How does Actionist connect to Capsule CRM?
Go to the Apps tab in Actionist, find Capsule CRM, and click Connect. Actionist connects via OAuth — a Capsule authorisation window opens, you sign in and grant Actionist permission to read and write your contacts, opportunities, projects, and tasks. The handshake completes in seconds and Actionist confirms the connection with a test read before any actions run.
Can the agent create contacts without creating duplicates?
Yes. The agent always calls Find Contact with the prospect's email address before creating anything. If a matching record exists, it updates the existing contact rather than creating a new one. Only when no match is found does it call Create Contact. This prevents duplicate records from accumulating when the same person arrives via multiple channels — form, event, direct email.
Which Capsule objects can the agent read and write?
The agent can create and update contacts (people and organisations), create and update opportunities, create and update projects, create tasks, add notes to any entity, and add tags to any entity. On the read side it can search for contacts, opportunities, projects, milestones, and stages, and list contacts and opportunities for bulk operations.
How quickly does the agent react to changes in Capsule?
Triggers in Actionist poll Capsule within about a minute. When an opportunity is marked Won, a contact is updated, a task is overdue, or a project changes status, the downstream actions — creating tasks, posting to Slack, updating a spreadsheet — begin within about a minute of the change happening in Capsule.
Can the agent manage pipeline hygiene automatically?
Yes. A scheduled agent can list all open opportunities each week and flag those with no stage change, note, or completed task in a defined period — say 14 or 21 days. For each stale deal it creates a 'Review or close' task assigned to the owning rep. The pipeline stays accurate between formal review meetings rather than being audited only at the end of each quarter.
Will the agent send anything to customers or contacts without my approval?
No. Actionist's Approval Modes give you full control. The agent can be configured to draft communications and wait for a human to approve before sending, or flag items in Slack for your review. Destructive or customer-facing actions always surface for approval in the mode you choose — the agent never communicates with a contact without the approval path you set.
Can I use Actionist with Capsule if I'm on the Starter plan?
Actionist connects to Capsule CRM via the standard Capsule API, which is available across Capsule's paid plans. Check your Capsule plan to confirm API access is included. The Actionist connection itself doesn't require a specific tier on the Actionist side — the agent's available actions are the same regardless of your Capsule plan.
Can the agent run Capsule tasks around the clock?
Scheduled agents that run CRM hygiene checks, forecast updates, or pipeline reviews can run continuously when you're on a cloud runtime plan (requires an upgrade — the cloud runtime keeps agents running even when your laptop is closed). Without the cloud plan, scheduled tasks run while the Actionist desktop app is active. For most pipeline hygiene jobs a daily or weekly schedule during business hours is sufficient.
