What your team gets back — two angles: what you stop doing manually, and what that's worth.

With Actionist

What your agent runs for you

  • Sales
    120 min / week
    Manual intake data re-entry

The intake coordinator reads each submission, logs the contact in Lawmatics, creates the matter, assigns the attorney, and books a consultation — repeating this 4–6 minute process for every new lead.

    Sales Agent
    0 min
Agent opens matters the moment a lead qualifies

When a prospect completes the intake form and passes conflict check, the agent creates the Lawmatics contact and matter within about a minute — the intake coordinator's to-do list is cleared before they see the notification.

  • Marketing
    45 min / week
    Manual lead source tracking

The marketing team manually reviews new Lawmatics contacts each week, applies source tags where they were missed, and builds the attribution report from exported data in a spreadsheet.

    Marketing Agent
    0 min
Agent attributes every lead to its intake source automatically

Every new contact created in Lawmatics is tagged with its source by the agent — web form, referral, directory, phone — and the weekly attribution report is compiled without anyone touching a spreadsheet.

  • Customer Support
    60 min / week
    Manual stale matter review

A paralegal manually reviews the matter list each week, checks each for recent activity, and emails or calls attorneys whose matters appear stale — a process that takes an hour and is often skipped under volume.

    Customer Support Agent
    0 min
Agent flags stale matters and prompts attorneys for updates

The agent scans all active matters weekly, identifies those with no recent note or appointment, and sends each attorney a Slack list of clients awaiting an update — no client goes two weeks without contact.

  • Human Resources
    30 min / week
    Manual workload tracking

The managing partner manually reviews matter assignments periodically to check for imbalances — typically catching overloaded attorneys only after the issue has already impacted the quality of client service.

    Human Resources Agent
    0 min
Agent balances attorney matter loads before overloading occurs

The HR Agent counts open matters per attorney each Thursday, flags anyone above the firm average, and posts a rebalancing suggestion before the Friday staffing review — preventing burnout proactively.

  • Finance
    45 min / week
    Manual pipeline revenue estimation

Finance exports Lawmatics matters to a spreadsheet each week, manually counts by pipeline stage, applies probability estimates by hand, and formats the pipeline value report for the weekly meeting.

    Finance Agent
    0 min
Agent calculates pipeline revenue weekly from live Lawmatics data

Every Tuesday the Finance Agent pulls matter counts per pipeline stage, applies conversion probability weights, and writes a forward-looking pipeline value to the revenue sheet — finance has a current model before the weekly review.

  • Operations
    90 min / week
    Manual matter database maintenance

Operations periodically runs manual Lawmatics exports to check for stale matters, duplicates, and missing fields — a time-consuming process that is deprioritized under workload and leads to data quality drift.

    Operations Agent
    0 min
Agent keeps matter database accurate without manual audits

The Operations Agent runs weekly sweeps for stale intake matters, duplicate contacts, missing practice area tags, and cross-system discrepancies — surfacing data quality issues before they affect billing or reporting.

  • Legal
    50 min / week
    Manual conflict checking

The intake coordinator manually searches Lawmatics for the prospect's name before creating the matter — a step that is sometimes skipped under volume pressure, creating compliance and malpractice risk for the firm.

    Legal Agent
    0 min
Agent runs conflict check lookups on every new contact automatically

Within about a minute of every new contact creation, the Legal Agent searches Lawmatics for name matches against existing contacts and matters, then routes the results to the supervising attorney for review — conflict checks are never skipped.

FAQs

Questions about Lawmatics + Actionist

How does Actionist connect to Lawmatics?
Go to the Apps tab, find Lawmatics, and click Connect. Actionist uses Lawmatics' OAuth 2.0 flow — a Lawmatics authorization window opens, you grant access, and the agent gains permission to read and write contacts, matters, companies, appointments, and form entries. Actionist runs a test call to confirm the handshake before any actions execute.
What does Lawmatics actually do — is it just a CRM?
Lawmatics is a legal-specific CRM and client intake platform built for law firms. Beyond contact records, it manages matters (cases), intake pipelines, appointment scheduling, custom forms, document assembly, e-signatures, email/SMS automation, and billing. The key differentiator is that everything is designed around the law firm client lifecycle — from first lead to signed retainer — so intake forms automatically create matters, which then trigger automation sequences.
What is the difference between a Contact and a Matter in Lawmatics?
A Contact is a person or company record (the prospective or current client). A Matter is a case or engagement — it belongs to a Contact and tracks the legal work itself: practice area, status, assigned attorneys, documents, billing, and pipeline stage. One Contact can have multiple Matters (a client who hires the firm for different cases). When Actionist creates a Matter, it links to an existing Contact; when Actionist creates a Contact, it can be followed immediately by a Matter creation step.
Can Actionist submit intake forms into Lawmatics on behalf of a prospect?
Yes. The Submit Custom Form Entry action lets the agent post structured data into any Lawmatics custom form — the same way a prospect would fill out a web intake form. This is useful when leads arrive through another channel (a chat widget, a partner referral portal, or a phone call logged in a different system) and you want them to enter Lawmatics as a properly formed intake record that triggers the firm's standard intake automation sequences.
How do Lawmatics triggers work — are they instant?
Lawmatics triggers in Actionist fire within about a minute of the underlying event. Lawmatics emits webhook events when a contact is created, a matter is added or updated, an appointment is created, a form is filled, a note is added, or a matter converts to a client. The agent picks up those events on polling and fires downstream steps. There is no guaranteed sub-second delivery — plan for roughly a one-minute lag in time-sensitive workflows.
Can Actionist help with conflict checking before creating a new matter?
Actionist can support a conflict-check step by calling Find Contact and Find Company before creating a new Matter. The agent searches existing records for matching names and returns results so a human reviewer or a downstream rule can determine whether a conflict exists before the matter is opened. Full conflict-check logic (cross-referencing adverse parties, related matters, etc.) still requires a human attorney review — Actionist handles the lookup and routing, not the legal judgment.
Which other apps work well alongside Lawmatics in Actionist workflows?
The most common combinations: Gmail or Outlook for capturing inbound inquiries and auto-creating Lawmatics contacts; Google Calendar or Calendly for booking consultations and syncing back to Lawmatics appointments; DocuSign or PandaDoc for e-signature steps after a matter is created; Clio for billing and practice management once the matter converts; Slack for internal notifications when a high-value matter is added or a form is submitted; and Google Sheets for reporting pipelines that pull matter and contact data on a schedule.
Does Actionist support Lawmatics' AI features like QualifyAI or MerlinAI?
Actionist connects to Lawmatics through its REST API, which covers the core data operations: contacts, matters, companies, appointments, forms, and notes. Lawmatics' proprietary AI features (QualifyAI, EngageAI, MerlinAI) are not exposed as separate API endpoints — they run inside the Lawmatics product. However, you can build equivalent qualification and engagement logic on the Actionist side using the agent's built-in reasoning and other connected apps, then write the resulting data back into Lawmatics via Update Contact or Update Matter.
