and client size, drafts a fee proposal in your standard format, and queues it for partner review. Every proposal waits for your one-pass approval before it reaches the prospect, so you stay in control of pricing while the practice responds the same day.

What your agent runs for you

  • Operations
    120 min / week
    Chasing missing client documents

An accountant emails and calls clients one by one each month to collect the bank statements, receipts, and payroll data needed to begin work, tracking who has responded in a spreadsheet.

    Operations Agent
    0 min
Agent runs the chase on a schedule

An agent checks the outstanding document list each week, drafts the graded reminder for each client, and queues each for approval before it sends.

  • Finance
    150 min / week
    Reconciling bank feeds

A bookkeeper matches every bank transaction to the right account code and supplier, one line at a time, every day or in a weekly pile-up that takes the whole morning.

    Finance Agent
    0 min
    Agent reconciles the feed daily

An agent reads the bank feed each morning, matches transactions, and flags only the ones it cannot resolve, so the bookkeeper reviews exceptions rather than the whole list.

  • Customer Support
    90 min / week
    Chasing overdue client invoices

An accountant checks the aged debtors report and writes individual reminder emails, avoiding the conversation, deferring it, or sending the same generic message to everyone.

    Customer Support Agent
    0 min
Agent sends graded reminders on schedule

An agent checks the debtor ageing weekly, drafts the right reminder at 30, 60, and 90 days, and queues each for partner approval before sending.

  • Finance
    120 min / week
    Preparing management accounts

An accountant spends an evening pulling data from the accounting system into a spreadsheet, formatting it to the template, and writing the narrative, usually after hours when the client is already waiting.

    Finance Agent
    0 min
Agent assembles the pack on deadline

An agent pulls the period P&L and balance sheet, populates the template, and drafts the narrative, with the partner reviewing and approving before delivery.

  • Sales
    60 min / week
    Writing new-client fee proposals

A partner sets aside time to write each proposal by hand, sometimes days after the enquiry arrives, which lets good prospects go to the firm that responded first.

    Sales Agent
    0 min
Agent drafts the proposal the same day

An agent reads each enquiry, assesses the scope, and drafts a fee proposal in the practice format, queued for the partner to review and send the same day.

Trust & control

You stay in control

An AI agent works in your real client files and accounting systems, so staying in control is not optional. Actionist is built to be supervised: you decide how much each agent does on its own, you approve what reaches a client, and every step is recorded for you to check.

You set the supervision

Choose how much each agent does on its own, from drafting for approval to handling trusted routine work. Destructive actions like deleting a record always ask first, and that cannot be turned off.

Approve from your phone

Agents can reach you over Telegram or Slack, so you approve a client email or an action with one tap, from wherever you are.

Every run is logged

Each run is recorded step by step, with screenshots and a full transcript, so you can see exactly what the agent read and did with a client's records.

Your data stays yours

Credentials are encrypted in a vault and never shown again, memory stays on your own machine, and you can self-host Actionist on your own server.

FAQ

Frequently asked questions

Will it actually keep up with the document chasing, or will clients just ignore an automated message?
The chasing drafts are written in your voice and reviewed by you before they send, so clients receive a message that sounds like your practice, not a bot. The agent drafts the right tone for each stage: friendly at seven days, firmer at fourteen, and clear at twenty-one. You approve before anything reaches the client, so the timing and wording stay professional. Clients who regularly miss document deadlines still need a human conversation, and the agent knows to flag those for you rather than keep sending automatically.
We use a practice management system that nothing else integrates with. Will it still work?
Almost certainly. Actionist operates your tools the way a person does, by reading the screen and clicking, typing, and navigating, so it reaches software with no API at all: your practice management system, your legacy payroll platform, the client portals your clients log into. Where an app offers a clean connection it uses it; where it does not, the desktop agent works the screen directly, with your approval on anything that matters. Screen automation runs on the desktop app.
Will it send something to a client without a partner seeing it first?
Not unless you decide it should. By default every client-facing message (a fee proposal, a document chase, a billing reminder, a status update) is drafted and waits for your approval. Approval Modes let you move at your own pace: from suggest for every message, to ask each time, to guarded auto for trusted routine tasks like filing reminders. Anything irreversible, like cancelling an engagement or deleting a record, always asks first and that cannot be turned off. You approve from Telegram or Slack, so one tap from any device is all it takes.
We have clients who send documents late at night. Will the agent pick them up if the office is closed?
On the desktop app, an agent works while the app is open. To cover the practice outside office hours, you move that agent to the hosted cloud runtime on a paid plan and it keeps reading the inbox, filing documents, and sending the first acknowledgement while the office is closed. You still set the approval rules, so client-facing messages always wait for the morning sign-off if that is what you prefer.
Is this here to replace our accountants and bookkeepers?
No. It takes over the administration, not the professional judgement. The work it removes is the part of the week your team already finds least rewarding: chasing clients for documents they should have sent two weeks ago, re-keying data that already exists somewhere else, and formatting reports that follow a template. Hand that to an agent and your accountants spend their time on the analysis, advice, and client relationships that actually grow the practice. A small firm ends up with the output of a much larger one without adding headcount.
Can I build an agent for a specific task our practice does that is not shown here?
Yes. The examples on this page are starting points, not the limit. You can build a custom AI agent for accounting firms around any task your practice repeats: preparing the VAT return working file, chasing a specific client who is always late, posting the month-end payroll journal, running the accounts-payable approval process, or sending the annual tax-planning letter. You describe the job in plain English, connect the apps it needs, and set when it runs. Most practices start with the task that wastes the most time each month and add more as the first agent proves out.
Is our client data kept private and secure?
Your data stays yours. Credentials for every app are encrypted in a vault and never shown again, the agent's memory of your client base and practice workflows stays on your own machine, and your data is never used to train models. Every action an agent takes is logged step by step with screenshots and a transcript, so you can see exactly what it accessed and did. If you need everything on your own infrastructure, you can self-host Actionist on your own server.
Our team is not technical at all. How long does it take to get a first agent working?
No code required, and most practices have a first agent running the same day. Connecting an app like Xero or Gmail is a guided click-and-approve step that takes about a minute. Briefing the agent works like briefing a new member of staff: you describe the job in plain English, tell it which apps to use, and set when it runs. Start it in approval mode so every output comes to you first, then extend its autonomy as it earns your trust. Most practices start with the document-chase workflow because the time it saves is immediate and visible.
What does it cost, and does it make sense for a small practice?
It is designed to pay for itself in hours back. A typical accounting practice agent lifts five to ten hours of admin off the team each week, and the document-chase alone tends to shorten month-end close by days. What you pay scales with how many agents you run and whether any operate unattended in the cloud, so most practices start with one agent on their biggest bottleneck and expand from there. Book a free demo and we will map the time and cost it would save you against your own practice numbers.
