Eliminates manual work. Agents eliminate manual lead creation from chat and LSA events, duplicate data entry between Intaker and the CRM, weekly AI Agent conversation reporting, inbound SMS routing, and compliance documentation tasks — work that otherwise falls on intake coordinators and the office manager every day.

Web form submission to intake pipeline in seconds

When a potential client submits a contact form, the agent creates a new lead in Intaker with the matter type, contact details, and a desk task for the intake coordinator. The coordinator opens their board and the lead is already there, categorised and ready to call — no copy-pasting from an email.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    40 min / week
Manual lead entry after every inbound contact

Intake coordinators copy name, phone, matter type, and source from chat logs or LSA emails into Intaker by hand — two to five minutes per lead, and details get lost when the inbox is busy.

    Sales Agent
    0 min
Agent creates and routes every lead automatically

When a chat ends, an LSA fires, or a form is submitted, the agent creates the Intaker lead, assigns the pipeline, and adds the contact to the AI Agent sequence within about a minute — coordinators only touch leads that need a human decision.

  • Marketing
    60 min / week
    Manual AI Agent conversion reporting

The marketing team exports conversation logs from Intaker, counts completed and abandoned sequences in a spreadsheet, and presents the results at the weekly meeting — an hour of admin that produces day-old data.

    Marketing Agent
    0 min
Agent compiles AI Agent conversion stats automatically

Every Tuesday the agent fetches all AI Agent conversations, calculates completion and abandonment rates per agent, and posts the ranked digest to Slack before the planning meeting — current data, zero admin.

  • Customer Support
    30 min / week
Manual inbound SMS routing and logging

When an SMS arrives in Intaker, a coordinator reads it, copies the content to the CRM note, and forwards the gist to the responsible paralegal — three minutes per message, and messages received after hours wait until morning.

    Customer Support Agent
    0 min
Agent logs, routes, and flags every inbound SMS

When an SMS arrives, the agent adds a note to the lead, routes it to the on-duty coordinator via Slack, and checks for opt-out keywords — the coordinator gets context without opening Intaker, and out-of-hours messages are queued for morning.

  • Human Resources
    20 min / week
    Manual intake coordinator workload tracking

The office manager eyeballs the Intaker task board each week to estimate who is overloaded, with no objective count — imbalances surface only when someone misses a lead or complains.

    Human Resources Agent
    0 min
Agent surfaces workload imbalances with objective counts

Every Thursday the agent counts open tasks per coordinator, compares each to the team average, and flags anyone over capacity to the office manager before it becomes a missed-lead problem.

  • Finance
    30 min / week
    Manual LSA cost-per-lead calculation

At the end of each week the office manager exports the LSA lead count from Intaker, cross-references it with the Google Ads spend export, and calculates cost-per-lead in a spreadsheet — a 30-minute exercise every Friday.

    Finance Agent
    0 min
Agent computes cost-per-lead automatically every Friday

The Finance Agent lists this week's LSA leads, divides the week's spend by the count, and writes cost-per-lead and cost-per-retained-client to the tracking sheet — the finance review starts with current numbers, not last week's guess.

  • Operations
    45 min / week
    Manual master lead registry updates

Someone on the ops team exports leads from Intaker to Google Sheets every Monday, reformats the columns, and pastes updated statuses into the master registry — a 45-minute task that is always one export behind.

    Operations Agent
    0 min
Agent keeps the registry current automatically

Every Monday the agent lists all leads updated in the past 7 days, retrieves full details for each, and syncs statuses and stages to the Google Sheets registry before the standup — the registry is live, not exported.

  • Legal
    25 min / week
    Manual conflict-check documentation audit

The paralegal reviews the consultation calendar each week, opens each lead in Intaker to check for a conflict-check note, and logs missing documentation by hand — a time-consuming exercise that is easily skipped when the intake queue is heavy.

    Legal Agent
    0 min
Agent audits conflict-check docs before each consultation

Every Tuesday the agent lists all Consultation Scheduled leads, checks each for a conflict-check note, and flags missing documentation to the supervising attorney before any consultation happens — compliance without the manual checklist habit.

FAQs

Questions about Intaker + Actionist

How does Actionist connect to Intaker?
Actionist connects to Intaker using your organisation API key. Go to the Apps tab in Actionist, find Intaker, and click Connect. You will need your API key from the Intaker developer settings and your numeric Organisation ID from the Intaker dashboard URL. Actionist runs a test call after you paste the credentials to confirm the connection before any actions run.
Which law firm functions does the Intaker integration cover?
The integration covers the full client intake lifecycle: creating and routing leads from website chat, LSA, callback requests, and web forms; enrolling contacts into AI Agent SMS follow-up sequences; monitoring conversation activity and surfacing stalled threads; logging intake notes and status changes; tracking pipeline stage progression; and auditing SMS consent for bar association compliance. Each function maps to a specific Intaker API operation.
Can Actionist trigger actions in other apps when a lead status changes in Intaker?
Yes. The Lead Status Changed trigger fires within about a minute when any lead status is updated in Intaker — you can pair it with any connected app. Common combinations include creating a new case file in your practice management system when a lead is marked Retained, sending a welcome SMS when status changes to Retained, requesting client feedback when a lead is closed as Not Retained, or logging the conversion event to a Google Sheets finance tracker.
How does Actionist handle Intaker's AI Agent SMS outreach?
Actionist can enrol a contact into a specific AI Agent sequence using the Add Contact to AI Agent action, which sends the contact's phone number to the specified AI Agent in your Intaker account. The actual SMS messages are composed and sent by Intaker's AI Agent engine — Actionist orchestrates when the enrolment happens and which AI Agent is used, based on conditions in your automation (for example, enrol when a lead is created from an LSA source, or re-enrol when a conversation has been inactive for five days).
What happens if a lead's AI Agent conversation stalls?
You can set up an Actionist automation that runs on a schedule — for example, every Monday morning — which calls the Get AI Agent Conversations and Get AI Agent Conversation Updates actions to identify threads with no reply for more than a defined number of days. For each stalled lead, the agent can create a human follow-up task in Intaker, send a Slack alert to the intake coordinator, or re-enrol the contact in a re-engagement AI Agent. The stall threshold and follow-up action are configurable.
Does Actionist support two-way SMS through Intaker?
Yes. Actionist can send outbound SMS to a lead via the Send SMS to Lead action, and the New SMS Received trigger fires within about a minute when an inbound reply arrives. You can build a loop where the agent sends a confirmation text, waits for the inbound reply trigger, reads the message, and routes it to the right coordinator via Slack — all without anyone manually monitoring the Intaker inbox.
Can Actionist help with bar association intake compliance requirements?
Yes. You can use Actionist to automate several compliance tasks: checking that every lead scheduled for a consultation has a conflict-check note before the appointment, logging adverse-outcome referrals to a compliance spreadsheet, auditing AI Agent SMS conversations for prohibited language or unclear consent, and archiving intake communication histories for bar association record-keeping. These are scheduled agent jobs that run on a weekly cadence (or triggered on status change), not manual processes.
How quickly does Actionist respond to new chats, callback requests, and LSA leads?
Intaker triggers — New Chat, New Callback Request, New LSA Lead, New SMS Received, New Call Now, Lead Status Changed — all fire through Intaker's webhook mechanism. Actionist polls these events and processes them within about a minute of the event occurring in Intaker. For speed-to-lead use cases (LSA and callback in particular), this means the AI Agent outreach SMS and the coordinator Slack alert go out within about a minute of the lead arriving.
