When a prospect submits a lead form in Typeform, the agent registers them as a BotConversa subscriber, sends the qualification chatbot flow to their WhatsApp, creates a HubSpot contact and deal, and notifies the sales team in Slack — all within about a minute of the submission.

    Customer Support Agent
    0 min

  • Human Resources

HR manually adds each new hire to BotConversa, fills in their custom fields, and enrolls them in the onboarding sequence — adding 15 minutes per hire.

    Human Resources Agent
    0 min

The operations agent automatically finds each changed CRM record's subscriber and updates their BotConversa custom fields — chatbot flows always reference current data.

  • Legal
    45 min / week

Legal manually identifies subscribers needing consent flows, sends them individually, and tracks opt-out requests in a spreadsheet — both error-prone and time-consuming.

    Legal Agent
    0 min
Agent sends consent flows and processes opt-outs automatically

The legal agent dispatches LGPD/GDPR consent flows to new subscribers and processes opt-out requests by removing subscribers from sequences with a full audit trail.

FAQs

Questions about BotConversa + Actionist

How does Actionist connect to BotConversa?
Go to the Apps tab, find BotConversa, and click Connect. Select API key, then log into your BotConversa account, navigate to Settings and copy your API key. Paste it into the Actionist connection field and click Test connection. Actionist runs a read call to verify the handshake before any actions run.
Can Actionist add leads from my CRM or forms directly into BotConversa?
Yes. When a new lead fills a form in HubSpot, Typeform, or Google Sheets, Actionist calls Create a New Subscriber to add them to BotConversa and then calls Send Flow to kick off your welcome chatbot sequence — all without manual intervention. The subscriber is in BotConversa and receiving messages within about a minute of the form submission.
How do I sync new BotConversa subscribers to my CRM?
Use the New Subscriber trigger. Within about a minute of a new contact opting into your WhatsApp chatbot, Actionist detects the event and can write the contact to your CRM, create a deal in HubSpot, add a row to Google Sheets, or send a Slack notification to your sales team — whatever downstream action fits your pipeline.
How can I trigger actions in other apps when a subscriber is tagged in BotConversa?
Use the New Tag trigger. When BotConversa assigns a specific tag to a subscriber (for example, 'interested', 'hot-lead', or 'support-request'), Actionist detects it within about a minute and can route the contact to the appropriate team, update a deal stage, or start a sequence in your email platform. Tag-based routing is one of the most common patterns for multi-stage WhatsApp funnels.
Can Actionist stop a BotConversa sequence when a subscriber does something in another app?
Yes. The Deletes Subscriber From a Sequence action lets Actionist remove a contact from a running message sequence — useful when a subscriber replies to a human agent, completes a purchase, or opts out via another channel. Pair it with the Close Conversation action to fully hand the contact off to live support without the sequence messages continuing in parallel.
How do I update a subscriber's custom fields when their data changes in another system?
Use Find Subscriber by Phone first. This action looks up the subscriber by their WhatsApp number and returns their current profile. If the subscriber exists, Actionist can then call Update Custom Field to overwrite any variable stored against their profile — useful for keeping purchase history, lead scores, or support tier in sync with your CRM or payment platform.
Can I trigger Actionist actions from inside a BotConversa chatbot flow?
Use the Zapier Block Activated trigger. When a subscriber hits an integration block inside a BotConversa flow — for example a block you placed at the point where they confirm an appointment or request a callback — Actionist detects it within about a minute and can create a calendar event, assign a task in ClickUp, or notify a human team member via Slack. This is the cleanest way to bridge chatbot conversational steps to operational actions in your stack.
Does Actionist need a separate BotConversa account for each team member?
BotConversa connects via an API key, which means a single set of credentials covers your whole company account. There is no per-seat token or OAuth flow. The API key inherits the permissions of the account it belongs to, so use a key from an admin account to ensure Actionist can read and write all subscribers, tags, flows, and sequences.
