Spreadsheet automation for every team and workflow

ProductivityProjectsDocumentsSpreadsheetsDatabaseAutomation

Zoho Sheet is a cloud-based spreadsheet platform that lets teams create, edit, share, and collaborate on workbooks in real time. Connect it to Actionist and your agents can create rows from external events, update records when upstream data changes, search and delete stale entries, and trigger downstream actions the moment new data lands — all without anyone opening a spreadsheet manually.

Eliminates manual work. Agents eliminate the manual cycle of exporting data from operational systems, opening spreadsheets, typing entries row by row, and running periodic cleanup audits — replacing all of it with automated row creation, updates, and deletions that keep worksheets accurate without human input.

CRM deal update synced to pipeline worksheet

When a deal moves stages in the CRM, the agent searches the Pipeline worksheet by deal ID, updates the Stage and Last Modified columns in the matching row, and posts the updated pipeline value to the #sales Slack channel — the spreadsheet reflects the CRM without a second manual entry.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
    Manual pipeline sheet updates

Reps copy CRM updates into the pipeline spreadsheet by hand after each deal moves — 5 to 10 minutes per deal, every stage change, every week.

    Sales Agent
    0 min
    Agent syncs pipeline rows automatically

The sales agent searches for changed deals and updates rows within about a minute of each CRM stage change — the spreadsheet is always current without any rep touching it.

  • Marketing
    30 min / week
    Manual campaign data entry

The marketing team exports metrics from each channel tool, opens the campaign spreadsheet, and types in the figures row by row — a weekly task that takes up to 45 minutes per campaign.

    Marketing Agent
    0 min
Agent creates campaign rows from live data

The marketing agent creates rows with performance metrics directly from connected channel tools every week — the campaign worksheet fills itself without a CSV export or manual entry.

  • Customer Support
    20 min / week
    Manual helpdesk to spreadsheet copy

Support managers export ticket data from the helpdesk, paste it into the tracking worksheet, and manually update status — a daily task that consumes 20 to 30 minutes and drifts out of sync between updates.

    Customer Support Agent
    0 min
Agent logs and resolves ticket rows automatically

The support agent creates ticket rows when issues open and deletes them when resolved — the tracking worksheet always reflects the live helpdesk without any manual copying.

  • Human Resources
    20 min / week
    Manual headcount sheet updates

HR coordinators update the headcount spreadsheet manually after each hire and departure — a task that takes 15 minutes per change and often lags the HRIS by days.

    Human Resources Agent
    0 min
Agent creates and removes rows at onboarding and offboarding

The HR agent creates new hire rows at the start of onboarding and deletes offboarded employee rows at the end of their last week — the headcount spreadsheet is accurate to the day.

  • Finance
    30 min / week
    Manual expense log entry

Finance staff paste approved expense entries into the Expense Log worksheet each week — copying amount, category, vendor, and cost centre from the expense system one by one.

    Finance Agent
    0 min
Agent logs approved expenses as rows automatically

The finance agent creates a row for each approved expense within about a minute of approval — the Expense Log is complete before the Monday finance review without anyone typing a single entry.

  • Operations
    60 min / week
    Manual mid-week status update collection

The operations manager emails each team lead asking for a weekly status update, collects the responses, and manually enters them into the ops spreadsheet — a cycle that takes over an hour every week.

    Operations Agent
    0 min
Agent assembles the status worksheet from connected tools

The operations agent creates the mid-week status worksheet and populates rows from each team's project tool automatically — the cross-team snapshot is ready without the ops manager chasing anyone.

  • Legal
    40 min / week
    Manual contract register maintenance

Legal staff log new contracts into the register by hand after signing, update renewal dates when terms change, and delete expired contracts during quarterly audits — each step is a manual task with a lag.

    Legal Agent
    0 min
Agent maintains the contract register row by row

The legal agent creates rows for new contracts, updates renewal flags mid-week, and removes expired agreements on schedule — the contract register is always accurate without manual upkeep.

FAQs

Questions about Zoho Sheet + Actionist

How does Actionist connect to Zoho Sheet?
Go to the Apps tab, find Zoho Sheet, and click Connect. Actionist opens a Zoho OAuth window — sign in to your Zoho account and authorise access. The connection covers your Zoho Sheet workbooks in both standard Zoho storage and Zoho WorkDrive. Actionist runs a test read to confirm the handshake before any agent actions run.
Can agents work with both standard Zoho Sheet workbooks and Zoho WorkDrive workbooks?
Yes. Zoho Sheet stores workbooks in two places: your personal Zoho cloud storage and Zoho WorkDrive team folders. Actionist supports both. Actions and triggers have separate variants for each — for example, Create Row targets standard storage, while Create Row (WorkDrive) targets team WorkDrive files. Choose the variant that matches where your workbook lives.
What is the difference between Update Row and Search and Update Row?
Update Row requires you to know the exact row index and updates that specific position. Search and Update Row lets you specify a column condition — for example, find the row where the Order ID column equals 12345 — and updates the first matching row without needing its index. Use Search and Update Row when you are receiving data from another system that carries an identifier but not a row position.
How quickly do Zoho Sheet triggers fire when new data appears?
Zoho Sheet triggers in Actionist are polled rather than webhook-based, so they fire within about a minute of the event occurring in the sheet. If your use case requires a shorter response time, consider structuring the inbound event in the triggering system so Actionist can act immediately on that event rather than waiting for the Zoho Sheet poll.
Can I use Zoho Sheet as both a data source and a data destination in the same agent run?
Yes. A common pattern is to trigger on a new row in one worksheet, read related data from another worksheet using Search Row, perform processing, and write results back to a third worksheet using Create Row or Update Row. The agent can read from and write to multiple worksheets and workbooks in a single run — Zoho Sheet can act as the central data hub for the entire process.
Does Actionist support Zoho Sheet's formula-driven cells, or only plain data?
Actionist writes and reads raw cell values — the data in the cells as text or numbers. When an agent writes a value to a cell that contains a formula, the formula is overwritten with the plain value. When an agent reads a formula cell, it receives the calculated result, not the formula string. If you need to preserve formulas, design the sheet so agent-written columns are separate from formula columns.
How do I avoid agents creating duplicate rows in my Zoho Sheet worksheet?
Use Search Row before Create Row to check whether a matching record already exists. If the search returns a result, use Update Row to modify the existing entry instead of creating a new one. For higher-volume deduplication, include a unique identifier column (such as an email or order ID) and always search by that field before any write operation.
Can the agent create a worksheet and immediately populate it with rows in one run?
Yes. Create Worksheet returns the new worksheet's identifier, which the agent can pass directly into subsequent Create Row actions in the same run. This pattern is useful for monthly or campaign-specific worksheets that need to be created and populated on the same schedule — you get both the structural setup and the data population in one automated sequence.
