Accepted quote closes the CRM deal and creates the invoice

The moment a customer accepts a quote in Quotient, the Sales Agent closes the HubSpot deal, drafts the invoice in Xero from the exact line items, and posts a win to the #sales channel — the team celebrates and billing is already in motion before the rep sends a thank-you email.

With Actionist

What your agent runs for you

  • Sales
    45 min / week
Manual CRM update after every quote event

Sales reps manually update HubSpot deal stages after sending, viewing alerts, and accepting — often hours later or forgotten entirely.

    Sales Agent
    0 min
Agent closes deals the moment quotes are accepted

When a quote is accepted, the Sales Agent moves the CRM deal to Closed Won, logs the value, and notifies the team — all within about a minute, with no rep involvement.

  • Marketing
    30 min / week
Manual lead capture from quote activity

Marketers manually export contacts from declined or completed quotes to add them to re-engagement campaigns — an irregular, error-prone export cycle.

    Marketing Agent
    0 min
Agent routes contacts into campaigns the moment a quote event fires

When a quote is declined, the Marketing Agent adds the contact to a re-engagement sequence within about a minute — no export, no manual list building.

  • Customer Support
    20 min / week
Checking email for customer quote questions

Support reps check email and Quotient manually for customer questions on live quotes, often missing time-sensitive buying questions for hours.

    Customer Support Agent
    0 min
Agent alerts the rep within about a minute of every question

The Customer Asked Question trigger fires within about a minute and the Support Agent posts the question to Slack with a suggested reply — no buyer waits long for an answer.

  • Human Resources
    25 min / week
Manual project setup for accepted service quotes

HR teams manually create onboarding project records each time a staffing or consulting quote is accepted, re-entering details from the quote into the project tool.

    Human Resources Agent
    0 min
Agent creates the project record from the quote scope automatically

When a quote is accepted, the HR Agent creates the project in Notion or Asana pre-filled with the agreed scope — delivery starts without any manual handoff.

  • Finance
    40 min / week
Manual invoice creation from accepted quotes

Finance teams re-enter line items from accepted Quotient quotes into Xero or QuickBooks by hand — a slow, error-prone process that delays billing.

    Finance Agent
    0 min
Agent creates draft invoices from accepted quotes automatically

When a quote is accepted, the Finance Agent reads the line items and creates the invoice draft in the accounting tool — billing is in motion within about a minute.

  • Operations
    45 min / week
Weekly manual pipeline report from Quotient exports

Operations staff export Quotient quote data each week, paste it into a spreadsheet, and manually calculate pipeline totals — a 45-minute job every Monday.

    Operations Agent
    0 min
Agent builds and posts the pipeline report before Monday standup

Every Monday at 8 AM the Operations Agent reads all quote activity, calculates totals by status, and posts the pipeline to Slack — the team has live data before the first meeting.

  • Legal
    15 min / week
Manual audit log of high-value accepted quotes

Legal teams manually pull accepted quotes above a value threshold and copy them into a compliance log — a monthly chore that misses deals logged between audits.

    Legal Agent
    0 min
Agent logs every high-value accepted quote to the compliance record automatically

When a quote above the legal threshold is accepted, the Legal Agent retrieves the PDF and appends it to the compliance log in Notion — the audit trail is always current.

FAQs

Questions about Quotient + Actionist

How does Actionist connect to Quotient?
Go to the Apps tab in Actionist, find Quotient, and click Connect. You will need an API key from your Quotient account — go to Settings → Integrations in Quotient and copy the API key from there. Paste it into Actionist and the agent runs a test call to confirm the handshake. Once connected, all six webhook triggers (Quote Accepted, Quote Sent, Quote Declined, Quote Completed, Customer Viewed Quote, Customer Asked Question) are available immediately.
Which Quotient events can Actionist respond to?
Actionist supports all six Quotient webhook triggers: Quote Accepted, Quote Sent, Quote Declined, Quote Completed, Customer Viewed Quote, and Customer Asked Question. Each fires within about a minute of the event occurring in Quotient. The two most commonly used are Quote Accepted (for invoice and project creation) and Customer Viewed Quote (for live engagement alerts to the sales rep).
Can Actionist automatically create an invoice when a quote is accepted?
Yes. The Quote Accepted trigger fires within about a minute of a customer accepting a quote in Quotient. From that event, the Finance Agent can retrieve the full line items via Get Quote Details and pass them directly to Xero, QuickBooks, or another accounting tool to create a draft invoice. No manual data entry is needed between quote acceptance and invoice creation — the agent handles the handoff.
Can Actionist tell when a prospect is actively looking at my quote?
Yes — Quotient fires a Customer Viewed Quote webhook within about a minute of each view. Actionist can listen for this event and alert the sales rep in Slack immediately, so they know the buyer is engaged right now. You can also configure the agent to flag prospects who have viewed the same quote three or more times as high-intent leads, triggering an elevated follow-up response rather than the standard cadence.
Can the agent create contacts and leads in Quotient from other apps?
Yes. The Create Contact and Create Lead actions let agents push records into Quotient from any connected source — a CRM, a web form, an email, or a spreadsheet. This means new prospects can have a Quotient contact record ready before the sales rep even picks up the phone, and the rep can start a quote immediately without re-entering the buyer's details.
What happens when a quote is declined — can Actionist start a follow-up automatically?
Yes. The Quote Declined trigger lets Actionist react the moment a customer declines. Common patterns are: close the CRM deal as Lost and log the decline value for pipeline reporting; add the contact to a re-engagement email sequence in Mailchimp or HubSpot; notify the sales lead and prompt them to capture a decline reason; and create a revised quote task for deals above a threshold value. The agent handles all of this within about a minute of the decline event.
Does Actionist support Quotient's optional and multiple-choice line items?
Actionist can read Quotient's quote details including any customer selections from optional or multiple-choice items when a quote is accepted. The Get Quote Details action returns the customer's choices so downstream systems (invoices, project tools, CRM) receive the exact scope the customer agreed to — not the full menu of options. Writing new optional or multiple-choice items to an existing quote is done via the Add Line Item to Quote action.
Can Actionist connect Quotient to my accounting software for seamless billing?
Yes. Quotient natively integrates with Xero and QuickBooks Online for invoice creation. With Actionist, you can also combine this with other steps: when a quote is accepted, the agent can simultaneously create the invoice, move the CRM deal to Closed Won, create a project record, and notify the team — all from a single Quote Accepted trigger. The accounting sync becomes one step in a broader automated workflow rather than a standalone manual action.
