Inbound lead captured and routed before the rep notices

When an inbound lead submits the contact form, the agent calls Find or Create Contact by Email to avoid duplicates, creates a deal at the Qualified Lead stage with the form data, assigns it to the correct rep by territory from a Google Sheets mapping table, and posts the contact card and deal link to the rep's Slack. The rep opens Slack to a warm lead already in the pipeline.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    50 min / week
Manual pipeline updates after every call

Reps open umsatz.io after each call to move the deal, log the activity, and set a follow-up task — adding 10 minutes of admin to every sales call.

    Sales Agent
    0 min
Agent updates the deal and logs the activity automatically

The agent reads the call outcome, moves the deal to the next stage, logs the call activity, and creates the follow-up task — all within about a minute of the call ending, without the rep touching the CRM.

  • Marketing
    40 min / week
Manual lead dedup before importing to CRM

The marketing team exports campaign respondents, checks each email against the CRM manually, removes duplicates, and imports the remainder — a process that takes 30 to 60 minutes per campaign.

    Marketing Agent
    0 min
Agent runs Find or Create Contact for every respondent

The agent calls Find or Create Contact by Email for each campaign respondent, updating existing contacts and creating new ones automatically — no export, no manual dedup, no import.

  • Customer Support
    30 min / week
Looking up account status before every ticket reply

Support agents switch to the CRM, search for the contact by email, check their deal stage and value, then switch back to the ticket — adding two to three minutes to every customer interaction.

    Customer Support Agent
    0 min
Agent delivers the CRM context card before the agent opens the ticket

The agent fetches contact and deal data from umsatz.io and posts the context card to the support channel within about a minute of the ticket arriving — so the agent has the full picture before they start typing.

  • Human Resources
    25 min / week
Manually updating candidate contacts after each interview

HR coordinators collect interview feedback from the panel, then manually update the candidate's CRM record with the outcome and next step — a 15-minute process per candidate per interview round.

    Human Resources Agent
    0 min
Agent logs interview activities automatically from feedback submissions

The agent reads submitted interview feedback and logs a call activity against each candidate contact in umsatz.io — interviewer, outcome, and next step recorded without the coordinator opening the CRM.

  • Finance
    60 min / week
    Weekly manual deal-to-forecast reconciliation

The finance team exports open deals from the CRM, compares values against the forecast spreadsheet row by row, and flags discrepancies by email — an hour-long process every Monday morning.

    Finance Agent
    0 min
Agent reconciles CRM and forecast automatically before the review

The agent calls Find Deal by Id for every near-close deal, compares against the forecast, and flags discrepancies in Slack before the finance review — the meeting starts with accurate numbers, not corrective action items.

  • Operations
    60 min / week
Building the pipeline report manually each Monday

The operations manager exports pipeline data from the CRM each Monday, pastes it into the reporting spreadsheet, calculates week-over-week changes, and formats the digest — consuming an hour before the all-hands.

    Operations Agent
    0 min
Agent compiles and posts the pipeline report before anyone arrives

The agent calls Find Deal by Id for every open deal, checks activity logs for staleness, and posts the ranked pipeline health report to Slack at 7:30 AM — leadership reads it over their first coffee.

  • Legal
    30 min / week
    Manually checking contract-stage deal SLAs

The legal team checks each deal in the Legal Review stage by opening umsatz.io, reviewing the activity log, and calculating how many days have passed since the last update — repeated for every active deal each Monday.

    Legal Agent
    0 min
Agent flags SLA-breaching deals before the legal team opens their laptops

The agent reviews all legal-stage deals, checks activity logs for elapsed time, and fires Slack escalations for any deal past the five-day SLA threshold — the legal lead starts Monday knowing exactly which deals need attention.

FAQs

Questions about umsatz.io + Actionist

How does Actionist connect to umsatz.io?
Go to the Apps tab, find umsatz.io, and click Connect. Actionist connects via the umsatz.io API — you will be prompted to enter your API key from your umsatz.io account settings. Once the key is saved, Actionist runs a test call to confirm the connection is live before any actions run.
Can Actionist create contacts and deals automatically when a lead comes in?
Yes. When a lead arrives from a web form, email, or any connected source, the agent calls Find or Create Contact by Email to check whether the contact already exists in umsatz.io. If not, it creates a new contact and opens a deal at the appropriate stage — all within about a minute of the lead event firing. Duplicate contacts are prevented because the find-or-create step runs before any write.
Will the agent update deal stages by itself, or does it always ask for approval?
You control this through Actionist's Approval Modes. In Guarded Auto mode the agent moves deals to pre-approved next stages automatically. In Ask Each Time mode it proposes the stage change and waits for your confirmation before writing to umsatz.io. For high-value or final-stage deals — such as moving to Closed Won — you can require approval for that specific action while letting routine stage progressions run automatically.
What triggers does umsatz.io support and how quickly do they fire?
umsatz.io exposes seven triggers via webhook: New Contact Created, New Deal Created, Deal Stage Changed, Deal Property Changed, Contact Property Changed, New Activity, and New Form Submission. Because these are webhook-based, Actionist picks up events within about a minute of the change occurring in umsatz.io — there is no polling delay. Actionist subscribes to the webhooks when you connect the app and manages the subscription automatically.
Can I use umsatz.io with other apps in the same agent task?
Yes. umsatz.io works alongside any other app connected to Actionist. Common combinations: create a umsatz.io contact when a Google Sheets row is added; update a deal stage when a DocuSign contract is signed; post a Slack message when a deal property changes; sync closed deals to a finance spreadsheet. The agent can read from and write to umsatz.io and other apps in the same task.
How does Actionist avoid creating duplicate contacts in umsatz.io?
Use the Find or Create Contact by Email action whenever a contact might already exist. This action searches umsatz.io for the email first and returns the existing record if one is found — only creating a new contact when no match exists. If you always use Find or Create Contact rather than plain Create Contact for inbound flows, duplicates cannot accumulate. The agent can also run a weekly dedup sweep using Find Contact by Search and Find Contact by Email to flag any duplicates that entered through other routes.
Can Actionist run 24/7 to watch for deal changes, or does it only work when my computer is on?
Actionist can monitor umsatz.io triggers — including Deal Stage Changed and Contact Property Changed — continuously when running on the cloud runtime, which requires a cloud runtime plan. On the desktop app, monitoring is active while the app is open. For always-on CRM automation, the cloud runtime plan is the right choice (requires cloud runtime plan).
What is the difference between Find Contact by Email and Find or Create Contact by Email?
Find Contact by Email is a pure search — it returns the matching contact record if one exists, or nothing if no match is found. Find or Create Contact by Email adds a creation step: if no match is found, it creates a new contact from the data you provide and returns the new record. Use Find Contact by Email when you only want to look up an existing record. Use Find or Create Contact by Email for any inbound flow where the contact may or may not already exist in umsatz.io — this is the safe default for lead processing.
