How does Actionist connect to Quickbase?
Go to the Apps tab in Actionist, find Quickbase, and click Connect. You will need a Quickbase User Token and your realm hostname (for example, mycompany.quickbase.com). To generate a User Token, log in to Quickbase, go to My Profile, select My Preferences, then Manage User Tokens, and create a new token. Paste both values into the connection form and Actionist will run a read-only test to confirm the handshake before any actions run.
What permissions does the Quickbase User Token need?
The User Token inherits the permissions of the Quickbase user who created it. For read-only operations (Find Record, Query Records, Find Application), the user needs at least Viewer access to the relevant tables. For write operations (Create Record, Update Record, Delete Record), the user needs Editor or higher access. For upsert operations across multiple tables, make sure the user has Editor access to all target tables. It is best practice to create a dedicated Actionist service account in Quickbase with precisely scoped table-level permissions rather than using an admin token.
Can Actionist watch for new or changed records in Quickbase and trigger an automation?
Yes. The New Record trigger fires within about a minute when a new record is created in a Quickbase table you specify. The New or Updated Record trigger fires within about a minute when any record in the table is created or modified. Both triggers support optional field criteria so you can filter — for example, only fire when the status field equals 'High Priority'. Note that polling runs approximately every 45 seconds so triggers fire within about a minute rather than instantly.
How do I avoid creating duplicate records in Quickbase?
Use Find or Create Record for individual records — it searches the table for a match on a field you specify (such as email address or external ID) and only creates a new record if none is found. For bulk imports, use Create / Update Records From Array with a merge field set — this performs an upsert, updating existing records and creating new ones in a single operation. Both approaches keep the table clean without requiring a manual deduplication step.
Can Actionist sync data between Quickbase and other apps like Google Sheets, HubSpot, or Salesforce?
Yes. Actionist can read from or write to Quickbase alongside any other connected app in the same agent task. Common patterns: create a Quickbase record whenever a HubSpot deal advances to a new stage; update a Quickbase record when a Google Sheets row changes; query Quickbase and write the results to a Google Sheet for reporting; or trigger from a new Quickbase record and create a corresponding contact in Salesforce. The agent treats Quickbase as one source of truth alongside your other connected tools.
How do I import a large number of records from a spreadsheet into Quickbase?
Use the Create / Update Records From Array action. Read the source spreadsheet rows as an array in one step, then pass the array to Quickbase in the next step, specifying a merge field (such as an ID column) to match existing records. Actionist will upsert the full array in a single call — creating new records and updating existing ones. This replaces the manual CSV export-format-import cycle and posts a receipt showing how many records were created versus updated.
Can I use Quickbase as the source of a weekly automated report?
Yes. Use the Query Records action on a schedule — for example, every Monday at 08:00 — to pull all records matching your criteria (open work orders, overdue invoices, expiring contracts). The agent formats the results and posts them to Slack, writes them to a Google Sheet, or sends an email digest. The report is generated from live Quickbase data every time it runs, so there is no stale spreadsheet to maintain.
Does Actionist support Quickbase's multi-table application structure?
Yes. Each action in Actionist requires you to specify both the Application ID and the Table ID, so you can target any table within any Quickbase application your User Token has access to. A single agent task can read from one table and write to another, or chain operations across multiple tables in the same application. You can also use Find Application and Find Table to look up IDs dynamically rather than hardcoding them into the configuration.
