AI workforce for Recruiting & Talent

AI agents for Recruiting teams

Actionist is an AI automation tool whose agents run your ATS and LinkedIn. From building sourcing lists by hand and chasing scorecards over Slack, to a pipeline that stays current on its own.

Recruiters get back the hours lost to sourcing lists, ATS updates, and scorecard chasing, and spend them on candidates.

Where you spend your time

Why Recruiting & Talent teams switch

We know how your week actually goes

Recruiting is a numbers game played against a clock: every req has a fill-by date, every candidate has a shelf life, and every hiring manager wants an update before they ask for one.

Actionist's agents run the volume work, sourcing, outreach, ATS hygiene, and scheduling, so you spend your hours on the conversations only a recruiter can have.

What matters to you
  • Talent pools that refresh themselves
Agents keep sourcing lists current with candidates matched to open and upcoming reqs, so you never start from zero.
  • Outreach that keeps working after send
Every passive candidate gets the next follow-up drafted and queued the moment a thread goes quiet.
  • An ATS that reflects reality
Every candidate sits at the right stage with a fresh SLA clock, so nothing stalls without someone noticing.
  • Interview loops that book themselves
Panels get coordinated, rooms get booked, and scorecards get chased before the debrief is due.
  • Offers out without the approval chase
An agent drafts the offer from the approved band, routes it for sign-off, and sends it for signature.
  • Hiring managers briefed, not guessing
Intake notes, funnel reports, and candidate updates reach hiring managers on schedule, not when you remember.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Recruiting & Talent team's day.

The problem

Where the hours go

  • Building a sourcing list for a new req means hours in LinkedIn Recruiter before a single message goes out.

An agent builds and refreshes the candidate pool against the req's criteria so a recruiter opens a scored list, not a blank search.

  • Passive candidates go cold because the second and third follow-up never gets written between calls and interviews.

An agent watches every outreach thread and drafts the next follow-up the moment a candidate goes quiet, queued for a one-click send.

  • The ATS is always a stage behind because updating it after every screen means stopping recruiting to do data entry.

An agent logs stage moves, notes, and SLA clocks after every interaction so the pipeline reflects what is actually happening.

  • Getting four interviewers, one candidate, and one scorecard into the same week eats an afternoon every single loop.

An agent finds the panel's availability, books the loop, and chases scorecards automatically, so a debrief never waits on one slow reviewer.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA candidate applies to an open reqfires within about a minute
The agent automatically

When an applicant lands on an open req, the agent reads the CV within about a minute, checks it against the req's intake criteria (must-haves, nice-to-haves, level), tags a fit score, and moves the candidate into the correct ATS stage with a one-line note, so the recruiter opens a scored pipeline instead of a raw inbox.

With Actionist

What your agent runs for you

  • Recruiting
    90 min / week
    Drafting and routing offer letters

Recruiter builds the offer letter from a template, re-keys the approved band, and chases the approver over Slack before anything reaches DocuSign.

    Recruiting Agent
    0 min
Agent drafts and routes from the approved band

An agent pulls the approved band and terms, drafts the letter, and sends it to DocuSign the moment the hiring manager signs off, with no re-keying.

  • Recruiting
    100 min / week
    Building the weekly hiring-pipeline report

Someone pulls every req's funnel counts from the ATS by hand and formats a status deck before the hiring-manager sync.

    Recruiting Agent
    0 min
Agent assembles the funnel report from live ATS data

An agent pulls open reqs, stage counts, and days-in-stage on a schedule and drafts the report before the sync starts.

  • Recruiting
    150 min / week
Building a candidate list for a new req

Recruiter searches LinkedIn Recruiter manually, copies profiles into a spreadsheet, and finds contact details one at a time.

    Recruiting Agent
    0 min
Agent builds and enriches the sourcing list

An agent searches against the req's criteria, pulls a ranked list of candidates, and enriches each with a verified contact, posted for review.

  • Recruiting
    120 min / week
    Keeping the ATS stage current

Moving candidates between stages and logging notes happens whenever there is a spare ten minutes, so the pipeline lags real screens by a day.

    Recruiting Agent
    0 min
Agent logs stage moves for recruiter approval

An agent drafts the stage change and note from the screen outcome and queues it for a two-minute confirmation, so the ATS matches reality.

  • Recruiting
    60 min / week
    Chasing interview scorecards

Recruiter pings each interviewer individually, sometimes twice, to get a scorecard in before the debrief is scheduled.

    Recruiting Agent
    0 min
    Agent chases scorecards automatically

An agent reminds the interviewer right after the call and escalates to the recruiter only if it is still missing the next morning.

Trust & control

You stay in control

An agent touching candidate data, outreach messages, and offer letters only earns its place if you stay in control of every move. Actionist is built so the recruiter decides what goes out, the hiring manager sees status without asking, and nothing irreversible happens without a human sign-off.

Drafts wait for the recruiter

By default the agent writes outreach messages, rejections, and offer letters and queues them for recruiter review. Nothing reaches a candidate without a recruiter choosing to send it.

Destructive actions always ask first

Anything that removes a candidate record, sends an external message, or revokes an offer stops for explicit approval, regardless of how much autonomy you have granted elsewhere.

Every action is logged

A full audit trail records every ATS write, every message draft, and every report built, so you can see exactly what the agent did and when.

Candidate data stays yours

Sourcing lists, outreach threads, and candidate records are encrypted, never used to train models, and can be self-hosted on your own VPS if compliance requires it.

FAQ

Frequently asked questions

Will it message candidates or move ATS stages without me checking first?
Only if you choose to let it. By default the agent drafts outreach messages, ATS stage updates, and offer letters and queues them for recruiter review. Approval modes let you move from suggest, to ask each time, to guarded auto on the repetitive tasks you trust, and anything that sends an external message always asks first.
What if our ATS or LinkedIn Recruiter seat has no API Actionist can connect to?
Because Actionist uses computer use in the cloud, it operates your ATS, LinkedIn, and inbox the way a recruiter would, by reading the screen and taking actions directly. That means it works with tools that have no API at all, including older ATS platforms and seats that predate integrations.
How does it learn our screening criteria and req requirements?
You describe the req's must-haves, nice-to-haves, and level in plain language during intake, and the agent keeps a memory of your decisions to draw on. You refine it by editing its drafts and correcting its scoring, the same way you would coach a new recruiting coordinator, until it makes the calls you would make.
Which tools does this connect to?
Any app in the Actionist catalog you connect, including Breezy HR, Recruitee, and Personio for pipeline management, LinkedIn for sourcing, Gmail or Outlook for outreach, Calendly and Google Calendar for interview scheduling, DocuSign and PandaDoc for offers, and Slack for all delivery and alerts. The agent reads and writes through those connections.
Does my team need to be technical to set this up?
No. You describe the workflow in plain English and Actionist sets up the agent. Most recruiting teams are running a sourcing agent and an ATS-hygiene agent the same day they start. No code, no API keys, no IT ticket.
How do I get started?
Connect your ATS, LinkedIn, and email, describe your intake process and outreach style in plain language, and pick the first agent to run, most teams start with sourcing or ATS hygiene. Actionist builds the agent from that description and you review its first drafts before anything goes live.
How do I make customised AI agents?
Every recruiting team has workflows the template agents do not cover exactly. In Actionist you can build a custom AI agent for any recruiting task your team repeats, from a bespoke reference-check flow to a hiring-manager escalation path tied to specific req types. Describe the steps and the apps and the agent takes it from there.
How quickly can I set Actionist up?
Most teams start with a sourcing agent and a scorecard-chasing agent and have both running the same day. Connect your ATS and calendar, describe your intake criteria and interview process, and the agent takes it from there. You can add the offer-drafting and reporting agents once the first two are dialled in.
Where does our candidate data live, and is it used to train AI?
Your data stays yours. It is encrypted, never used to train models, and every action the agent takes is logged so you can audit exactly what it read and did. If your compliance team requires everything on your own infrastructure, you can self-host on a VPS.
