Webinar recording archived and shared automatically after upload

When a webinar recording lands in the Google Drive recordings folder, the agent uploads it to Vimeo, waits for transcoding to complete, adds it to the correct showcase, posts the link to Slack, and logs it to the Notion content calendar — all without a human touching the Vimeo dashboard.

    Sales Agent
    0 min

When a new account is added to the CRM, the agent creates a private Vimeo showcase and adds the relevant demo videos before the first call — the rep arrives prepared with a personalised video library.

  • Marketing
    30 min / week
    Manual weekly video performance review

    Marketing Agent
    0 min
Agent compiles weekly video performance data automatically

Every Monday the agent fetches play counts and engagement metrics for all campaign videos and posts a ranked summary to Slack — the team sees what's working before the planning meeting starts.

  • Customer Support
    15 min / week
    Manual tutorial comment monitoring

Support staff manually visit each tutorial video's Vimeo page, read comments, and identify unanswered questions — a time-consuming task that's often skipped when ticket volume is high.

    Customer Support Agent
    0 min
Agent surfaces unanswered tutorial comments as support tasks

The support agent retrieves comments on tutorial videos weekly, identifies unanswered questions, and creates help desk tasks automatically — no customer question on a training video goes unnoticed.

  • Human Resources
    12 min / week
Manual onboarding video curation per hire

HR manually compiles video links from Vimeo for each new hire's role, assembles them into an email, and sends the playlist — a process repeated for every new employee joining the company.

    Human Resources Agent
    0 min

When a new hire's start date is detected, the agent retrieves the onboarding and role-specific video showcases and delivers a personalised playlist to the new employee in Slack — structured from day one.

  • Finance
    10 min / week
    Manual investor video privacy check

Finance manually logs into Vimeo and reviews the investor communications showcase to verify each video's privacy setting — a task that's easy to skip under time pressure and has real compliance consequences if missed.

    Finance Agent
    0 min
Agent audits investor video privacy automatically each week

The finance agent retrieves privacy settings for all investor communication videos weekly and alerts the CFO to any that are incorrectly set to public — preventing sensitive disclosures before they happen.

  • Operations
    40 min / week
    Manual video library maintenance

Operations maintains a spreadsheet of videos, manually checks showcase memberships, hunts for unassigned uploads, and updates play counts by hand — a growing burden as the library expands.

    Operations Agent
    0 min
Agent keeps the video library organised and metadata current

The operations agent runs weekly showcase audits, identifies unassigned videos and stale collections, and keeps the master content registry synced with live Vimeo data — without anyone acting as a manual librarian.

  • Legal
    8 min / week
    Manual content takedown process

Legal files a request, waits for someone with Vimeo access to log in, locate the video, and change its privacy setting — a process that can take hours and leaves a gap in the audit trail.

    Legal Agent
    0 min
Agent quarantines flagged videos within minutes of a request

When a takedown request is logged in the compliance tracker, the agent sets the video to private and documents the action immediately — the video is offline within about a minute with a full audit trail.

FAQs

Questions about Vimeo + Actionist

How does Actionist connect to my Vimeo account?
Open the Apps tab in Actionist, find Vimeo, and click Connect. The recommended path is OAuth — Actionist opens a Vimeo authorisation window where you sign in and grant the requested scopes. Once authorised, Actionist runs a test call to confirm the handshake before any agent tasks run. Alternatively, you can paste a Personal Access Token from the Vimeo Developer portal (developer.vimeo.com) if you prefer a token-based connection.
What Vimeo API scopes does the agent need?
For read-only tasks (fetching video metadata, listing liked videos, browsing showcases) the agent needs the `public` and `private` scopes. For upload and edit operations it also needs the `upload` and `edit` scopes. For deleting videos the `delete` scope is required. The OAuth flow lets you grant all scopes at once. If you connect via a Personal Access Token, select the matching scopes when you create it in the Vimeo Developer portal.
Can the agent upload videos to Vimeo automatically?
Yes. The Vimeo API supports multiple video upload approaches including standard form upload, resumable tus upload, and pull upload (uploading directly from a URL). Actionist's Upload Video action handles the upload handshake so the agent can pull a file from cloud storage or a URL and push it to your Vimeo library without manual downloading. File size limits and upload bandwidth depend on your Vimeo plan.
What events can trigger an Actionist workflow from Vimeo?
Actionist's Vimeo triggers are polling-based and fire within about a minute of the qualifying event. The four available triggers are: New Video I've Liked (fires when you like a video), New Video of Mine (fires when a new video appears in your Vimeo library), New Video by Search (fires when a search query returns a new result), and New Video by User (fires when a specific Vimeo user uploads a new video). These are ideal for kicking off review, notification, or archival workflows.
Can the agent control video privacy settings?
Vimeo's API exposes video privacy settings that the agent can set at upload time or update later. Supported modes include public, private (only you), unlisted (anyone with the link), and password-protected. The agent can set the privacy level as a parameter when it uploads a video or updates an existing video's settings — useful for publishing workflows that start private and then switch to public after approval.
Does Actionist support Vimeo showcases and albums?
Yes. Vimeo showcases (formerly called albums) are collections you can organise your videos into. The agent can list showcases, retrieve videos within a showcase, and add videos to or remove them from a showcase. This is useful for building content organisation workflows — for example, automatically adding every newly uploaded product demo video to a specific client showcase.
Can Actionist use Vimeo's AI features like transcription or subtitle translation?
Vimeo's Enterprise plan (April 2026) added AI API endpoints under `/videos/{id}/ai/*` that enable transcription, subtitle translation, audio dubbing, and AskAI queries on video content. If your Vimeo account is on an Enterprise plan with AI access, Actionist agents can trigger transcription or translation jobs via the API. Standard Plus/Pro/Business plan accounts do not have access to these AI endpoints.
Do Vimeo plan limits affect what the agent can do?
Vimeo's free plan has significant API restrictions and limits the number of videos you can upload per week. Paid plans (Plus, Pro, Business, Premium, Enterprise) progressively increase storage, upload frequency, and API rate limits. The agent inherits the capabilities of the connected Vimeo account — if your plan restricts upload frequency or certain API endpoints, the agent cannot work around those limits. Check your plan at vimeo.com/upgrade for the features applicable to your tier.
