Lead calls within a minute of form submission

When a prospect submits a demo request on the website, the agent reads the form data from HubSpot, triggers a Make a Call with the lead's name, company, and product interest injected as assistant variables, and waits for the Call Ended event. On call end, it reads the extracted qualification variables, moves the lead to the right CRM pipeline stage, and posts a Slack summary to the assigned rep — all before the rep finishes reading the notification email.

How to plug Autocalls into Actionist

Pick the connection method that suits your environment.

Connect Actionist to Autocalls using an API key from your Autocalls account. Your agent can then make calls, retrieve call data, and list your assistants.

1
Generate your API key

Sign in to app.autocalls.ai, go to your account settings, open the API Keys section, and click Generate. Copy the key — you will only see it once.

2
Paste the key into Actionist

Find Autocalls in the Actionist Apps tab, click Connect, paste your API key into the field, and click Test connection. Actionist verifies the key against the Autocalls API before saving.

3
Register your webhook URL

To receive call-ended events, copy the webhook URL Actionist generates and paste it into the webhook field in each Autocalls assistant's settings. Enable webhooks and save. Without this step, call outcomes will not reach your agent.

FAQs

Questions about Autocalls + Actionist

How does Actionist connect to Autocalls?
Go to the Apps tab, find Autocalls, and click Connect. The connection uses an API key — sign up at app.autocalls.ai, go to API Keys in your account settings, generate a new key, and paste it into the API Key field in Actionist. Actionist runs a test call to the Autocalls API to verify the connection before any calls are made. The key gives your agent access to make calls, retrieve call data, and list your assistants.
Do I need to do anything in the Autocalls dashboard to receive call-ended events?
Yes — the Call Ended trigger relies on a webhook, and Autocalls does not register webhooks automatically. After connecting Actionist to Autocalls, the agent generates a webhook URL. You must go to your assistant's settings in the Autocalls dashboard, paste that webhook URL into the webhook field, enable webhooks, and save. Once registered, every completed call on that assistant will deliver its outcome data to Actionist within about a minute of the call ending.
Can I pass personalised information into each call so the AI assistant uses the caller's real details?
Yes — this is the core of Autocalls' design. When you trigger Make a Call, you pass a set of name/value variable pairs alongside the phone number. The AI assistant uses these variables to personalise the conversation — inserting the customer's name, referencing their invoice number, mentioning the product they expressed interest in. Your agent can read this data from a CRM, spreadsheet, or form submission and pass it directly to the call, so every conversation is specific to the person being called.
What data does Actionist receive when a call ends?
When a call ends, Actionist receives the call ID, status (answered, no-answer, failed, busy), duration, the customer and assistant phone numbers, the full conversation transcript, a recording URL, the timestamps for when the call started and ended, any variables the AI extracted from the conversation, and the input variables that were passed to the assistant at the start of the call. Your agent can use any of these fields to route outcomes, update records, or trigger follow-up actions.
How do I use different AI assistants for different use cases?
Each assistant in your Autocalls account has a unique ID. When you trigger Make a Call, you specify which assistant to use by selecting from the list of outbound assistants Actionist retrieves via Get Outbound Assistants. You can have different assistants for sales calls, support follow-ups, collections reminders, and HR check-ins — each with a different voice, script, and variable set — and your agent selects the correct one based on the context of the automation.
Can Actionist handle no-answer calls — retrying later without someone managing the queue?
Yes. When a call ends with a no-answer status, your agent receives that outcome either from the Call Ended webhook or by polling Get Call Status. You can set up a retry logic that schedules a second Make a Call for a set time later — for example two hours later, or the next business morning. After two consecutive no-answers your agent can escalate the contact to a human or move them to a lower-priority sequence, all without anyone manually managing the retry queue.
Does running AI calls continuously require a specific Actionist plan?
Running large-scale outbound campaigns that operate continuously — for example batch calls that run every morning before business hours, or call queues that run while your laptop is closed — requires the Actionist cloud runtime plan. The cloud runtime keeps your agents active (requires cloud runtime plan). Individual call triggers and on-demand automations work on any plan, as they run when the event fires and the agent is active.
How do I use Autocalls for compliance-sensitive industries like finance or healthcare?
For regulated industries, the key practices are: use the Call Ended trigger to retrieve the transcript immediately after each call and scan it for required disclosure phrases; store transcripts and recording URLs to a secure archive like Google Drive with call metadata; use Get Lead Information to confirm customer identity against your records; and flag any call missing required disclosures as a compliance review case. For healthcare calls, Actionist's automation covers front-office tasks — appointment reminders, satisfaction surveys — not clinical or PHI-related communications.
