New lead to CRM and rep alert within a minute

When a new Facebook lead arrives, the agent retrieves the full form submission, creates or updates the contact in HubSpot with every field value, posts a formatted lead summary to the #new-leads Slack channel, and schedules a follow-up call on the assigned rep's Google Calendar — all within about a minute of the form submission.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    60 min / week
Manual lead download and CRM entry

Sales reps manually download leads from Ads Manager, open the CRM, and create each contact by hand — a process that takes 5 to 15 minutes per lead and often happens hours after the submission.

    Sales Agent
    0 min
Agent routes leads to CRM within about a minute

When a Facebook lead form is submitted, the agent retrieves the full field data and creates the CRM contact automatically — the rep sees a new lead in their pipeline before the next email check.

  • Marketing
    60 min / week
    Manual weekly performance reporting

The marketing team logs into Ads Manager, selects each campaign, exports the data to CSV, and manually assembles the cost-per-lead table in a spreadsheet — 45 to 90 minutes every Monday morning.

    Marketing Agent
    0 min
Agent delivers the weekly CPL report automatically

Every Monday the marketing agent retrieves performance data for all active Lead Ads, calculates cost-per-lead by campaign, and posts the results to Slack and the dashboard — no manual Ads Manager export required.

  • Customer Support
    30 min / week
    Manual ad comment monitoring

Support managers periodically check the comments on active Facebook Lead Ads, copy the customer's details, and create helpdesk tickets by hand — comments often go unread for hours.

    Customer Support Agent
    0 min
Agent creates tickets from ad comments within a minute

When a customer comments on a Lead Ad with a support query, the agent creates a helpdesk ticket within about a minute — no support manager needs to monitor ad comment threads manually.

  • Human Resources
    45 min / week
    Manual applicant processing

HR manually downloads leads from recruitment campaigns, reviews each application, enters candidate details into the ATS, and sends acknowledgement emails — a process that can take a full morning for a busy week of applications.

    Human Resources Agent
    0 min
Agent logs every applicant to ATS and sends acknowledgement

When a recruitment lead form is submitted, the agent logs the application to the ATS tracker and sends an acknowledgement email within about a minute — candidates receive a response before the HR team has opened their inbox.

  • Finance
    20 min / week
    Manual monthly ROAS calculation

Finance exports campaign spend from Ads Manager, requests lead counts from the marketing team, and manually calculates ROAS in the finance model — a process that consumes 60 to 90 minutes and depends on inter-team coordination.

    Finance Agent
    0 min
Agent calculates ROAS from lead ad data automatically

At month end, the finance agent pulls campaign spend and lead counts, writes the data to the finance model, and appends the return-on-ad-spend calculation to the board report — no manual Ads Manager exports needed.

  • Operations
    40 min / week
Manual lead form and campaign inventory management

Operations manually reviews active campaigns and lead forms in Ads Manager to check delivery status and form configuration — a time-consuming process done irregularly because it competes with other tasks.

    Operations Agent
    0 min
Agent audits all lead forms for delivery and configuration weekly

Each week the operations agent retrieves all active lead forms, checks their configuration and delivery status, and flags any orphaned or misconfigured forms — the registry stays current without a manual Ads Manager visit.

  • Legal
    25 min / week
    Manual lead form consent review

Legal manually reviews each active lead form for consent language compliance — a check that happens infrequently because it requires logging into Ads Manager and reviewing each form individually.

    Legal Agent
    0 min
Agent runs the consent compliance audit on every form weekly

Each week the legal agent retrieves all active lead forms, verifies that every form has a valid consent question and privacy policy URL, and flags non-compliant forms before they collect another lead without proper consent.

FAQs

Questions about Facebook Lead Ads (for Business admins) + Actionist

How does Actionist connect to Facebook Lead Ads?
Go to the Apps tab, find Facebook Lead Ads (for Business admins), and click Connect. The recommended path is OAuth — Actionist opens a Facebook authorisation window, you log in as a Business admin, grant the required Page and Lead Ads permissions, and the agent gains access to your lead forms and ad data. You must be an admin on the Facebook Business Manager account and have admin access to the Pages whose lead forms you want to manage.
What Facebook permissions does the agent need?
The agent requires the following Facebook permissions: pages_manage_ads (to read and manage ads on your Pages), pages_read_engagement (to read Page data), leads_retrieval (to access lead form submissions), and ads_management (to pull ad statistics and campaign data). These are requested together during the OAuth flow. Without leads_retrieval specifically, the agent cannot read form submission data.
How quickly does Actionist detect a new Facebook lead?
The New Lead trigger polls your lead forms within about a minute of a submission arriving. Facebook does not push lead data in real time — the trigger checks the lead form's submissions on a polling cadence and fires when new entries are detected. For high-volume campaigns, leads generated in bulk during a short window may arrive in a single batch rather than individually.
Can I connect multiple Facebook lead forms to different workflows?
Yes. In the New Lead trigger configuration, you select the Facebook Page and then optionally choose a specific lead form. If you leave the form selector on 'Default (Any Form)', the trigger fires for leads from any form on that Page — but you must have granted sufficient admin permissions across all forms. For precise routing — sending leads from different forms to different CRMs or pipelines — set up one trigger per form.
What lead data can the agent retrieve from a form submission?
The agent can read the lead's submitted field data — name, email, phone, and any custom questions you added to the form. It retrieves these via the Get Lead Details action, which returns the full form submission. You can then map each field to the relevant field in your CRM, spreadsheet, or email platform. Custom question answers are included as long as they were active on the form at the time of submission.
Can the agent pull ad performance data like cost-per-lead and click-through rate?
Use the Create Ad Statistics Report action and then Get Ad Performance to pull impressions, clicks, cost-per-lead, click-through rate, and lead count for any date range. You can break down results by ad, ad set, or campaign level. The agent can write this data to Google Sheets or a dashboard automatically on a schedule — giving your team a weekly performance view without manual exports from Ads Manager.
My lead form was updated and new leads stopped coming through. Why?
When you update a lead form in Facebook, Facebook assigns a new form ID to the updated version. If your trigger was pointed at the old form ID, it stops seeing new leads. You need to re-select the form from the dropdown in the trigger configuration to point it at the new form ID. This is a Facebook platform behaviour, not an Actionist limitation — the Zapier-based Facebook Lead Ads integration carries the same requirement.
Can the agent automatically route new leads to my CRM and email platform simultaneously?
Yes. A common pattern is: New Lead trigger fires → agent retrieves the full lead details → sends data to your CRM (HubSpot, Salesforce, Pipedrive) and simultaneously adds the contact to an email sequence in your marketing platform. You can also add conditional routing — for example, leads who answered 'Yes' to a budget question get assigned to a senior sales rep, while others go into a nurture sequence.
