Automate your vacation rental — bookings, guests, and rates on autopilot

CRMCommunicationAnalyticsFinanceEcommerceSchedulingAutomation

Lodgify is a vacation rental software platform that lets property managers build a direct booking website, manage reservations across OTA channels, automate guest messaging, and control rates and availability from a single dashboard. Connect it to Actionist and your agents can respond to new bookings within about a minute, dispatch personalised check-in and review messages on a schedule, pull real-time availability and rate data, apply dynamic pricing adjustments, and generate weekly revenue and occupancy reports — all without anyone logging into Lodgify.

New booking welcome and revenue log in 60 seconds

When a booking fires in Lodgify, the agent fetches the full reservation and property details, sends the guest a personalised welcome message with property access information, and logs the booking to the revenue tracker in Google Sheets — all within about a minute of the event, with no manual effort.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    60 min / week
Manual availability and rate lookups per enquiry

Staff check the Lodgify calendar manually for each enquiry, then look up the nightly rate in a separate tab and compile a reply — 5-10 minutes per enquiry at peak times.

    Sales Agent
    0 min
Agent responds to availability enquiries with live data

The Sales Agent calls Get Availability and Get Rate for each enquiry and replies with current open dates and pricing — no dashboard login, no manual calendar check.

  • Marketing
    45 min / week
    Manual post-stay review request process

Property managers manually scroll past-stay lists, compose personalised emails, and send them — on busy weeks, many guests are missed entirely.

    Marketing Agent
    0 min
Agent sends timed review requests for every checkout

Two days after every checkout, the Marketing Agent sends a personalised review request via Lodgify — zero guests fall through without a review ask, regardless of volume.

  • Customer Support
    50 min / week
    Manual check-in instruction dispatch

Property managers check the arrival list each morning, open each reservation, and individually copy-paste or type check-in instructions — 10-15 minutes per check-in day.

    Customer Support Agent
    0 min
Agent dispatches check-in instructions automatically at 7 AM

Every morning the Support Agent sends personalised check-in instructions to that day's arrivals via Lodgify messaging — door codes, parking, WiFi, without any manual involvement.

  • Human Resources
    40 min / week
    Manual housekeeping roster compilation

The operations coordinator logs into Lodgify, exports or manually reads the week's check-in/check-out data, and builds a housekeeping schedule in a spreadsheet — 30-45 minutes every Monday.

    Human Resources Agent
    0 min
Agent builds the weekly housekeeping schedule from the reservation calendar

Every Monday the HR Agent reads the week's check-outs and check-ins from Lodgify and generates a full housekeeping schedule with turnover windows, so housekeepers receive their plan before 9 AM.

  • Finance
    40 min / week
Manual weekly revenue export and summary

The finance team exports reservation data from Lodgify, pastes it into a spreadsheet, and manually calculates totals by property — 30-45 minutes every week.

    Finance Agent
    0 min
Agent writes the weekly revenue summary before the review meeting

Every Friday the Finance Agent lists completed reservations, totals revenue per property, and writes the data to the finance dashboard in Google Sheets — the report is ready before anyone walks into the meeting.

  • Operations
    45 min / week
Manual gap night identification and rate rule updates

The operations team manually scans the calendar for gap nights, opens each property's rate settings, and edits minimum stay rules one by one — a task that takes 30-60 minutes across a multi-property portfolio.

    Operations Agent
    0 min
Agent identifies gap nights and adjusts minimum stay automatically

The Operations Agent scans the calendar for single-night gaps between bookings and adjusts the minimum stay rule for those specific dates via Set Availability — gap nights become bookable within about a minute.

  • Legal
    30 min / week
    Manual guest record compliance checks

The compliance team manually reviews reservation exports each month, checking for missing guest data fields against the regulatory requirements — a slow process that misses many gaps until the quarterly audit.

    Legal Agent
    0 min
Agent checks guest record completeness for every stay weekly

Every Tuesday the Legal Agent audits all completed stays for the past 30 days, confirms that guest records contain the required regulatory fields, and flags any gaps for remediation before the compliance deadline.

FAQs

Questions about Lodgify + Actionist

How does Actionist connect to Lodgify?
Go to the Apps tab in Actionist, find Lodgify, and click Connect. The recommended path is API key — in Lodgify, navigate to Settings → API & Integrations → API Key, generate a new key, and paste it into the field in Actionist. Actionist immediately runs a read-only test call to confirm the connection before any agent task runs.
What permissions does the agent need in Lodgify?
Your Lodgify API key gives the agent access to whichever resources you allow: properties, reservations, guests, calendars, rates, and messages. You can generate a key with read-only access for monitoring agents, or a full-access key for agents that also create and update bookings or send guest messages. The key is stored encrypted in Actionist and never logged.
Can I combine Lodgify with other apps in one agent workflow?
Yes — Lodgify is most effective when combined with the tools your team already uses. Common combinations: sync new bookings into a CRM like HubSpot; when a booking is confirmed push a row to Google Sheets for revenue tracking; send guest check-in instructions via a connected messaging tool; pull rate data and compare against a pricing benchmark in Notion. Any of Actionist's 200+ connected apps can participate in the same agent workflow as Lodgify.
How quickly do Lodgify triggers reach Actionist?
Webhooks fire within about a minute of the event occurring in Lodgify. Actionist listens on a registered webhook endpoint and routes the event to the relevant agent task. For read-only operations like availability or rate checks, the agent calls the Lodgify REST API on demand or on a schedule — response times depend on the Lodgify API, typically under a second for single-property queries.
What are the most common things property managers do with Lodgify via Actionist?
Agents handle the most time-consuming patterns: (1) booking intake — enriching new reservations with guest history, sending personalised welcome messages, and logging the booking to a tracker; (2) calendar and rate management — syncing availability across channels and adjusting nightly rates on a schedule; (3) guest messaging — sending check-in instructions, mid-stay check-ins, and review-request messages timed to the stay; (4) revenue reporting — pulling completed reservations weekly and appending them to a finance dashboard.
Does Actionist see bookings from all channels or only direct Lodgify bookings?
Lodgify supports both direct bookings (through your Lodgify-hosted website) and bookings imported from OTAs via channel manager. Actionist receives them all through the same webhook — New Booking fires for any source. The booking payload includes a source field so you can route OTA bookings and direct bookings to different follow-up sequences if needed.
Can the agent read property details like amenities and house rules?
Yes. The Get Property action returns the full property record including name, address, amenities, house rules, and check-in/check-out times. The agent can pull this data to personalise guest communications, build a property-specific welcome guide, or populate a Notion template each season. If you manage multiple properties, the List Properties action returns them all and the agent can iterate across the portfolio.
Can I automate check-in day messages without using webhooks?
Use a scheduled agent task rather than a trigger. Set the agent to run List Reservations with a check-in date of today, filter for today's arrivals, and then dispatch check-in instructions or a welcome message for each one. Schedule it for 8 AM daily — the agent handles it without any manual checking. This pattern also works for departures: run List Reservations filtered for today's check-out date to trigger post-stay review requests.
