Questions about Ontraport + Actionist

How does Actionist connect to Ontraport?
Go to the Apps tab, find Ontraport, and click Connect. The connection requires your Ontraport API Key and API Application ID — both found in Ontraport under Administration > Integrations > API. Paste them into the two fields in Actionist, click Test Connection, and Actionist runs a read-only call to verify the credentials before any actions run. The connection gives the agent access to contacts, tags, sequences, transactions, tasks, and forms within your Ontraport account.
What permissions does the agent need on my Ontraport account?
Ontraport's API uses a single API Key and App ID pair that inherits the permissions of the API user in your account. For read-only operations like Find Contact, List Contacts, and Get Transaction, a read-only API user is sufficient. For write operations — Create or Update Contact, Add Tags, Add to Sequence, Create Task, Log Transaction — the API user needs full CRM permissions. Ontraport does not offer granular OAuth scopes per endpoint; the simplest setup is a dedicated Actionist API user with the permissions your use cases require.
How quickly does the agent react to a new contact or tag event?
Actionist polls Ontraport's API for new events — including new contacts, form submissions, and tag changes — within about a minute of them occurring. The poll interval means a new lead entering Ontraport will trigger downstream actions in under 60 seconds in typical conditions. There is no real-time webhook path for all events; if sub-minute latency is critical for a specific trigger, use Ontraport's native webhook postback URL pointed at your Actionist agent endpoint.
Can Actionist trigger different actions based on which tag is added?
Yes. You can configure separate agent tasks for each tag you care about — for example, one task that fires when the 'Hot Lead' tag is applied and a different task when 'Churn Risk' is applied. Each task can call different actions, enrol different sequences, or notify different team members. There is no limit to the number of tag-based triggers you configure across your Ontraport account.
Will Actionist create duplicate contacts if the same person submits multiple forms?
Using the Create or Update Contact action avoids duplicates — it searches for an existing contact by email address and updates the existing record if found, or creates a new one only if no match exists. As long as the email address is consistent across form submissions, the same contact record is updated each time. For cases where the email might vary, use Find Contact first to look up the record before deciding whether to create or update.
Can Actionist add contacts directly to a sequence, or does it only manage tags?
Actionist can do both. The Add Contact to Sequence action directly enrols a contact into a named Ontraport sequence — useful when you want to start a communication flow based on an external event without waiting for a tag to trigger the enrolment inside Ontraport's campaign builder. Add Tags to Contact is available separately for cases where the tag itself should drive the sequence enrolment via Ontraport's built-in automation rules.
How does the agent handle transaction verification before fulfilment?
When a Product Purchased trigger fires, the agent can call Get Transaction immediately to retrieve the transaction's status field. If the status is 'Paid', fulfilment proceeds — access credentials are sent, project records are created, and the product tag is applied. If the status is 'Declined' or 'Pending', the agent creates a follow-up task rather than dispatching fulfilment, preventing delivery against a payment that has not yet cleared. This check adds one API call but eliminates manual fulfilment errors on declined cards.
Can Actionist be used for GDPR and data subject request compliance in Ontraport?
Yes. Actionist can automate key parts of the compliance workflow: the Legal Agent can call Find Contact to locate a data subject's record, Get Contact by ID to retrieve all stored fields and tags for the access request report, Remove Tag from Contact to halt all automated communications immediately upon an erasure request, and Add Tags to Contact to apply an Erasure Requested tag that prevents any new sequence enrolment. The documentation log can be written to a Notion or Google Sheets compliance tracker in the same agent task. Note that the actual deletion of the contact record from Ontraport still requires a manual step or Ontraport's own GDPR deletion tools, as Actionist does not expose a delete-contact endpoint.
