01

Where you spend your time

Your time is money

We know how your week actually goes

Most construction businesses are not short on work; they are short on time to manage it. Estimates, change orders, subcontractor coordination, RFIs, progress billing, and client updates fill the week before a single nail is driven.

Actionist builds AI agents for Construction that handle your digital work, so your team can focus on the job site and the quality of the build.

What matters to you
  • Bids that close faster
The contractor who follows up first and clearest usually wins the job.
  • Change orders captured every time
Undocumented scope changes are where margin disappears on every project.
  • Subs that show up on schedule
A single late subcontractor can cascade delays across the whole site.
  • Progress billing sent on time
Cash flow lives and dies on invoices going out the day milestones are hit.
  • Clients kept in the loop
Regular site updates prevent the call that derails your whole afternoon.
  • Built around your team
These are examples. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Construction team's day.

Triggers and Reactions

Your Agent wakes up Automatically whenever something happens

WhenA new project enquiry landsfires within about a minute
The agent automatically

When a new project enquiry arrives by email or contact form, the agent reads it within about a minute, scores it against your project type, location, and budget criteria, logs it to your pipeline, and drafts a warm first reply offering a survey date from the estimator's calendar. Every reply waits for your one-pass approval before it reaches the prospect.

With Actionist

What your agent runs for you

  • Sales
    90 min / week
    Following up submitted estimates

Estimators submit a bid and then rely on memory or a sticky note to follow up. Prospects who don't reply within a week quietly award the job to a faster competitor.

    Sales Agent
    0 min
Agent follows up every bid on schedule

An agent tracks every submitted estimate and drafts a timely follow-up for each unanswered bid, queued for approval, so no prospect goes cold by default.

  • Operations
    90 min / week
Documenting change orders after the fact

Extra work starts on a verbal instruction. The change order gets written up days later, the client disputes the cost, and margin disappears while the argument is resolved.

    Operations Agent
    0 min
Agent drafts the change order before work starts

When a client requests additional scope, an agent drafts the change order with revised cost and programme impact immediately, queued for approval and signature before any work begins.

  • Finance
    60 min / week
    Sending progress billing invoices

A milestone is completed but the invoice goes out a week late because no one remembered to raise it. Cash flow suffers and the end-of-month reconciliation becomes a scramble.

    Finance Agent
    0 min
Agent sends the invoice on milestone completion

An agent monitors project milestones and drafts the progress invoice with the correct retention deduction the same week a stage is signed off, queued for approval.

  • Admin & Front Office
    60 min / week
    Filing project documents and drawings

Certificates, drawing revisions, and signed contracts pile up in the shared inbox and get filed in a rush. When an auditor or client asks for a document, it takes an hour to find it.

    Admin & Front Office Agent
    0 min
Agent renames and files every document

An agent renames each certificate, drawing, and signed contract to your convention and files it in the right project folder in Drive as it arrives, so it is always findable.

  • Customer Support
    75 min / week
    Writing weekly project updates

Project managers are too busy on site to write the client update. It gets skipped, the client calls for an update, and the PM loses an hour on the phone instead of on site.

    Customer Support Agent
    0 min
    Agent assembles the weekly update

An agent compiles the week's site progress into a clear client update for each active project and queues it for the PM's approval before it sends.

Trust & control

You stay in control

An AI agent works in your real project systems, so staying in control matters on every job. Actionist is built to be supervised: you decide how much each agent does on its own, you approve what reaches a client or subcontractor, and every step is recorded for you to check.

You set the supervision

From drafting for your approval to handling trusted routine work. Anything destructive, like cancelling a booking, always asks first, which cannot be turned off.

Approve from your phone

Agents can reach you over Telegram or Slack, so you approve a reply or an action with one tap, from the site or the office.

Every run is logged

Each run is recorded step by step, with screenshots and a full transcript, so you can see exactly what the agent read and did.

Your data stays yours

Credentials are encrypted in a vault and never shown again, memory stays on your own machine, and you can self-host Actionist on your own server.

FAQ

Frequently asked questions

Will it actually follow up our estimates fast enough to win the job?
Yes, and speed is the whole point. The agent watches your inbox and picks up a new project enquiry within about a minute, whatever the hour. It reads the enquiry, matches it to the right project type, drafts a warm first reply with a survey booking offer, and logs the lead to your pipeline. You teach it your qualifying questions and criteria once, and until you trust it every reply waits for your approval. A prospect who hears back within minutes instead of the next business day is far more likely to book a survey with you than the competitor who replies tomorrow.
We use Jobber and our own spreadsheets and nothing else connects to them. Will Actionist still work?
Almost certainly. Actionist operates your tools the way a person does, by reading the screen and clicking, typing, and navigating, so it reaches software with no public API at all: your job management system, the subcontractor portals your main contractor requires, the scheduling programme your site team already uses. Where an app offers a clean connection it uses it; where it does not, the desktop agent simply works the screen, with your approval. You do not rip anything out or wait for an integration to be built. Screen automation runs on the desktop app.
Will it send a message to a client or subcontractor without me seeing it first?
Not unless you decide it should. By default every reply, change order, and client update is drafted and waits for your approval. Approval Modes let you move at your own pace: from suggest, to ask each time, to a guarded auto for trusted routine jobs. Anything irreversible, like cancelling a booking or sending a final invoice, always asks first, which cannot be turned off. Agents reach you on Telegram or Slack so you can approve or reword with one tap from the site.
What happens to enquiries that come in at night or at the weekend?
That is when most residential enquiries arrive. On the desktop app an agent works while the app is open. To cover evenings, nights, and weekends unattended, you move that agent to the hosted cloud runtime on a paid plan and it keeps reading enquiries, drafting replies, and logging leads while your laptop is closed. You stay in approval mode either way, so nothing reaches a prospect without the sign-off you have set.
Is this going to replace our project managers and estimators?
No. It takes over the admin, not the judgement. The work it removes is the part of the day your team already resents: typing follow-up emails one by one, chasing certificates, filing documents, writing up change orders, and pulling together the client update. Hand that to an agent and your PMs spend their hours where only a person wins: reading the site, managing subcontractor relationships, and spotting the problem before it becomes a claim. A small office ends up with the output of a much larger one.
Can I build an agent for the way our business actually works?
Yes. The teams and jobs shown on this page are a starting point, not the limit. You can build a custom AI agent for construction around any task your business repeats: chasing a subcontractor for a missing certificate, raising a retention release when the defects period ends, updating the drawing register when a new revision arrives, or sending the weekly site report to the client. You describe the job in plain English, tell it which apps to use and when to run, and it handles that work on a schedule or when something triggers it. Most businesses start with one agent on their biggest time-sink and add more as they see what it saves.
Is our client and project data kept private?
Your data stays yours. Credentials are encrypted in a vault and never shown again, the agent's memory of how your business works stays on your own machine, and your data is never used to train models. Every action an agent takes is logged step by step with screenshots, so you can see exactly what it read and did. If you need everything to stay on your own infrastructure, you can self-host Actionist on your own server.
Does my team need to be technical, and how fast can we get started?
No code, and most construction businesses have their first agent working the same day. If you can brief a new subcontractor, you can brief an agent: you describe the job in plain English. Connecting an app like your job management system or inbox is a guided click-and-approve step that takes about a minute. You keep the agent in approval mode while you build trust, then hand over the routine admin once it has earned it.
What does it cost, and is it worth it for a small construction business?
It is built to pay for itself in hours back. A single agent typically lifts five or more hours of admin off each team member each week, and the bid follow-up alone tends to recover jobs that would have gone cold before anyone remembered to chase. What you pay scales with how many agents you run and whether any run unattended in the cloud, so most businesses start with one agent on whatever wastes the most time and add more as it proves out. Book a free demo and we will run it on a real enquiry from your inbox and map the time and cost it would save you.
