Automate inventory, orders, and supplier workflows end to end

SalesDatabaseAnalyticsFinanceEcommerceAutomationAccounting

Unleashed Software is a cloud-based inventory management platform built for manufacturers, wholesalers, and distributors who need precise control of stock, purchasing, and sales. It tracks products across multiple warehouses, manages purchase orders and sales orders in real time, handles bills of materials for manufacturing runs, and integrates with accounting tools including Xero and QuickBooks Online. Connect it to Actionist and your agents can query live stock levels, create and update sales orders, raise purchase orders when stock runs low, sync supplier records, reconcile invoices, and react to webhook events like new customer creation or sales order updates — all without manual data entry or dashboard switching.

Auto-reorder when stock drops below safety level

When a scheduled stock check finds available quantity below the reorder point, the operations agent retrieves the default supplier record, raises a purchase order in Unleashed with the standard replenishment quantity, posts a summary to Slack for the purchasing manager to confirm, and logs the event to the purchasing tracker — eliminating the manual monitoring loop that causes stockouts.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    30 min / week
Manual order entry after each deal

Reps close a deal in the CRM, then separately log in to Unleashed to create a sales order — duplicating effort and introducing a delay before the warehouse knows about the order.

    Sales Agent
    0 min
Agent creates the order the moment the deal closes

When a deal reaches Closed Won in the CRM, the agent creates the matching Unleashed sales order with the correct customer, line items, and payment terms — no manual re-entry required.

  • Marketing
    20 min / week
Manual stock checks before campaign launch

Marketing logs in to Unleashed to verify product availability before running a promotion — if a SKU is out of stock, they find out after the campaign is already live.

    Marketing Agent
    0 min
Agent checks availability and pauses promotions on zero-stock items

Before scheduled campaigns launch, the marketing agent queries Unleashed stock levels for every promoted SKU and pauses the promotion for any item with zero available stock.

  • Customer Support
    25 min / week
Support reps switching tabs to check order status

When a customer calls about an order, the support rep puts them on hold while logging in to Unleashed to look up the order status and stock level — adding minutes to every enquiry.

    Customer Support Agent
    0 min
Agent fetches order status and stock on demand in the conversation

The support agent retrieves order status and current stock on hand from Unleashed within about a minute of the query, so the rep has the answer in the same conversation without switching tools.

  • Human Resources
    10 min / week
Manual salesperson record maintenance in Unleashed

Each time a new sales hire starts or a rep leaves, HR must update both the HRIS and the salesperson list in Unleashed separately — one system is often out of date for days.

    Human Resources Agent
    0 min
Agent keeps Unleashed salesperson records in sync with HR changes

When HR records a new hire or departure, the operations agent updates the salesperson list in Unleashed the same day — both systems reflect the current team without manual cross-entry.

  • Finance
    90 min / week
    Weekly manual overdue invoice chasing

The accounts receivable team manually compiles a list of overdue invoices from Unleashed each week and sends individual chase emails — a process that takes hours and is often delayed.

    Finance Agent
    0 min
Agent sends consolidated overdue reminders every Tuesday automatically

The finance agent retrieves all overdue invoices from Unleashed, groups them by customer, and sends each customer a consolidated reminder automatically — the AR team reviews the log rather than building it.

  • Operations
    60 min / week
Manual stock monitoring and reorder triggering

Someone checks Unleashed daily to see which SKUs are approaching their reorder point, then manually creates purchase orders — a process that misses items between checks and causes stockouts.

    Operations Agent
    0 min
Agent monitors stock levels and raises purchase orders automatically

The operations agent checks stock-on-hand figures against reorder points on a schedule and raises purchase orders for any SKU below threshold — eliminating the monitoring loop that causes stockouts.

  • Legal
    15 min / week
Manual review of supplier return documentation

The legal team manually compares supplier return records in Unleashed against contract terms at quarter end — a slow, error-prone process done with exported spreadsheets.

    Legal Agent
    0 min
Agent audits supplier returns against contract terms on a schedule

The legal agent retrieves all supplier return records from Unleashed, compares them against the contract terms logged in the compliance tracker, and flags any out-of-term returns before they cause disputes.

How to plug Unleashed Software into Actionist

Pick the connection method that suits your environment.

Connect via your Unleashed API ID and API key, generated from the Unleashed web app. Actionist uses HMAC-SHA256 signed requests — the same mechanism as the official Unleashed API — so all existing permissions on your account apply.

1
Open API Access in Unleashed

Log in to Unleashed, navigate to Settings → Integrations → API Access. Your API ID and API Key are shown here. If none exist, generate a new pair.

2
Copy your credentials

Copy both the API ID and the API Key. Treat the key like a password — do not share it in plain text or commit it to version control.

3
Paste into Actionist

In Actionist, find Unleashed Software in the Apps library, paste both credentials, and click Test connection. Actionist will confirm the handshake with a read-only call.

FAQs

Questions about Unleashed Software + Actionist

How does Actionist connect to Unleashed Software?
Go to the Apps tab in Actionist, find Unleashed Software, and click Connect. You will need your Unleashed API ID and API Key, which you generate in Unleashed under Settings → Integrations → API Access. Paste both credentials into the connection form and click Test connection — Actionist runs a read-only API call to confirm the handshake. Once connected, your agents can query orders, stock levels, customers, suppliers, and more.
What Unleashed API permissions does Actionist need?
Actionist uses the same API credentials as any other Unleashed integration — the API ID and Key you generate carry the permissions of the Unleashed account they belong to. For read-only agents (checking stock, retrieving orders), standard credentials are sufficient. For write operations (creating sales orders, raising purchase orders, adjusting stock), the credentials must belong to a user with the corresponding permissions in Unleashed. There is no separate OAuth scope system — Unleashed uses HMAC-SHA256 signed requests with your API ID and Key.
Can Actionist trigger actions when something changes in Unleashed?
Yes — Unleashed supports webhooks for Sales Orders (created/updated/deleted), Customers (created/updated/deleted), Products (created/updated/deleted), Purchase Orders (created/deleted), Sales Shipments, Credit Notes, and Supplier Returns. Actionist can receive these webhook events within about a minute and use them to kick off downstream actions in any connected app — for example, notifying the warehouse team when a new sales order is placed, or updating CRM records when a new customer is created.
Can agents create sales orders and purchase orders automatically?
Yes. Agents can create and update sales orders with full line items, customer assignment, and required delivery dates. They can also raise purchase orders against any supplier in your Unleashed account. The most common setup is a reorder rule: when stock on hand for a tracked SKU drops below a threshold, the agent raises a purchase order to the default supplier and posts it to Slack for a manager to confirm before Unleashed processes it. Write operations are available under Approval Modes so a human can review before any order is committed.
Does Actionist support Unleashed's multi-warehouse setup?
Yes. Actionist can query stock on hand per warehouse and per product, initiate warehouse stock transfers, and create purchase orders directed at a specific warehouse. When an agent checks availability before confirming an order, it can look at stock at the delivery warehouse specifically, not just the total across all locations. Multi-warehouse visibility means agents can recommend inter-warehouse transfers as an alternative to raising a new purchase order when stock exists in another location.
What other apps can I connect alongside Unleashed Software?
Unleashed works best alongside the apps your team already uses for sales and finance. Common combinations include HubSpot or Salesforce for CRM (syncing customers and logging orders against deals), Xero or QuickBooks for accounting (Unleashed already integrates natively, but Actionist can orchestrate cross-system tasks like matching invoices), Shopify or WooCommerce for ecommerce (pushing new products to the online store when a SKU is created), Slack for team notifications, and Google Sheets for reporting snapshots. Any of Actionist's connected apps can send or receive data alongside Unleashed in the same agent task.
Is Unleashed Software suitable for manufacturers, or just wholesalers?
Unleashed supports both. For manufacturers, it provides bill of materials management, assembly tracking, and batch/serial number control. For wholesalers and distributors, it covers purchase-to-sale inventory tracking with multi-warehouse, multi-currency, and multiple sell-price tiers. Actionist agents work with both use cases — for manufacturers, agents can monitor component stock levels and trigger production assemblies; for wholesalers, they focus on purchase orders, sales order fulfilment, and inter-warehouse stock balancing.
How accurate is the stock data Actionist reads from Unleashed?
Actionist reads directly from the Unleashed API, which returns the same stock figures as the Unleashed web application in real time. There is no caching layer that could show stale data — when an agent queries stock on hand, it is reading the live figure at the moment of the query. For webhook-triggered tasks, the event payload arrives within about a minute of the underlying change in Unleashed, so downstream actions are based on current data.
