Send WhatsApp alerts, group messages, and channel broadcasts from any workflow

MarketingCommunicationProductivityAutomationMonitoring & Alerts

WhatsApp Notifications and Alerts by SyncMate (by Assistro) is the outbound WhatsApp messaging layer that lets your agents send messages to individuals, groups, and channels without anyone touching their phone. Connect it to Actionist and your agents can fire personalised WhatsApp alerts when a deal closes, a ticket resolves, an invoice is issued, or an incident is detected — as well as broadcast to WhatsApp Groups for team communications and publish to WhatsApp Channels or Newsletters for audience-wide updates. Every message is composed dynamically from live data, dispatched within about a minute of the triggering event, and delivered on the channel with near-100% open rates.

Critical incident alert mobilises team on WhatsApp within a minute

When a critical alert fires in PagerDuty, the agent fetches the current on-call roster from Google Sheets, sends a WhatsApp Group message to the engineering response group and a personal WhatsApp message to the incident commander, opens an incident log in Notion, and starts a Slack thread — all within about a minute of the alert firing. Teams respond faster when the notification arrives on their phone.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
Manual WhatsApp message drafting and sending

Reps manually copy CRM data, draft a WhatsApp message, switch to their phone or WhatsApp Web, find the contact, and send — eating 4-6 minutes per deal event, every time.

    Sales Agent
    0 min
Agent sends personalised WhatsApp touchpoints automatically

When a deal changes stage, the agent composes and sends a WhatsApp message to the prospect's contact and a group alert to the sales team — all within about a minute, no rep action needed.

  • Marketing
    20 min / week
Manual channel broadcast composition and sending

The marketing team manually writes the WhatsApp Channel announcement, navigates to the channel, pastes the message, adds the link, and posts — repeated for every content publish and campaign event.

    Marketing Agent
    0 min
Agent broadcasts to WhatsApp Channel on publish

When new content is published, the agent instantly sends a formatted WhatsApp Channel broadcast to all subscribers — no manual copy-pasting or channel management needed.

  • Customer Support
    30 min / week
Manual customer notification after ticket close

Support agents manually draft a message, locate the customer's WhatsApp or phone number, and send a notification after closing each ticket — adding 3-5 minutes per resolution to the agent's time.

    Customer Support Agent
    0 min
Agent sends WhatsApp resolution confirmation automatically

When a ticket resolves, the agent sends the customer a WhatsApp message with ticket number, resolution summary, and a CSAT link — the customer is informed before the support agent closes the tab.

  • Human Resources
    15 min / week
    Manual new-hire WhatsApp outreach

HR manually writes a WhatsApp welcome for each new hire, finds their number, and sends the message — often forgotten or delayed until the day before start date.

    Human Resources Agent
    0 min
Agent sends personalised WhatsApp welcome to each new hire

When a new employee is added to the system, the agent immediately sends a personalised WhatsApp welcome with Day 1 details and buddy contact — before HR has processed the record manually.

  • Finance
    35 min / week
Manual payment chasing via email and phone

Finance manually identifies overdue invoices, drafts reminder emails or calls clients, and tracks whether the message was sent — a process that takes 5-10 minutes per invoice and still gets missed.

    Finance Agent
    0 min
Agent sends WhatsApp invoice alerts and payment reminders automatically

When an invoice is issued or approaches its due date, the agent sends a WhatsApp message directly to the client's AP contact with payment details and a link — no manual outreach required.

  • Operations
    40 min / week
    Manual incident and alert communication

Operations staff manually write alerts, find the right group or contact, and send WhatsApp messages for incidents — taking 5-15 minutes per incident and sometimes missing key responders.

    Operations Agent
    0 min
Agent fires WhatsApp group alerts for operational events within a minute

When a critical event fires — system alert, stock drop, delivery delay — the agent sends a WhatsApp Group message to the right responders within about a minute of detection, with full context included.

  • Legal
    20 min / week
Manual contract chasing and deadline reminders

Legal team members manually track pending signatures and upcoming deadlines, then write and send individual WhatsApp or email reminders — a time-consuming process that creates bottlenecks.

    Legal Agent
    0 min
Agent sends WhatsApp signature requests and deadline reminders automatically

When a contract stalls or a compliance deadline approaches, the agent sends a WhatsApp reminder directly to the responsible party's phone — signature bottlenecks clear without a lawyer chasing manually.

FAQs

Questions about WhatsApp Notifications and Alerts by SyncMate + Actionist

How does Actionist connect to WhatsApp Notifications and Alerts by SyncMate?
Go to the Apps tab, find WhatsApp Notifications and Alerts by SyncMate, and click Connect. You'll need an API key from your Assistro account. Log in to assistro.co, navigate to your SyncMate settings, and generate or copy your API key. Paste it into the Actionist connection field and click Test connection — Actionist runs a check call to confirm the key is valid before any messages are sent.
What types of WhatsApp destinations can Actionist send messages to via SyncMate?
SyncMate supports three delivery targets: a specific phone number (individual contact), a WhatsApp Group (requires the Group ID from your SyncMate account), and a WhatsApp Channel or Newsletter (requires the Channel ID). For groups and channels, you retrieve the IDs from your SyncMate dashboard — the Assistro docs at assistro.co/user-guide explain how to find each ID.
Can SyncMate trigger a workflow when a WhatsApp message is received?
SyncMate is an outbound-only integration — it sends WhatsApp messages as actions. It does not expose inbound triggers (no webhook fired when a reply arrives). If you need to trigger an Actionist workflow based on an incoming WhatsApp message, you would need a separate inbound channel tool. Within Actionist, SyncMate is used as a notification delivery layer: other apps or scheduled agent tasks determine when and what to send.
Can agents send images or file attachments, not just text, via SyncMate?
SyncMate passes your message body as a text string to the WhatsApp API. You can include any text content, and depending on your SyncMate plan, images and file attachments may be supported. Always check your current SyncMate plan for media limits. Actionist agents compose the message body dynamically — they can pull in CRM fields, order details, ticket numbers, or any structured data from connected apps before calling Send WhatsApp Message.
How do WhatsApp Channels (Newsletters) work with SyncMate in Actionist?
WhatsApp Channels (Newsletters) are broadcast-style one-way distributions. When you use the Send Message to a Channel/Newsletter action, all followers of that channel receive the message. You need the Channel ID from your SyncMate dashboard. This is ideal for product announcements, company-wide alerts, or scheduled digest updates where you want one message to reach a large audience at once.
Can I trigger WhatsApp messages from events in other apps like CRM, payments, or support tools?
Yes. SyncMate is one action layer in a larger Actionist workflow. A common pattern: a trigger in another app (a new CRM deal stage, a new support ticket, a completed payment in Stripe) causes the agent to compose a message with relevant context and fire the Send WhatsApp Message action to the right phone number or group. The agent can pull names, order numbers, ticket IDs, or any field from the trigger app before building the message text.
Can I send recurring or scheduled WhatsApp messages using SyncMate?
Actionist's scheduled agent tasks run on plan-gated cloud runtime. You can configure a scheduled agent task (for example, every Monday at 9 AM) that pulls data from Google Sheets or a CRM, composes a summary message, and calls Send WhatsApp Message to a group or individual. This handles recurring digest sends, weekly reports, and reminders without requiring a real-time trigger event.
Are there compliance considerations when sending WhatsApp messages through SyncMate?
SyncMate uses your Assistro API key to authenticate all outbound messages. Messages are sent through Assistro's servers, which connect to WhatsApp's infrastructure. Note that WhatsApp's terms require that you have an appropriate relationship with the message recipients — bulk unsolicited messaging violates WhatsApp policy. SyncMate is best used for operational notifications (order updates, alerts, internal team messages) to contacts who have opted in or are part of your organisation's groups and channels.
