What your team gets back — two angles: what you stop doing manually, and what that's worth.

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    60 min / week
    Manual post-webinar lead sorting

After each demo webinar, a rep exports the attendee list, filters by watch time, manually scores contacts in HubSpot, and updates each deal record — taking 60 minutes per session.

    Sales Agent
    0 min
Agent scores and routes leads automatically

After each session, the agent retrieves viewer statistics, writes engagement scores to HubSpot contacts, and queues rep follow-up tasks ranked by intent — all before the presenter closes their laptop.

  • Marketing
    30 min / week
    Manual no-show list management

After every webinar, a marketer filters registrants for no-shows, writes personalised replay emails, and manually queues them in the email platform — 30 minutes per session, every session.

    Marketing Agent
    0 min
Agent runs the no-show re-engagement automatically

The No Show trigger fires within about a minute of each broadcast ending, and the agent queues replay emails and re-enrols contacts in the next session without a marketer touching the list.

  • Customer Support
    45 min / week
    Manual onboarding webinar enrolments

The support team manually subscribes new customers to onboarding webinars each week — looking up emails, logging into WebinarGeek, and sending a separate confirmation — taking 45 minutes per batch.

    Customer Support Agent
    0 min
Agent enrols new customers automatically on activation

When a customer activates, the agent subscribes them to the full onboarding series within about a minute, matched by language preference, with the WebinarGeek confirmation email handling all communication.

  • Human Resources
    120 min / week
    Manual compliance certificate dispatch

After training sessions, HR manually reviews the attendee list, verifies assessment passes, generates certificates, and emails them individually — a two-hour process per training cohort.

    Human Resources Agent
    0 min
Agent issues certificates within about a minute of assessment pass

The Assessment Passed trigger fires and the agent verifies watch time, updates the compliance tracker, and dispatches the certificate automatically — zero HR admin after the session ends.

  • Finance
    45 min / week
    Manual payment reconciliation from WebinarGeek

Finance logs into WebinarGeek each Monday, exports the prior week's payment data, reformats it, and manually enters revenue figures into the tracking sheet — 45 minutes every Monday.

    Finance Agent
    0 min
Agent logs payments to Google Sheets as they land

The New Payment trigger feeds each transaction to the finance sheet in real time. The Monday reconciliation is replaced by a pre-built report that is already current when the finance team opens it.

  • Operations
    90 min / week
    Manual weekly webinar data consolidation

Operations manually pulls registrant and analytics data from WebinarGeek, reformats it per team, and distributes individual reports — a 90-minute exercise every Friday.

    Operations Agent
    0 min
Agent delivers a cross-team report automatically

Every Friday, the agent fetches analytics for all webinars, assembles a cross-team performance table, and posts it to Slack — giving leadership the full picture without ops building it manually.

  • Legal
    20 min / week
Manual GDPR unsubscription on erasure requests

Legal receives erasure requests, logs into WebinarGeek, manually finds each registrant, and removes them — a process that takes 20 minutes per request and relies on someone remembering to do it.

    Legal Agent
    0 min
Agent processes erasure requests within about a minute

The agent reads the erasure queue, calls Unsubscribe From a Webinar for each contact across all active registrations, and logs the timestamp to the GDPR deletion record automatically.

FAQs

Questions about WebinarGeek + Actionist

How does Actionist connect to WebinarGeek?
Go to the Apps tab in Actionist, find WebinarGeek, and click Connect. You will need an API Key from your WebinarGeek account — navigate to Account Settings → API, generate a key, and paste it into the Actionist connection field. Actionist runs a test call to verify the key before saving. Once connected, your agents can subscribe registrants, create broadcasts, retrieve viewer statistics, and react to triggers like new registrations or no-shows — all without logging into the WebinarGeek dashboard.
What permissions does the API Key grant — can the agent edit my webinar content?
The WebinarGeek API Key grants access to the operations exposed by the API: creating and listing broadcasts, managing registrations (subscribe, unsubscribe, retrieve details), and reading analytics, viewer statistics, poll results, and question logs. The API does not expose endpoints for editing the webinar landing page design, slide decks, or presenter scripts — those remain inside the WebinarGeek dashboard. Your agent can automate the data-and-registration layer without ever touching the content layer.
Can I trigger a workflow whenever someone registers for any webinar in my account?
Yes. The New Registration trigger fires within about a minute for every registration across all webinars in the connected account. If you only want to react to registrations on specific webinars, filter the trigger payload by webinar ID or title in the agent's condition step. The same pattern applies to the other triggers — New Viewer, No Show, New Payment, and Assessment Passed — all fire account-wide and can be scoped by filtering on the event data.
How do I handle no-shows automatically without building a complex workflow?
Use the No Show Live or Automated Webinar trigger, which fires within about a minute after a broadcast ends for each registrant who did not attend. In the agent's response, call Subscribe to a Single Webinar to enrol them in the next available broadcast, and optionally Get Webinar Details to fetch the replay URL for an email follow-up. Two actions and you have a complete no-show re-engagement loop — no spreadsheet, no manual filtering, no marketer monitoring the attendee list.
Can Actionist subscribe registrants to a whole webinar series, not just a single session?
Yes. The Subscribe to a Series of Webinars action registers a contact across all current and future broadcasts in a given series in a single API call. This is the right action for onboarding sequences, compliance training programmes, or partner enablement tracks where you want a contact to receive reminders for every session without repeating the subscription. Use Subscribe to a Single Webinar when you only want to target one specific broadcast.
What viewer data can the agent access after a webinar for lead scoring?
The Get Viewer Statistics action returns per-viewer watch time, engagement score, poll responses, call-to-action clicks, and the timestamps when the viewer joined and left. This data is rich enough to build a meaningful lead-score model — for example, 70%+ watch time plus a CTA click equals high intent, while under 20% watch time equals nurture candidate. Write those scores to the CRM immediately after the session and your sales team can filter and prioritise the same day rather than waiting for a manual export.
Does Actionist support paid webinars and payment event triggers?
Yes. The New Payment trigger fires within about a minute whenever a payment is completed for a paid WebinarGeek webinar, and the List Payments action lets you retrieve all payments for a given period. Both include the registrant's details and the amount paid, so you can log revenue to your finance tracker, queue a personalised receipt email, or move the buyer into a premium-attendee sequence automatically. Failed-payment statuses are also included in the payment data so you can trigger recovery emails before the registrant's session date passes.
How do I use WebinarGeek for compliance training workflows in Actionist?
Set up the Assessment Passed trigger to fire when an employee completes a training webinar quiz successfully. In the agent's response, call Get Registrant Details to confirm the watch-time threshold was also met, then write the completion record to your HRIS or compliance tracker and dispatch the certificate via your document tool. For the enrolment side, use Subscribe to a Single Webinar (or the Series variant for multi-session programmes) and schedule a Monday morning agent task to enrol anyone whose next training date is approaching. The full compliance loop — enrol, remind, verify completion, issue certificate — runs without HR manual input.
