CRMProductivityProjectsDatabaseWebsite & CMSNo-Code

Softr is a no-code platform for building client portals, vendor portals, company intranets, and internal CRMs on top of existing databases. Connect it to Actionist and your agents can provision and remove portal users, write and update records in Softr databases, react to data changes in the portal, and keep every portal in sync with upstream systems — all without manual data entry or IT tickets.

Client portal access live the moment a deal closes

When a deal is marked Closed Won in HubSpot, the agent creates the client as a portal user in Softr, generates a magic link, creates their billing record in the portal database, posts the login details to the #onboarding Slack channel, and schedules a 30-day check-in — all before the account manager closes the deal record.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

With Actionist

What your agent runs for you

  • Sales
    20 min / week
    Manual client portal setup

Account managers submit an IT or ops ticket to provision each new client's portal access, then chase the status before the onboarding call — a 1-2 day delay on every new client.

    Sales Agent
    0 min
Agent provisions portal access at deal close

When a deal closes, the agent creates the Softr portal user, generates a magic link, and posts login details to the account manager — portal access live before the first onboarding call.

  • Marketing
    30 min / week
Manual portal lead export and list upload

Marketing manually exports new portal user lists and uploads them to the email marketing platform — a weekly batch that leaves leads out of nurture sequences for days.

    Marketing Agent
    0 min
Agent keeps portal lead data current automatically

New portal leads are enrolled in the nurture database and campaign lists within about a minute of signing up, without the marketing team touching two systems.

  • Customer Support
    25 min / week
Manual ticket status update and client notification

Support agents update the ticket status in the portal manually, then send a separate email to the client — two steps per resolution, every time.

    Customer Support Agent
    0 min
Agent updates ticket status and notifies clients instantly

When a ticket is resolved, the agent logs the resolution in the portal database and sends the client a magic link — the client sees the answer in the portal without a separate email.

  • Human Resources
    15 min / week
    Manual new hire portal setup

HR emails an IT request for each new hire's intranet access, chases confirmation, and manually sends the login details — a process that takes 1-3 days and often isn't complete before the employee starts.

    Human Resources Agent
    0 min
Agent provisions intranet access for every new hire

When a new hire is added to the HRIS, the agent creates their intranet account and sends a magic link — the employee can access onboarding resources before day one.

  • Finance
    20 min / week
    Manual vendor portal invoice entry

Finance manually enters invoice details into the vendor portal after raising them in the billing system — double entry that takes time and introduces transcription errors.

    Finance Agent
    0 min
Agent writes invoice records to vendor portal at creation

When an invoice is raised in the billing system, the agent creates the record in the Softr vendor portal — vendors see it immediately without a separate notification email.

  • Operations
    40 min / week
    Manual portal database audit

Operations manually checks each Softr portal database for missing records, schema changes, and user count discrepancies — a quarterly task that catches problems too late.

    Operations Agent
    0 min
Agent runs weekly portal health and reconciliation checks

The operations agent checks that all databases and tables are present, reconciles record counts against source systems, and flags discrepancies — all without a manual audit task.

  • Legal
    12 min / week
    Manual external party portal provisioning

Legal submits an IT request for each new counterparty's portal access, then manually emails login instructions — a process that takes a day and often delays document review.

    Legal Agent
    0 min
Agent provisions secure portal access for external parties

When an engagement is confirmed, the agent creates the counterparty's portal access and delivers a magic link — external counsel can access documents within a minute of the event.

FAQs

Questions about Softr + Actionist

How does Actionist connect to Softr?
Go to the Apps tab in Actionist, find Softr, and click Connect. Paste your Softr API key — found in your Softr workspace under Settings > API. Actionist runs a test call to confirm the handshake before any actions run. You will need to provide your Softr application domain (e.g. yourapp.softr.app) for actions that target a specific portal.
Can Actionist manage users across multiple Softr apps at once?
Actionist can manage users across all your Softr apps. When you create or delete a user, you specify the domain of the target Softr app. This means a single Actionist agent can provision users in your client portal, an internal intranet, and a vendor portal simultaneously — each app is addressed by its custom domain or Softr subdomain.
Can Actionist write data directly into Softr databases?
Yes. Actionist reads and writes directly to the databases connected to your Softr apps via the Softr API. When a record is created or updated in an external trigger (a form submission, a CRM update, a payment event), the agent can instantly create the matching record in your Softr database — so your portal data stays current without manual entry.
How quickly does Actionist react to new or changed records in Softr?
Actionist polls the Softr 'Database Record Added' and 'Database Record Updated' triggers within about a minute of the event occurring. When a new row lands in a Softr database table, the agent picks it up and fires downstream actions — sending a Slack alert, updating a CRM record, or provisioning portal access for the new entry.
What are the most common things agents do with Softr?
The most common patterns are: (1) auto-provisioning — when a deal closes in the CRM, the agent creates the client user in the Softr portal immediately; (2) data sync — pulling records from external sources and writing them into Softr so the portal always reflects the latest data; (3) lifecycle management — deleting or deactivating portal users when an offboarding event fires in the HRIS; (4) record reconciliation — using Find Database Record to check if a record exists before creating a duplicate.
How do I avoid creating duplicate records in Softr databases?
Use the Find Database Record action before running Create Database Record. The agent searches for an existing row matching a key field (such as email or company ID). If a match is returned, it updates the existing record instead of creating a duplicate. This keeps your Softr database clean and your portal data deduplicated without any manual review.
Does Actionist need to open a browser to interact with Softr?
No. Actionist connects to Softr through the Softr API, which operates independently of your portal's front-end. Actions like creating users or writing database records happen server-side and do not require Actionist to interact with the portal UI. Computer Use is Actionist's separate desktop capability for apps that have no API — Softr's API covers all the essential operations.
Can Actionist send magic-link invitations when provisioning new portal users?
Yes. When the agent creates an app user via the Softr API, you can set the 'Generate Magic Link' parameter to true. Softr generates a one-time authentication link for that user. The agent can then pass this link into a downstream action — emailing it via Gmail, sending it via Slack, or adding it to a CRM record — so the new client receives a frictionless first-login experience without you doing anything manually.
