Capture event leads and share digital business cards — then let agents handle the rest

CRMSalesMarketingCommunicationAnalyticsHRLead Generation

Popl is a digital business card and event lead capture platform built for GTM teams who attend conferences, trade shows, and networking events. It lets team members share digital business cards via NFC, QR code, or link, and captures inbound badge scans and contact shares as structured leads. Connect Popl to Actionist and your agents can route new leads to your CRM the moment a badge is scanned, pull full event lead lists for post-show triage, provision and deprovision team member accounts in sync with your HRIS, and calculate cost-per-lead analytics for every event you attend — all without anyone touching the Popl dashboard after the event ends.

Badge scan to CRM contact before the conversation ends

Within about a minute of a badge scan, the agent retrieves the new lead, creates or updates the CRM contact with all qualifying fields, posts a brief summary to the live-event Slack channel, and schedules a follow-up call. The rep stays on the floor engaging prospects while the agent handles every data entry step.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    40 min / week
    Manual post-event lead import

Reps collect business cards and badge scans throughout an event, then spend 2–3 hours after the show manually typing contact details into the CRM before the follow-up window closes.

    Sales Agent
    0 min
Agent creates CRM contact within a minute of badge scan

The agent picks up the New Lead trigger from Popl within about a minute of each scan and creates or updates the CRM record automatically — the rep never touches a keyboard for data entry.

  • Marketing
    30 min / week
    Manual event ROI calculation

Marketing manually exports lead counts from Popl, retrieves spend figures from the finance system, and builds the cost-per-lead spreadsheet — a process that typically takes a full business day and is often skipped for smaller events.

    Marketing Agent
    0 min
Agent produces event ROI report automatically after each show

After each event, the agent fetches Popl analytics, pairs them with event spend, calculates cost-per-lead, and writes the figures to the dashboard — finance and marketing have the ROI number before the team is back in the office.

  • Customer Support
    20 min / week
No cross-reference between event captures and support status

Without automation, event leads and support tickets live in separate systems with no connection. A customer captured at an event who is also escalating a support issue falls through the cracks until the relationship has already deteriorated.

    Customer Support Agent
    0 min
Agent cross-references event leads against open support tickets weekly

Each Wednesday the agent retrieves Popl team leads and matches them against the open ticket list, surfacing at-risk customers who were captured at events but are currently in a support escalation — giving the team a proactive retention signal.

  • Human Resources
    12 min / week
Manual Popl account setup for each new hire

HR manually creates Popl accounts for each new employee, setting up name, title, department, and subteam assignment. With high-volume hiring, accounts are often created days after the employee's start date, meaning early events are missed.

    Human Resources Agent
    0 min
Agent provisions and deprovisions Popl accounts as part of onboarding

When a new hire is added to Notion, the agent creates their Popl account in the same workflow that provisions all other tools — the new employee has a working digital business card from day one without HR or IT filing a separate ticket.

  • Finance
    25 min / week
    Manual event lead-to-spend reconciliation

Finance manually requests lead count reports from marketing after each event, matches them to invoice amounts, and builds the cost-per-lead figure by hand — a process that takes 2–3 hours and is often incomplete for mid-size events.

    Finance Agent
    0 min
Agent calculates cost-per-lead per event and feeds the budget model

After each event, the agent retrieves Popl analytics and pairs them with spend data to produce a cost-per-lead figure that feeds directly into the quarterly events budget model — finance reviews real data, not estimates.

  • Operations
    20 min / week
    Quarterly manual Popl roster audit

Operations runs a manual quarterly audit to find and remove departed employees from Popl. In the months between audits, former employees may still have active accounts with live digital cards that could be shared at external events.

    Operations Agent
    0 min
Agent keeps Popl roster in sync with the active employee directory weekly

The Monday sweep retrieves the full Popl member list, cross-references it against active employees, and flags any account that should be offboarded — keeping the roster accurate and the billing count clean without manual review.

  • Legal
    10 min / week
    Manual GDPR lead deletion review

Legal manually reviews the full Popl lead list against the retention policy each month, identifies contacts past the deadline, and requests deletion through the admin dashboard one record at a time — a process that takes several hours and is prone to error under volume.

    Legal Agent
    0 min
Agent runs GDPR retention compliance monthly without manual review

On the first business day of each month, the agent identifies leads past the retention window, deletes the confirmed batch, and logs every deletion with a timestamp and request reference — GDPR compliance is documented without the legal team reviewing individual records.

FAQs

Questions about Popl + Actionist

How does Actionist connect to Popl?
Go to the Apps tab in Actionist, find Popl, and click Connect. You will be prompted to enter a Popl API key. To generate one, sign in to your Popl dashboard, navigate to Settings, and look for the API or Integrations section. Generate a new API key, copy it, and paste it into the Actionist connection field. Actionist runs a test call (Get Last Lead) to verify the handshake before any automation runs. Once connected, your agent can read leads, manage team members, and retrieve analytics without you touching the Popl dashboard.
What permissions does the agent need on my Popl account?
The API key you generate in Popl inherits the permissions of your account role. Team admins can access all team-level endpoints: leads from any team member, member management, full analytics, and subteam-level data. Individual members can access their own contacts and leads. For automations that read leads across your whole team or provision members via HR sync, the key should be generated from an admin account. There are no separate OAuth scopes to configure.
Can I connect Popl to other apps in the same workflow?
Yes. Popl is most impactful when the leads it captures are immediately reflected in your wider GTM stack. Common combinations include: syncing new leads to HubSpot or Salesforce the moment a badge is scanned; writing lead data to Google Sheets for event reporting; posting lead notifications to a Slack channel so the sales team can follow up while still on the event floor; and creating follow-up tasks in ClickUp or Notion for each captured contact. Actionist coordinates Popl with any of its 200+ connected apps in a single scheduled agent task.
What are the most common things agents do with Popl?
The four patterns that come up most: (1) post-event lead triage — pulling all leads captured during a conference and routing them to the right sales rep based on territory or lead score; (2) member lifecycle management — creating Popl team member accounts when a new hire joins and removing them when they leave, synced from your HRIS; (3) event analytics reporting — fetching view and lead counts per event period and writing them to a dashboard for revenue attribution; (4) real-time CRM sync — treating each New Lead webhook event as a trigger to create or update a contact record in your CRM with all captured fields.
How quickly does Actionist pick up new leads captured in Popl?
The New Lead and Update Lead triggers fire via webhook within about a minute of the event occurring in Popl. When a team member scans a badge or receives a new contact share at an event, the New Lead webhook fires and Actionist's agent picks it up on its next polling cycle. This means your CRM record, Slack notification, or follow-up task is created within about a minute of the scan — without anyone manually exporting a CSV after the event ends.
Can Actionist pull all leads captured at a specific event or date range?
Yes. The Get Leads by Time Period action lets you specify a date range and pull all leads captured within it. After a trade show ends, the agent can fetch the full lead list for the event window, enrich each contact with company data, score them based on qualifying question answers, and route high-priority leads to the rep responsible for that account — all before the team lands at the airport. You can schedule this as a post-event cleanup agent task that runs automatically the evening the event closes.
Can Actionist automate Popl member provisioning when employees join or leave?
Popl supports Member Import via Active Directory, Azure SAML, Okta SAML, and SCIM Provisioning for automated HR sync at the platform level. Through Actionist, the Create New Member and Update Member actions let your HR agent provision and update Popl accounts as part of a broader onboarding workflow that spans multiple tools — for example, creating accounts in Popl, Slack, and your HRIS in a single coordinated agent task triggered by a new hire record. The Remove Member action similarly handles offboarding across systems in one pass.
What analytics data can Actionist pull from Popl, and how is it useful?
The Get Analytics and Get Views actions return aggregate performance data for your Popl digital cards and lead capture forms — total profile views, link clicks, and leads generated over a period. These numbers feed well into event ROI calculations: comparing badge scans and profile views against pipeline created gives you a cost-per-lead and revenue-per-event figure. The agent can pull this data after each event and write it to a shared Google Sheets dashboard or include it in the post-event debrief sent to leadership via Slack.
