Automate German accounting — invoices, vouchers, and contacts handled by your agents

ProductivityDocumentsFinanceAutomationAccounting

Lexware Office (formerly Lexoffice) is the cloud accounting platform built for German SMEs, freelancers, and accounting firms — handling invoicing, quotations, voucher bookkeeping, and GoBD-compliant document management with full eInvoice (XRechnung / ZUGFeRD) support for public-sector billing. Connect it to Actionist and your agents can create and finalize invoices the moment a deal closes, upload supplier receipts to the bookkeeping queue within about a minute of arrival, manage customer and vendor contacts, download GoBD-compliant PDFs for archiving, and monitor outstanding receivables on a schedule — all without anyone logging into the accounting system manually.

Supplier invoice auto-uploaded within a minute of receipt

When a supplier invoice lands in the AP inbox, the Finance Agent verifies the vendor contact in Lexware Office, uploads the PDF to the bookkeeping queue for OCR parsing, confirms the upload in Slack, and logs the entry to the AP tracker in Google Sheets. The bookkeeper sees structured draft vouchers rather than raw emails.

FAQs

Questions about Lexware Office + Actionist

How does Actionist connect to Lexware Office?
Go to the Apps tab in Actionist, find Lexware Office, and click Connect. The recommended path is via API key — open Lexware Office at app.lexoffice.de/addons/public-api, generate a Public API key, and paste it into Actionist. Actionist will run a test call (retrieving your profile) to confirm the handshake before any actions run. If your organisation uses the MCP server, install it in one click and the agent connects through a permissioned handshake instead.
What exactly is Lexware Office and who is it for?
Lexware Office (formerly Lexoffice) is a cloud accounting application built for the German market. It handles invoicing (Ausgangsrechnungen), voucher bookkeeping (Belege), contact management, and tax reporting in full compliance with German GoBD requirements. It supports eInvoice (XRechnung / ZUGFeRD) for public-sector billing, and its API exposes the full document lifecycle — from creating a quotation through finalising and downloading a GoBD-compliant PDF.
Which Lexware Office resources can Actionist agents work with?
The Actionist integration exposes all major document types: invoices, quotations, order confirmations, credit notes, delivery notes, and dunning notices — plus contacts, articles (product catalogue), vouchers, payments, and file uploads. You can create and finalize documents, download GoBD-compliant PDFs, and read posting categories for bookkeeping. Actions that Lexware Office itself locks after finalization (e.g. editing a finalized invoice) are not exposed, because the API does not permit them.
Can the agent create and finalize invoices, not just read them?
Yes. The Create Invoice action creates a draft in Lexware Office. Finalize Invoice then locks the document and assigns it a sequential German invoice number — at which point it is GoBD-compliant and can be sent to the customer. The Download Invoice PDF action fetches the rendered PDF (including XRechnung XML for eInvoice-flagged customers). You can automate the full cycle: receive an order in another app → create an invoice in Lexware Office → finalize it → attach the PDF to an outgoing email, all in one agent task.
Does Actionist support both customer and vendor contacts in Lexware Office?
Lexware Office contacts carry a `roles` field that marks them as customer, vendor, or both. Actionist's Create Contact and Update Contact actions support both roles. When automating a purchase-to-pay flow, the agent can upsert a vendor contact and create a voucher against it in the same task. When automating order-to-cash, it upserts a customer contact and creates an invoice. Searching contacts by name, customer number, or email is supported via the List Contacts (filtered) action.
How does the document upload for bookkeeping work?
Upload Document for Bookkeeping is the action that covers this. The agent posts a receipt or supplier invoice (PDF, JPG, PNG, or XML) to Lexware Office's voucher inbox, where the built-in OCR reads the document and creates a draft voucher for your bookkeeper to review. This is the main automation path for accounts-payable teams: incoming receipts land in a shared mailbox or cloud folder, the agent picks them up and uploads them to Lexware Office within about a minute, and the bookkeeper reviews the OCR result rather than re-keying every line.
Can I limit what the agent is allowed to do in Lexware Office?
Lexware Office's Public API uses a single API key per organisation (generated at app.lexoffice.de/addons/public-api). The key grants full access to the account — there is no scoped permission system at the API level. For Actionist, this means the agent can read and write all document types the key owner has access to. If you need to restrict what the agent can do, use Actionist's built-in Approval Modes to require human sign-off before any write action is executed.
What other apps work well alongside Lexware Office in an Actionist workflow?
The most common combinations are: Lexware Office + Google Sheets (pull invoice data into a revenue dashboard), Lexware Office + Slack (post a Slack notification when an invoice is finalized or a payment is overdue), Lexware Office + Notion or ClickUp (create a project task when a new customer is added), and Lexware Office + Gmail (attach the finalized invoice PDF to an outgoing email in one step). Any of Actionist's 300+ connected apps can send or receive data alongside Lexware Office in the same scheduled agent task.
