Where you spend your time

Your time is money

We know how your week actually goes

Most recruiting teams are not short on job reqs; they are short on time. Resume parsing, candidate outreach, interview scheduling, and offer letter chasing quickly fill the week.

Actionist builds AI agents for Recruiting and Staffing that handle your digital work, so your team can focus on candidates and placements.

What matters to you
  • Speed to shortlist
The first agency to surface a qualified candidate usually wins the client role.
  • Candidate pipeline always moving
A clean, up-to-date pipeline means fewer roles stall between stages.
  • Clients kept in the loop
Hiring managers who get regular updates stay engaged and renew.
  • Placements that reach offer
Catch the drop-offs before a candidate goes to a rival offer.
  • Compliance, filed and findable
Every screening note and consent form ready the day an auditor asks.
  • Built around your team
These are examples. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Recruiting & Staffing team's day.

Triggers and Reactions

Your Agent wakes up Automatically whenever something happens

WhenA new application landsfires within about a minute
The agent automatically

The moment a candidate's resume arrives in your inbox or a job board form, the agent reads it within about a minute, extracts key skills, experience, and location, scores the candidate against the open job req criteria, and logs the application to your CRM with a shortlist recommendation. Every score waits for your one-pass review before the candidate is contacted, so your consultants start the day with a ranked list rather than a raw inbox.

Agent scores and ranks every resume

An agent reads each resume within about a minute, scores it against the job req, and posts a ranked shortlist so the consultant calls the right people first.

    Scheduling interviews

Confirming a single interview takes four or five emails across separate threads to align the candidate, the hiring manager, and any panel members.

Agent sends a weekly progress report

An agent assembles the open role status, candidates in each stage, and next steps into a client-facing update, queued for approval.

  • Finance

Placement fee invoices are drafted at month-end from memory, often missing the exact start date or agreed fee, and the client gets billed late.

    Finance Agent

    Agent invoices on offer acceptance

An agent drafts the placement invoice the moment an offer is accepted, with the right fee and payment terms, queued for approval.

  • HR
    60 min / week
    Chasing onboarding paperwork

Right-to-work checks, consent forms, and signed offer letters pile up in the inbox and get chased reactively, often the day before a candidate starts.

    HR Agent
    0 min
Agent dispatches and chases on schedule

An agent sends the full onboarding pack on placement confirmation and chases any missing documents on a schedule before the start date.

Trust & control

You stay in control

An AI agent works in your real candidate and client data, so staying in control matters. Actionist is built to be supervised: you decide how much each agent does on its own, you approve what reaches a candidate or client, and every step is recorded for you to check.

You set the supervision

Choose how much each agent does on its own, from drafting for approval to handling trusted routine work. Destructive actions like deleting a record or cancelling an interview always ask first, which cannot be turned off.

Approve from your phone

Agents can reach you over Telegram or Slack, so you approve a reply or an action with one tap, from wherever you are.

Every run is logged

Each run is recorded step by step, with screenshots and a full transcript, so you can see exactly what the agent read and did with a candidate's details.

Your data stays yours

Credentials are encrypted in a vault and never shown again, memory stays on your own machine, and you can self-host Actionist on your own server.

FAQ

Frequently asked questions

Will it actually parse resumes and screen candidates well enough to use, or will it miss things a good recruiter would catch?
It reads and scores resumes against the specific job req criteria you set, extracting skills, experience, location, and availability, and ranks candidates by fit. You teach it your criteria once and every score waits for your review before any candidate is contacted. It is not replacing recruiter judgement on the final call, it is removing the hour spent reading every application before you get to make that call. Most consultants find the shortlist it builds is good enough to work from directly.
We use a mix of our CRM, job boards, and compliance systems that have no API or a very limited one. Will it still work?
Almost certainly. Actionist operates your tools the way a person does, by reading the screen and clicking, typing, and navigating, so it reaches software with no API at all: your ATS back-office, the job boards you post to manually, and the background-screening portals your agency runs. Where an app offers a clean connection it uses it; where it does not, the desktop agent simply works the screen. You do not rip anything out or wait for an integration to be built. Screen automation runs on the desktop app.
Will it send messages to candidates or clients without someone on the team seeing them first?
Not unless you decide it should. By default every outreach message, rejection, shortlist, and status update is drafted and waits for your approval before anything goes out. Approval Modes let you move at your own pace, from suggest, to ask each time, to a guarded auto for trusted routine jobs, and anything irreversible always asks first, which cannot be turned off. Agents reach you on Telegram or Slack, so you can approve or reword with one tap while you are on the phone or between interviews.
What happens to new applications and job reqs that arrive after hours or over the weekend?
That is when many of the best candidates apply and hiring managers send their most urgent reqs. On the desktop app an agent works while the app is open. To cover evenings, nights, and weekends without anyone at the desk, you move that agent to the hosted cloud runtime on a paid plan and it keeps reading applications, scoring candidates, and drafting replies while your laptop is closed. You stay in approval mode either way, so nothing goes to a candidate or client without the sign-off you have set.
Is this going to replace our consultants?
No. It takes over the admin, not the relationship. The work it removes is the part of the week your consultants already resent: reading every application, booking interviews across three calendars, chasing unsigned offer letters, and pulling together the pipeline report. Hand that to an agent and your consultants spend their hours where only a person wins: understanding what a client actually needs, persuading a passive candidate, and managing the tricky conversations around offers and counter-offers. A small agency ends up with the output of a much larger one without adding headcount.
Can I build an agent around the specific way our agency works, or are we stuck with what you show on this page?
Yes. The teams and jobs shown here are a starting point, not the limit. You can build a custom AI agent for recruiting around any task your agency repeats: chasing a background screening provider for overdue results, posting a new role across three job boards, sending a weekly market update to your retained clients, or running the temp timesheet approval process. You describe the job in plain English, tell it which apps to use and when to run, and it handles that work on a schedule or when something triggers it. Most agencies start with one agent on their biggest time sink and add more as they see what it saves.
Is candidate data kept private, and are we covered for GDPR?
Your data stays yours. Credentials are encrypted in a vault and never shown again, the agent's memory of your processes and candidate details stays on your own machine, and your data is never used to train models. Every action an agent takes is logged step by step with screenshots, so you can see exactly what it read and did with a candidate's information. For GDPR deletion requests the agent can find and flag the relevant records for you to review and remove. If you need everything to stay on your own infrastructure, you can self-host Actionist on your own server.
Do our consultants need to be technical to use this, and how fast can we be up and running?
No code, and most agencies have their first agent working the same day. If your consultants can brief a new team member, they can brief an agent: you describe the job in plain English. Connecting an app like your CRM or inbox is a guided click-and-approve step that takes about a minute, and the agent can start screening resumes or booking interviews as soon as its apps are linked. You keep it in approval mode while you build trust, then hand over the routine work once it has earned it.
What does it cost, and will it pay for itself in a small recruiting agency?
It is built to pay for itself in hours back and placements won. A single agent typically lifts several hours of admin off every consultant each week, and the speed to shortlist alone tends to win roles that previously went to a faster competitor. What you pay scales with how many agents you run and whether any run unattended in the cloud, so most agencies start with one agent on whatever wastes the most recruiter time and add more as it proves out.
