Send, sign, and act on documents — without the manual back-and-forth

ProductivityDocumentsFormsSecurityAutomation

SignRequest is an electronic signature platform that makes it fast, easy, and legally binding to get documents signed. Connect it to Actionist and your agents can dispatch signing requests from templates the moment a deal, hire, or vendor record is created; monitor signing events via webhooks and trigger downstream workflows within about a minute of a signature landing or being declined; download and file executed PDFs automatically; and keep your document queue clean by cancelling stale requests when deals change — all without anyone manually logging into the SignRequest dashboard.

Contract dispatched the moment a deal reaches proposal stage

When a deal reaches Proposal Sent in HubSpot, the agent selects the right contract template, dispatches it to the prospect via SignRequest, logs the send to the CRM, and schedules a follow-up task — all before the rep has refreshed the page. No deal moves to proposal without a contract in motion.

FAQs

Questions about SignRequest + Actionist

How does Actionist connect to SignRequest?
Go to the Apps tab, find SignRequest, and click Connect. SignRequest uses an API key for authentication. Log in to your SignRequest account, navigate to Settings → API tokens, and generate a new token. Paste the token into Actionist and click Test connection — Actionist runs a read-only verification call before any agent actions run. Your token inherits the permissions of the account that generated it, so use a dedicated service account if you have multiple team members.
Can Actionist send signature requests using my SignRequest document templates?
Yes. The Send SignRequest From Template action lets your agent select any document template you have saved in SignRequest, populate the signer fields (name, email, role), and dispatch the signing request without anyone touching the SignRequest dashboard. Templates are created and managed inside SignRequest itself; Actionist uses them on demand whenever the template-based signing action fires.
What events can trigger an Actionist workflow from SignRequest?
SignRequest provides three webhook-based triggers available through Actionist: New Document Declined (fires within about a minute of a recipient declining to sign), New Document Received (fires when a signing request arrives in a recipient's inbox), and New Document Signed (fires within about a minute of the final required signature being captured). These let downstream workflows react immediately — notifying your CRM, creating a follow-up task, or filing the executed document — without polling the SignRequest API manually.
What are the most common automations teams run with SignRequest and Actionist?
The most common automation patterns are: (1) contract dispatch — when a deal reaches a certain stage in your CRM, the agent sends the relevant contract from a SignRequest template to the prospect automatically; (2) declined-document recovery — when a signer declines, the agent notifies the account manager and creates a follow-up task immediately, rather than letting the declination sit unnoticed; (3) post-signing actions — when all signers complete a document, the agent archives the signed PDF to Google Drive, updates the CRM record, and triggers the next stage of the deal or project; (4) new-hire paperwork — when an offer is accepted in your HR system, the agent sends the offer letter and NDAs for signature in one action.
What SignRequest account permissions does the agent need?
The agent needs an API token generated from a SignRequest account that has access to the documents and templates you want to automate. The token holder's account plan determines available features — for example, template-based sending requires a SignRequest Business plan. If you are sending on behalf of multiple team members, create the token from a shared service account so agent-dispatched documents appear consistently in one place rather than from individual user accounts.
Can I automatically trigger follow-up actions the moment a document is signed?
Yes. The New Document Signed trigger fires within about a minute of the last required signature being captured. You can use this to kick off any downstream action — moving a deal to Closed Won in your CRM, creating an invoice in your accounting tool, archiving the PDF to a shared drive folder, or sending a confirmation message to the signing parties via Slack. The trigger passes document metadata (document URL, signers, team) to the next steps in the workflow.
Are documents signed through SignRequest legally binding?
SignRequest documents are legally binding electronic signatures under the EU eIDAS regulation and the US ESIGN Act, among others. SignRequest generates an audit trail for every document showing timestamps, IP addresses, and signer identity verification steps. This audit trail is embedded in the signed PDF and available via the SignRequest dashboard. Actionist does not modify the document or the audit trail — it simply triggers the send and reads the outcome events via webhooks.
What happens when a signer declines — how does the agent respond?
When the New Document Declined trigger fires, Actionist can immediately run whatever recovery workflow you configure. Common responses include: posting an alert to the account owner's Slack channel with the signer's name and the document title; creating a follow-up task in your project management tool with a deadline for re-engagement; updating the deal stage in your CRM to 'Stalled — Awaiting Re-Sign'; or sending a personalised email from Gmail asking the signer to reach out if they have questions. Without automation, declinations often sit unnoticed in the SignRequest dashboard for days.
