Demo registrant added to CRM and sales cadence on sign-up

When someone registers for a Livestorm product demo, the agent creates or updates their contact in HubSpot with session details, enrolls them in the pre-demo email cadence, and posts a Slack alert to the account owner if the domain matches a target account — all within about a minute of registration.

What your agent runs for you

  • Sales
    25 min / week
Manual CRM entry after each registration

Reps check Livestorm for new registrants, copy details into HubSpot manually, and add the contact to the email sequence one at a time.

    Sales Agent
    0 min

  • Marketing
    45 min / week
    Manual post-webinar follow-up processing

    Marketing Agent
    0 min
Agent routes attendees and no-shows the moment a session ends

The Session Ended trigger fires within about a minute and the agent routes each registrant to the correct nurture track in HubSpot, sends replay links, and writes the attendance log to Google Sheets.

  • Customer Support
    30 min / week
    Manual no-show follow-up and rescheduling

CSMs review attendance after each onboarding session, identify no-shows, look up the next available slot, and manually send a rescheduling email to each customer.

    Customer Support Agent
    0 min
Agent re-registers no-show customers and sends new invite

When a customer misses an onboarding session, the agent finds the next slot, re-registers them, and sends a new calendar invite within about a minute — no CSM action required.

  • Human Resources
    40 min / week
    Manual training attendance logging

HR downloads the Livestorm attendance report, copies names into the compliance tracker, and emails certificates individually — a process repeated after every training session.

    Human Resources Agent
    0 min
Agent logs attendance and sends certificates automatically

When a training session ends, the agent writes attendance records to the compliance tracker and sends certificate emails to attendees within about a minute — with no HR dashboard visit needed.

    Operations Agent
    0 min
Agent keeps the event calendar and schedule log current

When a new session is created, the agent adds it to Google Calendar, creates the draft promo email, and writes the row to the schedule tracker — all within about a minute.

  • Legal
    15 min / week
Manual compliance record keeping for events

Legal manually reviews session recordings for retention, tracks which sessions have been recorded in a spreadsheet, and processes each data deletion request by searching Livestorm individually.

FAQs

Questions about Livestorm + Actionist

How does Actionist connect to Livestorm?
Go to the Apps tab, find Livestorm, and click Connect. The OAuth path opens a Livestorm authorisation window — sign in and grant Actionist permission to read and write your events, sessions, and registrants. Actionist runs a test call to confirm the handshake before any actions run. You will need a Livestorm account with organiser-level access; viewer-only accounts cannot create events or register people.
What can the agent actually do in Livestorm?
The agent can create, update, and remove events and sessions; register and remove individual registrants; search for sessions and people by email; and list events across your workspace. On the trigger side, it listens for seven session-lifecycle webhooks — new registrant, session started, session ended (with full people data), attended, did not attend, watched replay, and session created — and fires downstream actions in your other connected apps within about a minute of each event.
Can I run post-webinar follow-ups automatically for attendees and no-shows?
Yes. The Session Ended (People Included) trigger fires within about a minute of a session closing and includes a full list of everyone who registered, split by attended and absent status. The agent reads that list and can route attendees to one email sequence and no-shows to another — sending the replay link, updating HubSpot lifecycle stages, writing attendance rows to Google Sheets, or creating follow-up tasks for the sales team, all from a single trigger.
How quickly do Livestorm triggers fire after an event?
Livestorm triggers are webhook-based. Actionist receives the webhook payload within about a minute of the event occurring — whether that is a new registration, a session going live, or a session ending with attendance data. There is no batch polling delay. This means your follow-up emails, CRM updates, and Slack alerts run within about a minute of each real-world event rather than waiting for a scheduled sync.
Can I connect Livestorm to my CRM and email tools in the same workflow?
Yes. The most common pattern is Livestorm as the trigger (new registrant, attended, did not attend) feeding into a CRM action (create or update contact in HubSpot or Salesforce) followed by an email step (Gmail or an email-marketing tool). Any of Actionist's connected apps can receive data from a Livestorm trigger in the same scheduled agent task. You can also go the other direction — reading a lead list from Google Sheets and using Create Registrant to batch-register leads for an upcoming session.
Does Actionist support Livestorm's on-demand and replay events?
The Registrant Watched Replay trigger fires whenever someone watches a recorded session replay through Livestorm, giving you a hook to re-engage viewers who did not attend the live session. On the action side, Get Session Details retrieves the replay URL once the recording is processed, which the agent can insert into automated follow-up emails. Creating on-demand events follows the same Create Event and Create Session flow as live events.
Can the agent register attendees in bulk from a spreadsheet?
Yes. The Create Registrant action registers one person at a time, but you can run it inside an agent task that iterates a list. A common pattern is to read a column of email addresses from Google Sheets, loop through each row, and call Create Registrant for each one against the target session. The agent handles rate limiting automatically. For very large lists (thousands of registrants), break the batch into segments and run them in scheduled agent tasks across multiple days.
What Livestorm plan do I need to use the API and webhooks with Actionist?
Livestorm's API and webhook access requires a paid plan (Pro or above). The free Starter plan does not include API access. If you are on the Starter plan and the connection fails with an authentication or access error, upgrading to Pro unlocks the full API surface that Actionist uses. Check Livestorm's current pricing page for the latest plan comparison, as feature availability can change between plan tiers.
