New lead triggers AI research agent, brief lands in HubSpot

When a new contact enters HubSpot, the sales agent instantly runs the research agent with the lead's details. The agent returns a company brief, relevant talking points, and suggested questions. Actionist writes the findings back to the HubSpot contact and posts a summary in Slack — the rep opens the record ready to call.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    90 min / week
Manual lead research before every call

Reps spend 20–30 minutes researching each new lead before outreach — company background, pain points, and talking points cobbled together from LinkedIn and Google searches.

    Sales Agent
    0 min
Agent runs research agent on every new lead

When a new contact enters the CRM, the sales agent runs the research agent immediately. A structured brief with company context and talking points is in the CRM record before the rep even sees the notification.

  • Marketing
    120 min / week
Writers start from a blank brief every week

The content team spends the first half of Monday researching keywords, competitors, and H2 structures before a single word of actual content is written — repeated every week for every article.

    Marketing Agent
    0 min
Agent generates content briefs before writers start

Every Monday, the marketing agent runs the content-brief agent for each article on the calendar. Writers open Notion to find a fully scoped brief with headline options, H2 structure, and SEO angles already written.

  • Customer Support
    100 min / week
    Manual ticket classification and routing

A tier-1 support agent reads every inbound ticket, classifies priority, identifies the right team, and manually reassigns — adding 5–10 minutes to every ticket's time-to-first-response.

    Customer Support Agent
    0 min
Triage agent classifies and routes every ticket

The triage agent reads each inbound ticket, returns a priority level and team classification within about a minute, and Actionist updates the ticket and routes the Slack alert automatically — no tier-1 handling required.

  • Human Resources
    150 min / week
Recruiter reads and scores every CV manually

Each recruiter spends 10–15 minutes per application reading the CV, mapping it to the role requirements, and deciding on the next step — time that multiplies quickly during high-volume hiring periods.

    Human Resources Agent
    0 min
Screening agent scores and summarises every application

When an application arrives, the HR agent runs the screening agent immediately. The recruiter opens the tracker to find a score, a three-line summary, and a recommended next step already written for every candidate.

  • Finance
    80 min / week
Finance team manually checks every expense report

A finance team member reads each expense line against the policy, flags exceptions by hand, and emails the submitter with feedback — a slow process that creates a bottleneck when multiple reports land at once.

    Finance Agent
    0 min
Compliance agent checks every expense report on submission

When an expense report is submitted, the finance agent immediately runs the compliance agent with the line items and policy rules. Verdicts and feedback go to the submitter within about a minute — before any human has opened the report.

  • Operations
    120 min / week
    Manual weekly agent health checks

The ops team manually visits each agent's dashboard weekly, checks that behaviors are enabled and tools are connected, and documents the results in a spreadsheet — a repetitive audit that takes hours across a large fleet.

    Operations Agent
    0 min
Ops agent runs automated fleet health checks every Monday

Every Monday at 7 AM, the operations agent checks every production agent's configuration, flags any drift, and logs the results to the governance sheet — the entire fleet is audited before business hours without a human opening a single dashboard.

  • Legal
    120 min / week
Lawyer reads every uploaded contract for initial risks

A paralegal or junior lawyer reviews each incoming contract for obvious risks and flagged clauses before it reaches a senior attorney — an initial screen that takes 30–60 minutes per document and delays the review queue.

    Legal Agent
    0 min
Review agent screens every contract at upload

When a contract lands in Google Drive, the legal agent attaches it to the review agent and requests a risk summary within about a minute. Senior attorneys receive a pre-screened document with flagged clauses already highlighted.

How to plug Agents into Actionist

Pick the connection method that suits your environment.

Connect via Zapier's secure OAuth flow — Actionist opens a Zapier authorisation window, you grant access, and your agents gain permission to run Zapier Agents and receive their responses.

1
Find Agents in the Apps tab

Open the Actionist Apps tab, search for 'Agents by Zapier', and click Connect.

2
Authorise with your Zapier account

A Zapier OAuth window opens — sign in and grant Actionist permission to trigger your agents and read their responses. The handshake completes in under 10 seconds.

3
Test the connection

Actionist calls Get Agents to verify the handshake and confirm at least one Zap-trigger-enabled agent is accessible. You are ready to build.

FAQs

Questions about Agents + Actionist

How does Actionist connect to Zapier Agents?
Go to the Apps tab, find Agents by Zapier, and click Connect. Actionist opens a Zapier OAuth window — sign in and grant permission. Actionist then calls Get Agents to confirm that at least one Zap-trigger-enabled agent is accessible and the handshake is live. The entire setup takes under a minute.
What is a Zapier Agent behavior and why does my agent need one configured?
A Zapier Agent behavior is a trigger configuration inside your agent that allows it to receive inputs from a Zap. Without a behavior set up, the agent cannot be called via the Run Agent action — the Zap has no entry point. You create a behavior in the Zapier Agents dashboard under the agent's 'Behaviors' tab, selecting 'Trigger via Zap'. Once active, the agent appears in Actionist's agent selector for the Run Agent action.
Can Actionist wait for the agent to finish before continuing to the next step?
Yes. The Run Agent action has a 'Pause until the agent replies' option. When enabled, Actionist holds the current step until the agent returns its response — useful when the agent's output is the input for the next action (such as writing the response to a CRM or sending it in a Slack message). For long-running research agents, you can also run asynchronously and use Get Agent Run Status to check completion before fetching the response.
How do I keep my Zapier Agent up to date with new documents and policies without editing it manually?
Use the Connect Data Source action to attach updated documents to your agent automatically. When a new policy document, product brief, or knowledge base article is published — in Google Drive, Notion, or Confluence — Actionist can call Connect Data Source to link the file to the agent and call Update Agent Instructions to note the change. The agent references the current document in its responses from that moment forward, with no dashboard visit required.
Can I run multiple Zapier Agents in parallel within a single Actionist automation?
Yes. Actionist can call Run Agent for multiple agents in sequence or in parallel branches, collect their responses individually via Get Agent Response, and then assemble the outputs into a combined result. A common pattern is running a research agent and a copy-writing agent simultaneously — the research output feeds into a separate summarisation step while the copy is being generated — then merging both into a final document before sending.
What happens if a Zapier Agent run fails or times out?
Actionist can check run status with Get Agent Run Status. If the status returns 'failed', Actionist can branch to an error path — posting a Slack alert, creating a ClickUp task, or retrying with a different input. You can also set a maximum wait time when using the synchronous pause option, and configure a fallback action if the agent does not respond within the expected window. Actionist logs the failed run ID so your team has full context for debugging.
How can I use Actionist to govern and audit my Zapier Agent fleet?
Actionist can run scheduled health checks using Get Agent Details and Get Agent Behavior to verify that each production agent has the correct configuration every week. Any agent that has drifted from its expected state can be paused automatically with Pause Agent and an alert sent to the ops lead. All state changes — pauses, resumes, configuration snapshots — can be logged to a Google Sheets governance doc, building an audit trail for compliance review without any manual documentation.
Can Actionist receive outputs from Zapier Agents and route them to other tools?
Yes — that is the primary integration pattern. When an agent completes a run, its output arrives in Actionist as structured data. Actionist can parse the response and route it to any connected app: write it to a CRM record, post it to a Slack channel, create a task in ClickUp, append it to a Google Sheet, or trigger a follow-up agent run. The agent's intelligence becomes actionable data across your entire connected stack within about a minute of the run completing.
