Qualified lead to booked discovery call, no manual steps

When a new qualified lead appears in Google Sheets, the agent creates the client in SimplyBook.me, books the discovery call with an available rep, updates the deal in HubSpot to the Booked stage, and posts a confirmation to the rep on Slack — the entire lead-to-booked sequence runs without anyone touching the scheduler.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    30 min / week
    Manual discovery call scheduling

Reps send a booking link, wait for the prospect to self-schedule, then manually update the CRM and notify the team — a process that spans hours and multiple tools.

    Sales Agent
    0 min
    Agent books qualified leads automatically

When a lead is qualified, the agent creates the SimplyBook.me client record, books the discovery call, updates the CRM, and notifies the rep — without the rep opening the scheduler.

  • Marketing
    45 min / week
Manual CRM sync after new client signup

The marketing team exports new clients from SimplyBook.me, cleans the CSV, imports it into HubSpot, and manually adds contacts to the nurture sequence — typically once a week.

    Marketing Agent
    0 min
Agent logs every new client to CRM and nurture instantly

The New Client trigger fires within about a minute, the agent creates the HubSpot contact and enrols them in the welcome sequence automatically — no manual CSV export or import required.

  • Customer Support
    20 min / week
Manual booking lookup for every support ticket

Support agents copy a booking ID from the ticket, open SimplyBook.me in a second tab, look up the booking, and paste the details into the ticket — adding minutes to every booking-related ticket.

    Customer Support Agent
    0 min
Agent enriches every support ticket with booking context

When a ticket references a booking, the agent retrieves the full appointment and client record and attaches it to the ticket — the agent reads context, not reference numbers.

  • Human Resources
    40 min / week
    Manual orientation scheduling per hire

HR coordinators manually add each new hire to SimplyBook.me, check the coordinator's availability, create the booking, and send confirmation — a 10-minute task per hire.

    Human Resources Agent
    0 min
Agent books orientation sessions on new-hire creation

When a new hire appears on the onboarding roster, the agent creates their SimplyBook.me client record and books the orientation session immediately — no HR admin action required.

  • Finance
    35 min / week
Weekly manual invoice export and entry

The finance team exports invoices from SimplyBook.me each Friday, reformats the data, and manually enters each invoice into the accounting system — a task that expands with booking volume.

    Finance Agent
    0 min
Agent syncs every SimplyBook.me invoice to finance automatically

When a new invoice is created, the agent appends it to the accounts receivable tracker in Google Sheets within about a minute — no end-of-week manual export needed.

  • Operations
    45 min / week
    Manual weekly scheduling dashboard review

The operations manager logs into SimplyBook.me, checks each provider's completion rate, counts cancellations, and assembles a manual report — taking 30-60 minutes each Friday.

    Operations Agent
    0 min
Agent posts a daily capacity and cancellation summary automatically

The operations agent retrieves booking data, calculates provider completion rates, and posts a structured summary to Slack every Friday — the report writes itself.

  • Legal
    25 min / week
    Manual pre-appointment consent audit

Legal or compliance staff manually review new client lists against the consent register each week, a time-consuming process that misses clients when the list grows quickly.

    Legal Agent
    0 min
Agent audits new-client consent records weekly

Every week the legal agent retrieves all new client records, cross-references each with the consent tracker, and flags any client missing intake documentation before their appointment.

FAQs

Questions about SimplyBook.me + Actionist

How does Actionist connect to SimplyBook.me?
Go to the Apps tab, find SimplyBook.me, and click Connect. The recommended path is OAuth — Actionist opens a SimplyBook.me authorisation window where you sign in and grant access. Alternatively, if your plan exposes an API key, paste it into the API key field. Either way, Actionist runs a test call to confirm the connection is live before any actions run.
What SimplyBook.me plan do I need to use Actionist with it?
SimplyBook.me exposes its developer API under the Custom API feature, which is available on Growth plans and above. You need a company login with admin rights to generate API credentials. The API is JSON-RPC based and supports all core booking, client, and catalogue management operations. Actionist wraps those endpoints so your agents can act on them without writing any code.
Can Actionist react to new bookings as they come in?
Yes. SimplyBook.me webhooks fire within about a minute of the real event. Actionist listens on your New Booking, Cancelled Booking, Updated Booking Details, New Client, New Invoice, and New Offer webhooks and can chain any downstream action — sending a Slack message, creating a CRM record, logging to Google Sheets, or kicking off a follow-up sequence.
Can Actionist create bookings on behalf of clients from other apps?
Actionist can create a booking by providing a service ID, provider ID, client ID, and start datetime. If the client does not yet exist in SimplyBook.me, the agent can call Create Client first, then use the returned client ID to book the appointment — all in a single automated sequence. This is useful for syncing bookings from external lead forms, CRM deals, or onboarding flows.
How can I automate what happens when a booking is cancelled?
Use the Cancelled Booking trigger. When SimplyBook.me fires that webhook (within about a minute of cancellation), your agent can log the cancellation to a Google Sheet, notify your team on Slack, update the deal stage in your CRM, or automatically try to reschedule by checking availability and sending the client a rebooking link.
Does Actionist integrate with SimplyBook.me invoicing and payment events?
Use the New Invoice trigger. When SimplyBook.me creates an invoice, Actionist can read the booking and client details attached to it, push a matching payment record to your accounting app, send a payment confirmation via Slack or email, and flag overdue invoices in a weekly finance review. The New Offer trigger works the same way for promotional pricing events.
Can Actionist read booking details and sync them to my CRM or spreadsheet?
Yes. The agent can call Get Booking by ID to retrieve all booking details — client, service, provider, start time, status — and pass that data to any other connected app. A common pattern is fetching a booking after a New Booking trigger to enrich it with client data from Get Client, then writing the combined record to a CRM or spreadsheet.
How do I get notified when a booking is rescheduled or its details change?
The agent monitors the Updated Booking Details trigger, which fires within about a minute whenever a booking's date, time, service, or provider changes. You can chain that to update a Google Calendar event, ping the assigned provider on Slack, send the client a reschedule confirmation, or log the change in an audit spreadsheet — all without anyone manually checking the SimplyBook.me dashboard.
