NDA sent automatically when a deal hits Proposal stage

When a deal moves to Proposal stage in HubSpot, the agent retrieves the prospect's details, creates a personalised NDA in AllSign using the DOCX template, records the document ID against the deal, and notifies the rep in Slack — the prospect receives the signing invitation before the rep has finished their follow-up call.

FAQs

Questions about AllSign + Actionist

How does Actionist connect to AllSign?
Go to the Apps tab, find AllSign, and click Connect. You will need an API key from your AllSign Dashboard at dashboard.allsign.io/developers/api-keys. Generate a live key (starts with allsign_live_sk_), paste it into the API Key field in Actionist, and click Test connection. Actionist makes a read-only call to /v2/test/security to confirm the handshake before any document operations run.
What signature types and compliance standards does AllSign support?
AllSign supports multiple validation levels on the same document. You can combine: Autógrafa (handwritten digital signature, enabled by default), FEA (Mexico Advanced Electronic Signature), eIDAS (European standard), NOM-151 certified timestamping, Biometric Selfie with face comparison, ID Scan, Video Signature, Identity Verification, SynthID AI-detection, and Confirm Name. Your agent configures which validations to require per document based on the compliance level your workflow demands.
Can Actionist send signing invitations via WhatsApp as well as email?
Yes. Each signer in a document request has a delivery method field set to email or whatsapp. If you provide both an email address and a WhatsApp number for the same signer, AllSign sends OTP verification on both channels during signing — dual-channel confirmation. WhatsApp-only signers place their signature manually when they open the signing link; email signers can have their signature fields pre-positioned by coordinates or anchor text.
How does the agent position signature fields on the document?
The agent can place signature fields precisely on the document before sending. Two placement modes are available: by coordinates (X, Y position and page number) or by anchor text (the agent searches for a text string in the PDF and places the field where it appears). Fields can also be set to appear on all pages. If you do not specify fields, AllSign auto-generates a default signature box for each signer.
Can the agent fill in DOCX template variables before sending a contract?
Yes. For DOCX templates, the agent can pass key-value pairs as template variables when creating the document. Placeholder syntax like {{ client_name }} or {{ amount }} in your DOCX is replaced with the values you provide before the document is sent. This lets you maintain a single master contract template and generate personalised signable documents for each deal or client from your CRM data.
Can I set an expiration deadline so documents cannot be signed after a certain date?
Yes. The agent can set an expiration date on any document at creation time. After the deadline, AllSign marks the document as expired and signers can no longer complete it. This is useful for time-limited offers, regulatory compliance windows, or onboarding processes where a lapsed document should not be signed. The agent can combine expiration with a monitoring step that notifies you of unsigned-before-expiry documents.
Does Actionist keep signed documents organised in AllSign folders automatically?
The agent can assign a named folder when creating a document, either by folder name or folder UUID. If you provide a name that does not yet exist in your AllSign account, AllSign creates the folder automatically. Organising documents into folders from the moment of creation means your signed-document archive stays structured without any manual filing after the fact.
Can I control who owns and can access a document in AllSign?
Yes. When creating a document you can designate an owner email (which can differ from the API key holder) and add collaborators with granular permissions: read, update, delete, sign, or admin. A collaborator cannot simultaneously be a signer. This lets a legal team member own the document record while sales provides read access to account managers and a third-party auditor gets read-only access — all set at document creation by the agent.
