Support ticket acknowledged and tagged within a minute

When a new email lands in the support inbox, the agent checks whether a matching category tag exists, creates one if not, and prepares a draft acknowledgement for the support agent to review and send. A summary is posted to the #support Slack channel so the team knows a new ticket has arrived — all without a human manually triaging the inbox.

  • Human Resources

    Human Resources Agent
    0 min
Agent sends onboarding emails and creates folders per hire

    Manual invoice email logging

Finance manually reads each invoice email, copies the details to a tracking sheet, and sets a calendar reminder for the payment due date — repeated for every invoice received.

    Finance Agent

FAQs

Questions about Zoho Mail + Actionist

How does Actionist connect to Zoho Mail?
Go to the Apps tab, find Zoho Mail, and click Connect. An OAuth window opens — sign in to your Zoho account and grant Actionist permission to read and send email on your behalf. The connection is confirmed with a test call before any agent actions run. If your organisation uses Zoho One or a custom domain, connect using the Zoho account associated with that domain.
What Zoho Mail permissions does the Actionist agent need?
Actionist needs the ZohoMail.messages.ALL and ZohoMail.folders.ALL OAuth scopes to read, send, and organise email. These are requested automatically during the OAuth flow. If you only want to send email, read-scope permissions are still requested so the agent can verify sent items and match incoming replies. You cannot restrict the agent to send-only via the standard OAuth path.
How quickly does the agent react when a new email arrives in Zoho Mail?
Yes. Actionist polls your Zoho Mail inbox within about a minute of a matching email arriving. You can filter triggers by folder, by tag, or using Zoho Mail's advanced search syntax (e.g. sender:invoices@supplier.com entire:overdue). Multiple agents can each watch different folders or search conditions independently.
Can the agent send emails with attachments and custom formatting?
Yes. The Send Email action supports To, Cc, Bcc, From, Subject, Body (plain text or HTML), and file attachments. The agent can compose the full email body from data pulled from other apps — such as a CRM contact record, a Google Sheets row, or a support ticket — and send it from any sender address authorised on your Zoho Mail account.
Can I review emails before the agent sends them?
Use the Create Draft action instead of Send Email. The draft sits in your Zoho Mail Drafts folder and you can review and edit it before sending. This is the recommended pattern for any email that goes to a client or partner and needs a human check before dispatch. You can pair it with Approval Modes so the agent waits for your sign-off in Telegram or Slack before creating the draft.
Can the agent create folders and tags to organise my inbox automatically?
Yes. The Create Folder action creates a new mail folder (or subfolder) in your Zoho Mail account. Use this to build automatic filing structures: when a new project is created in your project tool, the agent creates a matching Zoho Mail folder for all project correspondence and applies a tag via Create Tag so emails auto-route to it.
Can Zoho Mail work with my CRM and other Zoho apps inside Actionist?
Yes — Zoho Mail works alongside any other connected app. Common combinations include: triggering actions in HubSpot or Zoho CRM when a specific email arrives; sending automated Zoho Mail notifications when a Google Sheets row is updated; creating Zoho Mail tasks from emails received via the New Email trigger; or forwarding structured summaries to Slack when high-priority tagged emails appear.
What does the Create New Task action do in Zoho Mail?
The Create New Task action creates a task directly inside Zoho Mail's built-in task manager. Tasks can include a title, description, and due date. This is useful for turning an email thread into a follow-up action without leaving the email context — for example, when a legal or compliance email arrives, the agent creates a task automatically with the email subject as the task title and a due date seven days out.
