Where you spend your time

Your time is money

We know how your week actually goes

Most property management teams are not short on properties; they are short on hours. Tenant requests, maintenance work orders, rent collection, lease renewals, vacancy listings, and owner reporting fill every week before the real work even starts.

Actionist builds AI agents for Property Management that handle the digital grind, so your team can focus on tenants, owners, and the properties in their care.

What matters to you
  • Tenants responded to fast
The team that replies first earns the lease renewal.
  • Rent collected on time
A systematic chase turns late payments into a non-event.
  • Work orders moving
Maintenance that sits unanswered costs tenants and owners alike.
  • Owners kept in the loop
Landlords who feel informed stay with your company.
  • Vacancies filled faster
Every day a unit sits empty is revenue lost for the owner.
  • Built around your team
These are examples. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Property Management team's day.

Triggers and Reactions

Your Agent wakes up Automatically whenever something happens

WhenA tenant submits a maintenance requestfires within about a minute
The agent automatically

The moment a maintenance request arrives by email, portal, or form, the agent reads the description, creates a work order with the right category and priority, assigns it to the approved vendor for that trade and property, and sends the tenant a confirmation that their request is logged and a contractor is on it. Every message waits for your one-pass approval before leaving the office, so tenants feel heard within minutes and the job is already moving.

What your agent runs for you

  • Operations
    90 min / week
    Logging and assigning maintenance requests

Property managers read each tenant report, decide the trade and priority, find the right vendor from a list, email or call them, and manually log the job in whatever system the office uses.

    Operations Agent
    0 min
Agent logs, assigns, and confirms in about a minute

An agent reads the request within about a minute, creates the work order with the right category and priority, assigns the approved vendor, and sends the tenant a confirmation, all queued for approval.

  • Finance
    120 min / week
    Chasing overdue rent

Someone checks who has not paid, decides which reminder to send, writes it, sends it, and repeats the whole process for the second and third notice, taking a different time every month.

    Finance Agent
    0 min
Agent runs the escalating reminder schedule

An agent identifies overdue tenants on day one, sends the first reminder, escalates automatically on a schedule, and calculates the late fee, all queued for approval before any message goes out.

  • Sales
    90 min / week
    Responding to rental inquiries

A leasing agent reads each inquiry between showings, checks the property details, picks two available times from the diary, and types a reply, one by one throughout the day.

    Sales Agent
    0 min
Agent qualifies and offers slots within about a minute

An agent reads each inquiry within about a minute, qualifies it against the unit criteria, checks the calendar, and drafts a first reply with two showing times for approval.

  • Finance
    75 min / week
    Preparing owner statements

An accounts officer pulls rent received, deducts management fees and repairs from multiple spreadsheets, calculates the net disbursement, and writes the accompanying email for each owner, often at month-end pressure.

    Finance Agent
    0 min
Agent assembles statements from the ledger

A scheduled agent pulls the ledger data, calculates the net disbursement per owner, drafts the statement and accompanying email in your voice, and queues each for approval before sending.

  • Sales
    60 min / week
    Sending lease renewal notices

A property manager keeps a mental note of upcoming expirations, notices one too late, scrambles to prepare the offer, and sometimes the tenant gives notice before the renewal is even sent.

    Sales Agent
    0 min
Agent sends renewals 60 days before expiry

A scheduled agent identifies leases entering the 60-day window, calculates the proposed rent, drafts the renewal offer in your voice, and queues it for the property manager's approval, never late.

Trust & control

You stay in control

Your agents work in real property systems touching tenant records, financial data, and legal documents. Actionist is built to be supervised: you set the approval level, and every step is logged.

You set the supervision

Choose how much each agent does on its own. Anything that touches a legal notice or a financial transaction always asks first, and that cannot be turned off.

Approve from your phone

Agents reach you over Telegram or Slack, so you approve a rent reminder, a maintenance update, or a lease renewal with one tap, from wherever you are.

Every run is logged

Each run is recorded step by step, with screenshots and a full transcript, so you can see exactly what the agent read and did with any tenant or owner record.

Your data stays yours

Credentials are encrypted in a vault and never shown again, memory stays on your own machine, and you can self-host Actionist on your own server.

FAQ

Frequently asked questions

Will it actually answer tenant maintenance requests fast enough, and how does it know what to say?
Yes, and speed is the whole point for tenant satisfaction. The agent watches your inbox and tenant portal for new maintenance reports and picks up each one within about a minute. It reads the description, categories the trade and priority, creates the work order, assigns an approved vendor, and drafts a tenant confirmation that their request is logged and someone is on it. You teach it your tone and your vendor list once, and every message waits for your approval until you build that trust. A tenant who hears back in minutes instead of hours is the one who renews.
We use a mix of our own property management software and spreadsheets that have no integration. Will it still work?
Almost certainly. Actionist works the way a person does, by reading the screen and clicking, typing, and navigating, so it reaches software with no open API at all: your property management platform, your trust accounting system, the compliance portals your office uses. Where an app offers a clean connection it uses it; where it does not, the desktop agent simply operates the screen. You do not rip out your existing software or wait for a connector to be built. Screen automation runs on the desktop app.
Will it send a message to a tenant or owner without me seeing it first?
Not unless you decide it should. By default every reply, rent reminder, renewal offer, and owner update is drafted and waits for your approval before sending. Approval Modes let you move at your own pace, from suggest, to ask each time, to a guarded auto for trusted routine messages. Anything that touches a legal notice or a financial transaction always asks first, which cannot be turned off. You approve from Telegram or Slack with one tap, so nothing reaches a tenant or owner without the sign-off you have set.
What happens to maintenance requests and tenant messages that come in at night or over the weekend?
Those are often when the most urgent requests arrive. On the desktop app an agent works while the app is open. To cover evenings, nights, and weekends without someone at the desk, you move the agent to the hosted cloud runtime on a paid plan and it keeps reading requests, creating work orders, and drafting replies while your laptop is closed. You stay in approval mode either way, so nothing reaches a tenant without your sign-off.
Is this going to replace property managers?
No. It removes the admin, not the judgement. The work it takes over is the part that fills the week before the real management begins: logging requests, chasing vendors, sending reminders, filing documents, and compiling reports. Hand that to an agent and your property managers spend their time on the things that only a person can do: handling a difficult tenant conversation, negotiating a lease, advising an owner on a capital expenditure decision. A small team ends up managing a portfolio that would normally need twice the headcount.
Can I build an agent for the specific way our office works?
Yes. The teams and jobs on this page are examples, not the limit. You can build a custom AI agent for property management around any task your office repeats: chasing a particular vendor for a progress update, sending move-in checklists to new tenants, preparing the quarterly owner report for a specific portfolio segment, or running the end-of-month trust accounting reconciliation. You describe the job in plain English, tell it which apps to use and when to run, and it handles that work on a schedule or when something triggers it. Most offices start with the one task that wastes the most time and add more as they see what it saves.
Is our tenant and owner data kept private?
Your data stays yours. Credentials are encrypted in a vault and never shown again, the agent's memory of how your office works stays on your own machine, and your data is never used to train models. Every action an agent takes is logged step by step with screenshots, so you can see exactly what it read and did with a tenant's or owner's details. If you need everything to stay on your own infrastructure, you can self-host Actionist on your own server.
Does my team need to be technical, and how quickly can we get started?
No code is needed, and most offices have their first agent running the same day. If you can brief a new staff member, you can brief an agent: you describe the job in plain English. Connecting an app like your inbox or your property software is a guided click-and-approve step that takes about a minute. The agent can start answering tenant inquiries or chasing overdue rent as soon as its apps are linked. You keep it in approval mode while you build confidence, then hand over the routine work once it has earned it.
What does it cost, and will it pay off for a portfolio our size?
It is built to pay for itself in hours back. A single agent typically lifts five or more hours of admin off a property manager each week, and the rent collection improvement alone tends to more than cover the cost in recovered late fees and reduced churn. What you pay scales with how many agents you run and whether any run unattended in the cloud, so most offices start with one agent on the biggest time-sink and add more as it proves out. Book a free demo and we will map the specific tasks and time it would recover for your portfolio.
