New booking auto-fills the team calendar and CRM

When a client books a meeting in Calendly, the agent creates a Teamup event on the Sales sub-calendar with the client's name, meeting link, and deal stage from HubSpot pre-filled in the notes. The HubSpot deal is updated with a 'meeting scheduled' activity, and a prep task is created in ClickUp for the rep — all within about a minute of the booking confirmation landing.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
Manual calendar entry for every booking

Reps paste meeting details from Calendly or HubSpot into Teamup by hand — every booking takes 3–5 minutes to enter, and rescheduled meetings often get missed.

    Sales Agent
    0 min
Agent creates and updates every sales event automatically

When a deal moves to Demo or a booking lands in Calendly, the agent creates the Teamup event with the client name, deal stage, and meeting link pre-filled — no manual entry.

  • Marketing
    20 min / week
Manually adding campaign milestones to the shared calendar

Marketing managers copy campaign dates from spreadsheets into Teamup each week — a repetitive task that often falls behind when campaign plans change.

    Marketing Agent
    0 min
Agent populates the marketing calendar from campaign planning data

Every time a campaign milestone is added to the planning sheet, the agent creates the corresponding Teamup event — the marketing calendar stays current without anyone manually entering dates.

  • Customer Support
    30 min / week
Manual scheduling of check-in calls and training sessions

CSMs check HubSpot, compare it against the calendar, and manually create Teamup events for each customer check-in — a process that takes 10–15 minutes per session scheduled.

    Customer Support Agent
    0 min
Agent schedules check-ins and training sessions from the CRM

When an at-risk customer needs a check-in or a training request appears, the agent creates the Teamup event and notifies the CSM via Slack — no manual calendar work required.

  • Human Resources
    40 min / week
Manual onboarding schedule creation for each new hire

HR coordinators manually create four to six onboarding events per new hire in Teamup every week — a repetitive 20-minute task for each new employee.

    Human Resources Agent
    0 min
Agent auto-provisions the full onboarding schedule on hire

When a new employee appears in the HRIS, the agent creates their personal sub-calendar and all onboarding events before the hire's first day — zero manual scheduling.

  • Finance
    15 min / week
Manually placing financial review and audit dates in the calendar

Finance teams manually add review, audit, and quarter-close events to Teamup at the start of each quarter — a task that takes up to an hour and is often duplicated across calendars.

    Finance Agent
    0 min
Agent creates and verifies all financial milestone events automatically

The Finance agent checks for missing review and audit events weekly and creates them if absent — the finance calendar is always accurate without any manual setup each quarter.

  • Operations
    35 min / week
Manual weekly schedule digest and sub-calendar management

Operations managers compile the weekly team schedule by checking each sub-calendar individually and pasting events into a Slack message — a 30-minute task every Monday morning.

    Operations Agent
    0 min
Agent compiles and posts the full cross-team schedule digest

Every Monday at 7:30 AM the agent pulls events from all sub-calendars and posts the cross-team weekly digest to Slack automatically — the team has their week's schedule before anyone arrives.

  • Legal
    45 min / week
Manually creating compliance and contract review events

Legal coordinators check the regulatory deadline register and contract renewal list weekly, then manually create Teamup events for each review and filing — a 45-minute process every week.

    Legal Agent
    0 min
Agent scans deadlines and creates preparation events automatically

The Legal agent checks compliance deadlines and contract renewal dates weekly and creates preparation events with the right lead times and assigned counsel — no manual calendar entry required.

How to plug Teamup Calendar into Actionist

Pick the connection method that suits your environment.

Connect Teamup Calendar using your calendar's API key. Each Teamup calendar has its own API key that controls read/write access to its sub-calendars and events.

1
Find your Calendar Key

Open your Teamup calendar. The calendar key is the unique string in the URL after teamup.com/ (e.g. teamup.com/ks123abc). Copy this key.

2
Generate an API Key

In Teamup, go to Settings → API. Generate a new API key with read and write permissions for the sub-calendars you want Actionist to manage.

3
Paste both keys into Actionist

In the Actionist Apps tab, find Teamup Calendar and click Connect. Paste your Calendar Key and API Key into the fields and click Test Connection.

FAQs

Questions about Teamup Calendar + Actionist

How does Actionist connect to Teamup Calendar?
Go to the Apps tab in Actionist, find Teamup Calendar, and click Connect. You will need two pieces of information: your Teamup calendar key (the unique string in your Teamup URL) and an API key generated from your Teamup Settings → API page. Paste both into the connection fields and Actionist will run a test call to confirm access before any actions run.
Can Actionist work with multiple Teamup sub-calendars at once?
Yes. Each action and trigger you configure specifies which sub-calendar it targets by sub-calendar ID. You can set up separate agent jobs for each team's sub-calendar — for example, the Sales agent creates events on the Sales sub-calendar while the HR agent manages the HR sub-calendar independently. The List Sub-Calendars action returns all available sub-calendar IDs so your agent can dynamically select the right one.
How quickly does Actionist react when a new event is created in Teamup?
Actionist polls Teamup for new and updated events within about a minute of the event being created. This covers the New Event, New or Updated Event, New Event Matching Search, and New Sub-Calendar triggers. The Event Start trigger fires based on the time you specify before the event begins, so you can set it to fire 10 or 15 minutes before a meeting for pre-event prep actions.
Can Actionist sync Teamup events to Google Calendar or Outlook?
Yes. When Actionist detects a new or updated event on a Teamup sub-calendar via the New or Updated Event trigger, it can create or update a corresponding event in Google Calendar or Microsoft Outlook (both are supported apps in Actionist). This keeps your shared Teamup calendar and individual team members' personal calendars in sync without any manual cross-entry.
What is the Remote ID field and when should I use it?
The Remote ID field in Teamup lets you store an external identifier on each event — for example the ID of a HubSpot deal, a ClickUp task, or a Calendly booking. When you store a remote ID at event creation, you can later use the Find Event Matching Remote ID action to retrieve or update that event by its source system's ID rather than having to search by title or date. This is the recommended pattern for bidirectional syncing between Teamup and any external system.
Can Actionist create recurring events in Teamup?
Yes. The Create Recurring Event action lets you define a recurrence rule — daily, weekly, monthly, or custom — when creating an event. This is useful for setting up weekly standups, monthly review meetings, or quarterly check-ins automatically when a new project or employee record appears in your other systems. Updating a recurring event affects all future occurrences unless you target a single instance by event ID.
Does Actionist need API access to manage Teamup without the web interface?
Yes. Actionist connects to Teamup through the Teamup REST API using your calendar key and API key. This means it can create, update, delete, and read events and sub-calendars programmatically, without needing to interact with the Teamup web interface. All operations happen server-side through the API, so you do not need to leave the Actionist interface open for scheduled actions to run (requires the cloud runtime plan).
How do I keep my Teamup calendar tidy when old events accumulate?
You can schedule a weekly agent job that retrieves events older than a set number of days using Get Events in Date Range, exports key details to a Google Sheets archive log, and then calls Delete Event for each past event. This pattern keeps the active Teamup calendar focused on current and future events while preserving a full historical record in your chosen external log. The Operations and Legal agent calendar entries in this page demonstrate this pattern in practice.
