Lead form submission routed to CRM and rep within a minute

Within about a minute of a new form submission, the agent creates the contact in HubSpot, logs the lead in Google Sheets, notifies the rep in Slack, and schedules a follow-up — so no lead waits longer than a minute for a human to be aware of it.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

With Actionist

What your agent runs for you

  • Sales
    25 min / week
Manual lead routing from form inbox

Reps check the Paperform submission inbox, manually copy contact details into HubSpot, update the pipeline spreadsheet, and message the relevant rep — repeating this for every new lead.

    Sales Agent
    0 min
Agent routes leads to CRM within a minute of submission

The moment a lead form is submitted, the Sales Agent picks up the data and creates or updates the contact in HubSpot, logs the lead to the pipeline tracker, and notifies the rep in Slack — before the rep could even open the Paperform inbox.

  • Marketing
    20 min / week
Manual coupon creation and expiry management

The marketing team manually creates discount codes in Paperform for each campaign and remembers to delete them when the campaign ends — expired codes sometimes linger for weeks and are redeemed by customers.

    Marketing Agent
    0 min
Agent creates and retires campaign coupons automatically

The Marketing Agent creates campaign coupons when a campaign launches and deletes them the moment the campaign closes — customers can never redeem an expired code, and no manual coupon cleanup is needed after each campaign.

  • Customer Support
    18 min / week
    Manual inbox review and cleanup

Support agents check the Paperform inbox daily, manually route submissions to the helpdesk, and periodically delete old partial submissions — a time-consuming chore that competes with actual customer responses.

    Customer Support Agent
    0 min
Agent processes form submissions and cleans partials weekly

Support form submissions are routed to the CRM automatically, and stale partial submissions are purged on a schedule — the support team only sees actionable, recent data in their queue.

  • Human Resources
    20 min / week
    Manual new-hire form preparation

HR manually duplicates and renames the onboarding form template for each cohort, updates field defaults for the correct department, and emails personalised links — a process that takes 20–30 minutes per cohort.

    Human Resources Agent
    0 min
Agent provisions onboarding forms and Spaces for each cohort

For every new-hire cohort, the HR Agent locates the onboarding form template, updates it with cohort-specific details, places it in the correct department Space, and generates personalised links — ready before Monday.

  • Finance
    30 min / week
Manual inventory and price updates on checkout forms

Finance manually logs into Paperform after every external order to adjust stock levels and checks product prices against the price list weekly — a routine that takes 30+ minutes across all forms.

    Finance Agent
    0 min
Agent keeps product prices and inventory in sync with external systems

Every external order updates the available quantity and sold count on the Paperform checkout form automatically. Price changes are swept across all checkout forms every Monday before the first customer email goes out.

  • Operations
    25 min / week
    Manual Space and form organisation

Operations manually checks the Paperform library for orphaned forms and incorrectly named Spaces, then reorganises them — a task that expands as the number of forms and teams grows.

    Operations Agent
    0 min
Agent audits and organises Spaces and forms weekly

The Operations Agent runs a weekly audit of all Spaces and forms, moving orphaned forms into the correct Space, renaming Spaces that have drifted out of date, and reporting on form submission volumes across all teams.

  • Legal
    30 min / week
Manual data deletion and consent field audits

Legal manually searches each Paperform form for submissions linked to a deletion request, deletes them one by one, and separately audits consent fields to confirm they are required and correctly labelled.

    Legal Agent
    0 min
Agent processes GDPR erasure requests and runs retention sweeps weekly

The Legal Agent processes every erasure request received in the past 7 days, deletes the relevant submissions across all forms, and logs each deletion with a timestamp — all within the 72-hour regulatory window.

FAQs

Questions about Paperform + Actionist

How does Actionist connect to Paperform?
Go to the Apps tab in Actionist, find Paperform, and click Connect. You will be prompted to enter an API key. To generate one, log in to Paperform, open Settings, navigate to the Developer section, and click API Keys → Create Key. Give the key a descriptive name such as 'Actionist', copy the generated key, and paste it into Actionist. The agent will run a test call to verify the connection before any actions are available.
What triggers are available from Paperform?
Paperform supports two webhook-based triggers in Actionist: New Form Submission (fires within about a minute when a respondent completes a form) and New Partial Form Submission (fires within about a minute when a respondent starts but does not complete a form). Both triggers deliver all submitted field values to the agent. You can set the trigger to watch a specific form or all forms in your account depending on your workflow.
Can I use Paperform with other apps in the same workflow?
Yes — Paperform works best when combined with the tools where form data needs to land. Common combinations include routing New Form Submission events to HubSpot or Google Sheets, triggering Gmail confirmation emails when a booking form is submitted, syncing product inventory updates with external order systems, and sending Slack alerts when high-priority support forms are submitted. Any of Actionist's 200+ connected apps can be combined with Paperform in the same agent task.
How do partial submissions work, and how should I handle them?
A partial submission is created when a respondent starts filling out a Paperform form but exits without submitting. Paperform captures whatever data was entered at the point of exit. In Actionist, the New Partial Form Submission trigger fires within about a minute, giving the agent a chance to act on the data before the lead goes cold — typically by sending a recovery email or alerting a sales rep. Partial submissions that are not recovered within a defined period (commonly 14–30 days) should be deleted via the Delete Form Partial Submission action to maintain a clean inbox and comply with data minimisation principles.
Can Actionist manage discount coupons on my Paperform payment forms?
Yes. The agent can create coupons with a specific code, discount percentage or fixed amount, expiry date, and maximum redemption count; update an existing coupon's value or expiry when a promotion changes; and delete expired coupons when a campaign closes. The most common pattern is to create campaign coupons programmatically when a campaign launches in your CRM or project tool and delete them automatically when the campaign end date passes — so customers can never redeem a discount that should no longer be valid.
How does the agent keep product inventory accurate on checkout forms?
Paperform tracks available quantity and sold count per product on order forms. Actionist agents can update both values programmatically: decrement available quantity when an external order is processed, increment it when stock is returned or restocked, and update sold count to match the true total sold across all channels. This means the Paperform checkout form always reflects real inventory without anyone manually editing the form editor — and agents can post a low-stock alert when available quantity falls below a defined threshold.
What is a Paperform Space and how does Actionist manage them?
A Space in Paperform is a folder for organising related forms — for example, all forms for a specific client, campaign, or department. Actionist agents can create new Spaces when a client is onboarded or a campaign kicks off, rename Spaces when teams or projects change, and find Spaces by name so that forms can be automatically placed in the correct location. The operations agent typically runs a weekly Space audit to check that every active department has a correctly named Space and that no forms are sitting unorganised outside a Space.
How do I handle GDPR data deletion requests for Paperform submissions?
Actionist makes it straightforward to fulfil GDPR right-to-erasure requests for Paperform data. The agent can delete both completed submissions and partial submissions for a specific contact across all relevant forms. The recommended pattern is to run a weekly deletion sweep — the Legal Agent processes all erasure requests received since the last sweep, deletes the identified submissions, and logs each deletion with a timestamp to a compliance record. This approach meets the 72-hour regulatory response window without anyone manually searching through multiple form inboxes.
