Order paid — CRM, accounting, and revenue tracker updated in one shot

Within about a minute of a customer completing a Plug&Pay checkout, the agent pushes the order data to HubSpot, posts the invoice to QuickBooks, appends the sale to the daily Google Sheets revenue tracker, and notifies the team in Slack. Every paid order is in every system before the customer's receipt email has arrived.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    30 min / week
    Manual post-checkout CRM update

After each sale, the sales rep manually opens HubSpot, creates or updates the contact, logs the product purchased and amount, and marks the deal as closed-won — 6 minutes per order.

    Sales Agent
    0 min
Agent routes order data to CRM in under a minute

When a Plug&Pay order is paid, the agent pushes the customer and sale details to HubSpot immediately — the rep sees the deal update before they finish their current call.

  • Marketing
    25 min / week
    Manual post-purchase email list update

After each sale, a team member exports the new customer from Plug&Pay, imports them to ActiveCampaign, applies the correct tags, and manually starts the post-purchase sequence — 10 minutes per batch, usually done once daily.

    Marketing Agent
    0 min
Agent syncs new buyers to email segments within a minute

When Order Paid fires, the agent tags the buyer by product in ActiveCampaign and enrols them in the correct post-purchase sequence — zero list-management work for the marketing team.

  • Customer Support
    20 min / week
    Manual churn response

Support checks Plug&Pay daily for cancellations, then manually emails each churned customer and updates their CRM record — often 24 hours or more after the subscription ended.

    Customer Support Agent
    0 min
Agent launches win-back sequence the moment a subscription ends

Subscription Cancelled fires, and within about a minute the agent starts a personalised win-back sequence — the first email reaches the customer while they may still reconsider.

  • Human Resources
    20 min / week
    Manual affiliate onboarding

HR checks for new affiliates, manually emails each one with their referral link and commission details, creates a CRM record, and adds them to the commission tracker — 20-30 minutes per new affiliate.

    Human Resources Agent
    0 min
Agent onboards new affiliates in under a minute

When Affiliate Accepted fires, the agent sends the welcome email, creates the HubSpot contact, and logs the commission tier — the affiliate is fully set up before anyone on the team is aware they were accepted.

  • Finance
    45 min / week
Weekly manual invoice export and import

Finance exports invoices from Plug&Pay to a CSV, formats them for QuickBooks, and imports the batch — a 45-minute process done once a week that leaves the ledger up to 7 days behind.

    Finance Agent
    0 min
Agent posts every invoice to accounting within a minute

Invoice Created fires and the agent immediately posts the line items to QuickBooks with the correct tax code — the ledger is current in near-real-time, not at the end of the week.

  • Operations
    30 min / week
    Manual course access provisioning

An operations team member checks Plug&Pay for new course orders, manually enrols each student in the course platform, and sends them an access email — 10 minutes per enrolment, often delayed by hours.

    Operations Agent
    0 min
Agent provisions course access within a minute of payment

When Order Paid fires for a course product, the agent enrols the customer in Teachable automatically — students have access without anyone touching the course platform.

  • Legal
    12 min / week
    Manual GDPR compliance logging

Legal manually reviews order data weekly to update the GDPR register, recording the processing basis and retention period for each new customer relationship — a slow, error-prone process that often falls behind.

    Legal Agent
    0 min
Agent maintains GDPR data register automatically

Every new order is logged to the GDPR data retention register with processing basis and retention period — the register is always current without any manual data entry from the legal team.

FAQs

Questions about Plug&Pay + Actionist

How does Actionist connect to Plug&Pay?
Go to the Apps tab, find Plug&Pay, and click Connect. Plug&Pay uses webhook-based integration — you generate a webhook endpoint in Actionist and paste it into your Plug&Pay account under Settings → Webhooks. You can set up a universal webhook (fires for all products) or a product-specific webhook. Once configured, Actionist runs a handshake check to confirm events are flowing before enabling any agent tasks.
Which Plug&Pay events can trigger an Actionist agent task?
Plug&Pay fires events via webhook when these things happen: Order Paid, Invoice Created, Affiliate Accepted, Form Submitted, Subscription Cancelled, and Subscription Ended. Actionist listens on all six. You can scope each webhook to specific products or leave it universal (fires on every product). Within about a minute of the event occurring in Plug&Pay, Actionist receives the payload and the relevant agent task begins.
What order and customer data does Actionist receive when a Plug&Pay event fires?
Yes — Plug&Pay's webhook payloads are richly structured. For Order Paid, you receive the order amount, product name, customer email, billing address, and payment method. For Subscription Cancelled and Subscription Ended you get the subscription period and the cancellation reason if provided. For Affiliate Accepted you receive the affiliate's contact details and referral code. Actionist extracts these fields and can route them to any downstream app — CRM, accounting, email, Slack — without manual copy-paste.
What are the most common things agents do with Plug&Pay?
The most productive patterns are: (1) revenue routing — when Order Paid fires, push the sale to your accounting tool (QuickBooks, Xero) and CRM (HubSpot) simultaneously; (2) subscription lifecycle — when Subscription Cancelled fires, trigger a win-back sequence in your email platform before the customer goes cold; (3) affiliate management — when Affiliate Accepted fires, add the affiliate to your CRM and send a welcome email with their referral link; (4) form-to-lead — when Form Submitted fires, enrich the contact in your CRM and start a nurture sequence; (5) invoice sync — when Invoice Created fires, post the line-item data to your accounting software for reconciliation.
Does Actionist work with both Mollie and Stripe payments in Plug&Pay?
Plug&Pay supports Mollie and Stripe as payment providers. When an order is paid via either provider, the Order Paid webhook fires in the same way — you don't need separate webhook configurations per payment method. The payload includes payment method details so your agent can log the method (iDEAL, credit card, SEPA, etc.) to your accounting or CRM system for reconciliation and reporting.
Can I use Plug&Pay to capture and route pre-purchase leads?
Use the Form Submitted trigger as the entry point. Plug&Pay forms can capture lead data (name, email, company, interest) before a purchase decision. When Form Submitted fires, Actionist receives the field values and the agent can immediately create a contact in HubSpot or Pipedrive, tag them with the product they expressed interest in, and enroll them in a nurture sequence in your email marketing tool — all before the lead has paid a cent.
How do I automate access removal and re-engagement when a Plug&Pay subscription ends?
Set up a universal webhook and filter by the Subscription Ended event. When a subscription ends — whether from cancellation, non-renewal, or expiry — the agent receives the customer's details and subscription period. It can then tag the contact in your CRM as churned, start a re-engagement email sequence, remove their access in a course platform (Teachable, Thinkific), and create a follow-up task for your sales team to reach out within 48 hours. Each step happens within about a minute of the subscription ending.
Can Actionist automate affiliate onboarding and commission tracking in Plug&Pay?
Plug&Pay includes an affiliate system. When an affiliate application is accepted (Affiliate Accepted trigger), the agent can add the new affiliate to a Google Sheet roster, send them a personalised onboarding email, create a contact in your CRM with their referral code and commission tier, and post an announcement to your team Slack channel. When their referred orders come in via Order Paid, you can cross-reference the affiliate code in the payload to log commissions against the right affiliate record automatically.
