Contract dispatched at deal stage change

When a sales rep moves a deal to the Contract stage in HubSpot, the agent pulls the contact's details, creates the contract from the standard template in SignWell pre-filled with the prospect's name and deal value, logs a 'Contract sent' activity on the deal, and sends the rep a Slack confirmation — the prospect has a signing link in their inbox within about a minute of the stage change.

The marketing team manually selects the template, enters partner details, sends the document, and then follows up by email when it isn't signed within a few days.

    Marketing Agent
    0 min
Agent dispatches and follows up partner agreements automatically

New partner records trigger automatic agreement dispatch; the agent checks signing status weekly and sends reminders without any human coordination.

  • Human Resources
    30 min / week
Manual offer letter and onboarding paperwork prep

HR opens the offer letter template in SignWell, manually types in each candidate's name, salary, and start date, sends the document, and then separately chases candidates who haven't signed close to their start date.

The agent identifies contracts expiring in the next 30 days, dispatches renewals from current-year templates, and escalates to the CFO if a document is still unsigned within 7 days of expiry.

  • Operations
    40 min / week
    Manual cross-team signing queue oversight

Operations manually polls each team for outstanding document status, assembles a weekly report in a spreadsheet, and cleans up the SignWell queue by individually deleting orphaned documents.

    Operations Agent
    0 min
Agent maintains the signing queue and reports status weekly

The operations agent retrieves the full organisation-wide document queue status each Monday, posts the report to Slack, and automatically cancels orphaned 30-day-stale documents.

How to plug SignWell into Actionist

Pick the connection method that suits your environment.

SignWell authenticates via an API key passed in the X-Api-Key header. Generate a key in your SignWell account settings and paste it into Actionist — the connection is live in under a minute.

1
Open API settings

Log in to SignWell, go to Account Settings, then click the API tab. Click Generate API key to create a new key.

2
Copy the key

Copy the key immediately — it will not be shown again. Treat it like a password and store it in a secrets manager.

3
Paste into Actionist

Paste the key into the API key field below and click Test connection. Actionist runs a read-only call to confirm the handshake.

FAQs

Questions about SignWell + Actionist

How does Actionist connect to SignWell?
Go to the Apps tab, find SignWell, and click Connect. Actionist uses SignWell's REST API authenticated with an API key. In SignWell, go to Account Settings, click the API tab, and generate a new API key. Paste it into Actionist and click Test connection — Actionist runs a read-only call to verify the key before saving it. The whole setup takes under two minutes.
What permissions does the API key need on my SignWell account?
SignWell API keys inherit the permissions of the account they are generated under. A key generated from an account owner gives the agent full access to create, send, retrieve, and delete documents and templates. If you prefer a narrower permission scope, create a dedicated SignWell sub-account or user with only the permissions your workflows require, and generate the key from that account. There are no separate read-only or write-only scopes within a single key.
Can Actionist use my existing SignWell templates?
Yes. When you call Create Document From Template, you pass the template ID from your SignWell account. You can find template IDs in SignWell under Templates, or by having the agent call Get Template by name. Any template already in your account — NDAs, offer letters, vendor agreements, DPAs — is immediately available to your agents without any additional setup.
How do SignWell webhooks work with Actionist triggers?
SignWell emits webhook events when documents are sent, viewed, and completed. Actionist listens for these events and fires the corresponding trigger — Document Sent, Document Viewed, or Document Completed — within about a minute of the event occurring. From there, the trigger can kick off any downstream action: updating a CRM record, creating an invoice, archiving a PDF, or sending a Slack notification. You do not need to configure the webhooks manually — Actionist handles the registration when you activate the trigger.
Can I combine SignWell with other apps in the same agent workflow?
Yes — SignWell works best as part of a larger workflow. Common combinations include: creating documents from CRM data (HubSpot, Salesforce); filing completed PDFs in cloud storage (Google Drive, Notion); triggering invoices on contract completion (QuickBooks Online, Xero); sending status notifications in Slack or Telegram; and updating project trackers when signing deadlines approach. Any of Actionist's connected apps can send data to or receive data from SignWell in the same agent task.
How does bulk sending work and when should I use it?
Create Bulk Send lets you send the same document template to a large list of recipients in one operation — each recipient gets their own individual signed document, not a shared copy. You provide a CSV with recipient names and email addresses, and SignWell generates a separate document instance per row. Use it for annual policy acknowledgements, vendor re-certifications, customer terms updates, or any situation where the same agreement needs to go to tens or hundreds of people simultaneously. The agent can then call Get Bulk Send weekly to track completion until all recipients have signed.
Is SignWell legally compliant for the agreements my agents send?
SignWell is compliant with ESIGN, UETA, eIDAS, GDPR, HIPAA, and SOC 2 Type II. Documents signed through SignWell are legally binding in the US, EU, and most other major jurisdictions. Every signed document includes a full audit certificate with signing timestamps, signer IP addresses, and email verification records. Actionist does not alter the signing process — it only automates document creation and dispatch; the legal validity of the signature itself is governed entirely by SignWell.
What happens to documents when the agent calls Delete Document — does the signer lose access immediately?
Yes. Calling Delete Document in SignWell cancels the signing request immediately. Any signer who clicks their signing link after deletion will see an error page indicating the document is no longer available. Deleted documents are removed from the active queue and cannot be recovered — use this action deliberately (for recalled documents, lost deals, or test cleanup) and make sure you have downloaded the PDF via Get Completed PDF first if the document was already partially signed and you need a record.
