ROI calculator lead routed to CRM deal with value attached

Within about a minute of the ROI calculator submission, the agent reads the calculated output, creates or updates the contact in HubSpot with the prospect's answers and self-estimated value, opens a deal record, and alerts the sales team in Slack. The rep has the full picture before picking up the phone.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
Manual lead import and CRM entry

Reps log into Outgrow to download new leads, copy calculator outputs into the CRM manually, and update deal values by hand — typically done in batches, meaning leads wait hours before reaching the pipeline.

    Sales Agent
    0 min
Agent routes and enriches every calculator lead automatically

When a prospect submits the ROI calculator, the agent reads their calculated value, creates a deal in the CRM with the number pre-filled, and alerts the rep in Slack — all within about a minute of submission.

  • Marketing
    20 min / week
Manual Outgrow dashboard review and reporting

The marketing team logs into Outgrow each week, clicks through each content piece to pull analytics, copies numbers into a spreadsheet, and assembles a summary for the team meeting.

    Marketing Agent
    0 min
Agent posts weekly content performance digest automatically

Every Friday the agent fetches analytics for every live Outgrow piece and posts a ranked completion-rate and lead-count digest to Slack — the team has the full picture without opening Outgrow.

  • Customer Support
    18 min / week
Manual context lookup before first reply

Support reps ask customers to describe their setup in the first reply, then manually check Outgrow if they remember the customer completed a quiz — often skipping the lookup entirely under ticket volume pressure.

    Customer Support Agent
    0 min
Agent attaches Outgrow submission context to every support ticket

When a ticket arrives, the agent looks up the customer's email in Outgrow, retrieves their quiz answers and chatbot transcript, and appends a context note to the ticket before the rep opens it.

  • Human Resources
    15 min / week
Manual assessment result transfer to ATS

HR downloads assessment results from Outgrow as a CSV, manually creates candidate records in the ATS, and copies scores across — typically done once a week in a batch, delaying hiring manager visibility.

    Human Resources Agent
    0 min
Agent imports assessment scores into ATS with pass/fail routing

When a candidate completes the skills assessment, the agent reads their score, creates an ATS record with answers attached, and notifies the hiring manager — no manual data transfer between Outgrow and the ATS.

  • Finance
    35 min / week
Manual cost-per-lead and pipeline value calculation

Finance manually exports Outgrow lead data, matches UTM sources against ad spend in a separate spreadsheet, and calculates cost-per-lead by channel — a process repeated each week that takes 45+ minutes.

    Finance Agent
    0 min
Agent aggregates calculator values into the pipeline forecast weekly

Every Tuesday the agent reads calculator outputs for all new leads, sums them by segment, and writes the total to the sales forecast spreadsheet — finance and sales share the same number before the review meeting.

  • Operations
    30 min / week
    Manual content inventory review

Operations manually reviews the Outgrow dashboard each week to check which pieces are live, which are stale, and whether analytics match the tracker — a task that slips under pressure and is often skipped entirely.

    Operations Agent
    0 min
Agent maintains the Outgrow content inventory automatically

The operations agent lists all live pieces weekly, cross-references them against the marketing tracker, flags stale pieces, and posts a performance digest — the inventory is always current without manual checking.

  • Legal
    10 min / week
    Manual GDPR erasure across Outgrow

The legal team manually searches Outgrow for each erasure-request email, deletes matching leads one by one across each content piece, and logs the action in a spreadsheet — a process that takes 20+ minutes per request.

    Legal Agent
    0 min
Agent processes GDPR erasure requests with a full audit trail

When an erasure request arrives, the agent finds every Outgrow record for that email, deletes them, and logs each deletion with a timestamp to the compliance tracker — the full audit trail is created automatically.

FAQs

Questions about Outgrow + Actionist

How does Actionist connect to Outgrow?
Go to the Apps tab, find Outgrow, and click Connect. The recommended path is API key — navigate to your Outgrow account Settings, find the Integrations section, and copy your API key from the Zapier integration sub-tab. Paste it into Actionist and the agent runs a test call to confirm the handshake before any actions run. Once connected, the agent can read lead data, retrieve content analytics, and listen for incoming lead events from any of your published Outgrow pieces.
What types of Outgrow content can the agent work with?
The agent works with all Outgrow content types: quizzes, calculators, polls, surveys and forms, assessments, chatbots, and contests. Each piece can be targeted individually — so you can route leads from a product-fit calculator to one CRM pipeline and leads from a quiz to another, all within the same Actionist setup. Lead data includes the user's answers, calculated results, UTM parameters, and any custom fields you configured in the Outgrow builder.
What triggers are available for Outgrow in Actionist?
Two triggers are available. New Lead fires within about a minute of a visitor completing and submitting any Outgrow content piece — the payload includes their answers, result category, score, email, and UTM parameters. Lead Segment fires when a submitted lead matches a segment rule you have configured inside Outgrow, letting you filter downstream actions to a specific audience — for example, only leads who scored above a threshold or who selected a particular result. Both triggers can be scoped to a specific piece or set to watch your entire account.
Can I route different lead segments from the same quiz to different workflows?
Yes. The Lead Segment trigger lets you create separate Actionist agent tasks for each segment you have defined in Outgrow. For example, a product-fit quiz might produce three segments — Enterprise, SMB, and Not a Fit. You can configure one agent task that fires on the Enterprise segment and routes the lead to Salesforce with a high-priority flag, a second that fires on SMB and adds the lead to a HubSpot sequence, and a third that fires on Not a Fit and sends a nurture email. Each task runs independently, so segment logic stays clean.
Does Actionist support Outgrow's native integrations or only the API?
Actionist connects through Outgrow's API and webhook layer — the same mechanism Outgrow uses for its Zapier integration. This means the agent has access to the same lead payload that Outgrow sends to any connected app: answers, result data, UTM parameters, and metadata. Outgrow's own native integrations (HubSpot, Mailchimp, Salesforce, etc.) still work in parallel — Actionist sits alongside them as an additional layer, adding agentic logic on top of the raw data rather than replacing the native connections.
How do I avoid sending duplicate leads to my CRM from Outgrow?
Instruct the agent to check the CRM for an existing contact by email before creating a new record. For most CRMs Actionist supports (HubSpot, Salesforce, Pipedrive), the agent can run a Find Contact action first and only call Create Contact if no match is found — otherwise it updates the existing record with the new Outgrow data. This is especially useful for quizzes that the same visitor takes more than once; each new submission updates their profile rather than creating a duplicate.
Can the agent use a lead's quiz answers to personalise follow-up content?
Yes. The New Lead trigger payload includes the visitor's full answer set and their calculated result or score. The agent can read these values and use them to branch logic — sending a different follow-up email depending on the result, updating a CRM property with the score, adding a tag that routes the contact into a specific nurture sequence, or writing the raw answers to a Google Sheet for analysis. Personalisation happens at the data-routing level, not inside Outgrow's builder.
Is there a limit to how many Outgrow content pieces the agent can monitor?
There is no Actionist-imposed limit on the number of Outgrow pieces a single agent can monitor. You can configure the New Lead trigger to watch your entire account — all pieces simultaneously — or scope it to a specific piece by ID. If you have a large library of active quizzes and calculators, watching the full account is the simpler configuration; the agent reads the content-piece name from each incoming payload so it can still route leads differently based on which piece they came from.
