Turn every meeting into a structured, searchable, and actionable record

CommunicationProductivityDocumentsAnalyticsAIMeetings & Video

Read AI is an AI-powered meeting intelligence platform that joins your Zoom, Google Meet, and Microsoft Teams calls to generate summaries, speaker-attributed transcripts, action items, engagement scores, and Speaker Coach feedback. Connect Read AI to Actionist and your agents can retrieve structured meeting data the moment a call ends — automatically updating CRM records, routing action items to project tools, archiving compliance transcripts, and compiling cross-meeting intelligence — all triggered by the New Meeting Notes webhook that fires within about a minute of each meeting completing.

Sales call → CRM updated before rep closes the laptop

When a sales call ends and Read AI notes are ready, the agent retrieves the summary and action items, identifies the prospect participants, updates the HubSpot deal with the meeting notes and decisions, creates follow-up tasks for every action item with the rep as owner, and posts a deal-status notification to Slack — all within about a minute of the call ending. Reps never need to manually update CRM after a call again.

Savings

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    90 min / week
Manual CRM note entry after every call

Reps write their own meeting notes from memory, copy action items manually, and update the CRM deal record by hand — typically 15-20 minutes per call, often skipped under time pressure.

    Sales Agent
    0 min
Agent syncs call notes to CRM within about a minute

When the sales call ends and Read AI notes are ready, the agent retrieves the summary and action items and pushes them to the CRM deal record automatically — the rep opens CRM after the call and everything is already there.

  • Marketing
    120 min / week
Manual review of call recordings for customer insights

Marketing teams manually listen to or skim selected call recordings, take notes by hand, and try to spot patterns across a small sample — missing most signal because no one has time to review all calls.

    Marketing Agent
    0 min
Agent compiles voice-of-customer insights from all meeting transcripts

The Marketing Agent retrieves topic insights across hundreds of customer meetings and surfaces ranked themes weekly — no one needs to review recordings or synthesise notes across multiple calls.

  • Customer Support
    60 min / week
    Manual escalation call notes

Support agents write case notes from memory after escalation calls, often missing key details discussed during the call or logging notes hours later when context has faded.

    Customer Support Agent
    0 min
Agent creates case notes from escalation calls automatically

When an escalation call ends, the agent retrieves the Read AI summary and transcript and creates a structured case note in the CRM — the account team has full context before they send the follow-up email.

  • Human Resources
    45 min / week
    Manual interview note consolidation

Recruiters chase interviewers for notes, consolidate feedback from emails and messages, and manually enter structured data into the ATS — often hours or days after the interview when recall is incomplete.

    Human Resources Agent
    0 min
Agent logs interview notes to ATS before the debrief

Interview summaries and engagement scores from Read AI are written to each candidate's ATS record automatically — hiring teams enter the debrief with consistent structured data from every interviewer.

  • Finance
    60 min / week
    Manual financial meeting minute-taking

Finance teams designate a note-taker for every budget review and board meeting, transcribe decisions by hand, and spend 30-60 minutes writing up and distributing meeting minutes after each session.

    Finance Agent
    0 min
Agent logs financial decisions from meetings to the decision register

When a budget or board meeting ends, the agent retrieves the Read AI summary and appends key financial decisions to the finance decision log automatically — every meeting outcome is documented without manual entry.

  • Operations
    75 min / week
Manual action item triage from meeting notes

Someone on each team manually reviews their own meeting notes, decides which items belong in which project, and copies action items into the project management tool — a task that gets skipped when the meeting runs long.

    Operations Agent
    0 min
Agent routes action items from every meeting to the right project

When any meeting ends, the agent retrieves Read AI action items and routes each one to the correct project board in Asana or Jira — the project management system stays current without anyone manually triaging meeting notes.

  • Legal
    45 min / week
Manual compliance archive maintenance for meeting records

Legal teams manually download recordings or transcripts from meeting platforms, rename and tag each file, and upload to the compliance archive — a process that frequently falls behind when negotiation volumes are high.

    Legal Agent
    0 min
Agent archives negotiation transcripts to compliance folder automatically

When a contract negotiation call ends, the agent retrieves the Read AI transcript and participant list and files them in the compliance archive with structured metadata — the legal archive is complete and searchable without manual filing.

FAQs

Questions about Read AI + Actionist

How does Actionist connect to Read AI?
Go to the Apps tab in Actionist, find Read AI, and click Connect. You will be prompted to paste your Read AI API key, which you can generate from your Read AI account under Settings → API Keys. Actionist runs a test call to verify the connection before any agent tasks run. If your organisation uses SSO, generate the key while authenticated so it inherits the correct workspace permissions.
Which Read AI plan do I need to use it with Actionist?
Read AI's API and webhook integrations are available on Business and Enterprise plans. The Zapier webhook trigger (New Meeting Notes) is available on all paid plans. If you are on a Free or Starter plan, you can still use Read AI's native integrations with Slack, Notion, HubSpot, and Salesforce to push meeting notes, but the programmatic API access that Actionist uses requires a Business plan or above.
Which video platforms does Read AI capture meetings from?
Read AI supports meetings on Zoom, Google Meet, Microsoft Teams, and Webex. Its bot joins scheduled meetings automatically when you connect your calendar. In-person meetings can be captured using the Read AI mobile app. All captured meetings — regardless of platform — are available via the API and appear in your Read AI workspace for the agent to retrieve.
How quickly do meeting notes become available after a meeting ends?
When a meeting ends, Read AI processes the audio and generates summaries, transcripts, action items, and engagement scores. The New Meeting Notes webhook fires within about a minute of processing completing — not in real time during the meeting. The exact delay depends on meeting length (longer meetings take slightly more time to process). The agent receives the full structured report, including speaker-attributed transcript segments and action items with assignees, in a single webhook payload.
Does the Read AI data include who said what in the meeting?
Yes. Read AI's output includes speaker-attributed transcript segments, so you can distinguish what each participant said. The meeting summary also includes topic sections generated from the conversation flow. Action items are extracted with the assignee's name where Read AI can identify them from context. All of this structured data is available to the agent via the API or webhook payload, letting downstream tasks create per-person follow-up items, log speaker contributions to CRM records, and attribute decisions to specific participants.
What types of meeting data does Read AI extract?
Read AI generates three types of output from each meeting: a high-level summary (key decisions, topics covered, and a narrative recap), structured action items (task, assignee, and due date where mentioned), and a full transcript with speaker attribution and timestamps. The agent can work with any combination of these — pulling only the action items to create tasks, using the full transcript for compliance archiving, or using the summary to update a CRM opportunity record.
What are the most common automation patterns with Read AI in Actionist?
The most common patterns: (1) CRM auto-update — when a sales call ends, the agent pushes the Read AI summary and action items to the HubSpot or Salesforce contact record automatically; (2) task creation — action items extracted by Read AI are created as tasks in Asana, Jira, or Notion without a rep having to copy them manually; (3) Slack digest — the agent posts a meeting summary to the relevant Slack channel within about a minute of the meeting ending; (4) executive briefing — the agent collects all Read AI summaries from a week and compiles a leadership digest every Friday afternoon.
How does Read AI handle privacy and consent for meeting recordings?
Read AI applies consent notifications to meeting participants, and the platform is designed with enterprise data governance in mind. Data is encrypted in transit and at rest. Enterprise plans offer custom data retention settings and SOC 2 Type II compliance. When you connect Read AI to Actionist, the data flows through your Actionist workspace under the same data processing agreements. Actionist agents only access meeting data they are explicitly configured to retrieve — no meeting data is shared across workspaces.
