Questions about AirProcess + Actionist

How does Actionist connect to AirProcess?
Go to the Apps tab in Actionist, find AirProcess, and click Connect. Paste your AirProcess API token into the connection field — you generate the token in your AirProcess account settings under the API section. Actionist sends all requests to app.airprocess.com using that token as a Bearer header. Actionist runs a test call to the /model endpoint to confirm the handshake before any automations run.
What can Actionist do with AirProcess records?
Actionist agents can read records individually or in bulk, create new records from external data, update existing records field by field, delete confirmed duplicates permanently, and safely move records to trash when you want to retire them without losing the data. Agents can also run advanced MongoDB-style filter searches across any model to retrieve exactly the subset of records they need.
What is the difference between Delete a Record and Send to Trash?
Delete a Record permanently removes the entry from AirProcess with no recovery path — appropriate for confirmed duplicates or test data. Send to Trash moves the record to the AirProcess trash, where it remains accessible for recovery. For most business records — closed leads, resolved tickets, offboarded employees — Send to Trash is the safer choice because it preserves data for audit trails, compliance reviews, and retrospective analysis.
How does the Mongo filter search work?
The Find Records (Mongo Filter) action sends a POST request to the AirProcess model endpoint with a MongoDB-syntax filter object. You build the filter using field/value pairs — for example, filtering for records where 'status' equals 'Open' and 'priority' equals 'High'. You can use the field-builder mode for simple conditions or pass raw JSON for complex nested queries. The search also accepts skip and limit parameters for pagination across large record sets.
Can Actionist work across multiple AirProcess models in one automation?
Yes. Each AirProcess action takes a model ID as a parameter, so a single agent task can read from one model, create a record in another, and update a third model in sequence. Agents can also call Get Models first to discover the available models dynamically, which means automations continue to work correctly even after the workspace is restructured or new models are added.
Can Actionist react to changes in AirProcess within about a minute?
AirProcess does not currently emit webhook triggers that Actionist can listen to, so the agent cannot react to an AirProcess change within about a minute. Instead, Actionist agents are typically the writers — they create and update AirProcess records in response to events from other tools like HubSpot, Stripe, or Google Sheets. For time-sensitive checks, the agent can run a scheduled search on a short cadence to surface new or changed records.
How does Actionist handle AirProcess field mapping when creating records?
When calling Create a Record or Update a Record, you can either pass a raw JSON body (useful when you know the exact field IDs from AirProcess) or use the field-builder mode where you specify field ID and value pairs. You can retrieve the correct field IDs by calling Find One Model first — it returns the full schema for a given model including every field's ID, type, and display name.
Can Actionist manage AirProcess users, groups, and workspaces?
Yes, in read-only mode. Actionist can call Get Users to list all account users, Get Groups to list all groups, Get Workspaces to list all workspaces, and Get Applications to list all applications. These actions are most useful for governance automations — weekly access audits, workspace inventory checks, and compliance sweeps — where the agent compares the AirProcess state against an approved register and flags any discrepancies.
