How does Actionist connect to Insightly?
Go to the Apps tab in Actionist, find Insightly, and click Connect. The recommended path is OAuth — Actionist redirects you to Insightly's authorisation page, you sign in and grant permissions, and the agent gains access to your contacts, leads, opportunities, projects, and tasks. If you prefer a direct token, log in to Insightly, go to User Settings, scroll to the API Key section, copy your key, and paste it into the API key field in Actionist. Either way, Actionist runs a read-only test call to confirm the handshake before any actions run.
What types of records can the Actionist agent read and write in Insightly?
Actionist can read and write contacts, leads, organizations, projects, and tasks. On the read side the agent can list records, pull specific contacts or leads, and check task or project status. On the write side it can create and update contacts, leads, organizations, projects, and tasks — and mark tasks complete. Opportunity management at the API level requires Insightly Professional or Enterprise; the agent respects whatever permissions the connected Insightly user has on the account.
Can Actionist trigger a workflow when something changes in Insightly?
Yes. Insightly's native triggers fire on contact, lead, task, project, and calendar event creation and updates — polling within about a minute of the event. This means you can set up a sales agent that detects a new lead and immediately enriches it with data from another app, or an operations agent that fires a task chain the moment a project changes status. The Zapier layer also offers a generic New Record / Deleted Record / Updated Record trigger across any Insightly object type.
Can I automate the hand-off from a won deal to project delivery in Insightly?
Yes. Insightly has built-in project management — you can convert a won opportunity into a project with its pipeline and milestones intact. Actionist agents can create, update, and monitor those projects. Common patterns: auto-create a project when an opportunity reaches Closed Won, assign milestones as tasks, and push status updates to Slack or Notion when a project stage changes. Because both the CRM pipeline and the project pipeline live in the same system, hand-off from sales to delivery requires no manual data re-entry.
How do the Create Record, Update Record, and Find Record actions work in practice?
Create Record and Update Record in Insightly work across object types — you specify the record type (Contact, Lead, Opportunity, Task, Project, Organization) when building the agent task. Find Record searches across the same object types using key fields. For bulk operations — such as importing a list of leads from a Google Sheets export — the agent iterates through each row, calling Create Record for each entry. Insightly's API returns a maximum of 500 records per request, so the agent pages through larger datasets automatically.
Can I connect Insightly to other apps in the same agent task?
Insightly is most powerful when combined with the tools where leads and deals actually originate. Common cross-app patterns: capture inbound leads from a Typeform or website form and create them in Insightly automatically; push won opportunity details to QuickBooks or Xero to generate an invoice; sync new contacts between Insightly and Mailchimp or a marketing tool; post Insightly task assignments to a Slack channel so the team doesn't need to live inside the CRM. Any of Actionist's connected apps can send or receive data alongside Insightly in the same agent task.
Does the Actionist integration require a paid Insightly plan?
Insightly's free plan supports basic CRM features and API access. Workflow automation (triggered actions, lead routing, automated emails within Insightly itself) requires Professional ($49/user/month) or Enterprise. The Actionist integration works at the API level regardless of Insightly plan — you can create, update, and query records from Actionist on any tier. The main limitation on the free plan is the 2,500 record limit; API-level automations through Actionist do not require Insightly's own workflow module.
