Build interactive lead funnels and convert more traffic — without writing code

MarketingFormsAutomationLead GenerationWebsite & CMSNo-Code

Heyflow is a no-code platform for building mobile-first, multi-step lead funnels, interactive forms, and landing pages. Marketers use it to replace static contact forms with conversational flows featuring conditional logic, instant value calculators, OTP phone verification, and 50+ native CRM integrations. When a respondent completes a Heyflow funnel, a webhook fires the structured submission data to any downstream system. Connect Heyflow to Actionist and your agents can capture, enrich, and route every new lead response — writing contacts to your CRM, scheduling follow-ups, sending Slack alerts, and feeding analytics dashboards — within about a minute of each submission.

Enterprise lead routed and owned within a minute of submission

When a new response arrives from the enterprise pricing funnel, the agent reads the qualification fields, creates a fully mapped contact and deal in HubSpot, posts a formatted lead card to the sales Slack channel, and schedules a discovery call for the owning rep — all within about a minute of the prospect clicking Submit.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    30 min / week
    Manual lead intake from Heyflow

Sales reps check the Heyflow responses tab periodically, copy submission data manually into the CRM, and schedule follow-ups by hand — new leads can sit for hours before the first contact.

    Sales Agent
    0 min
Agent routes every lead within about a minute of submission

The moment a Heyflow funnel is completed, the agent reads the qualification fields, pushes the contact to the CRM with all fields mapped, and notifies the owning rep in Slack — all within about a minute of the prospect clicking Submit.

  • Marketing
    45 min / week
    Weekly manual funnel performance check

The marketing team logs into Heyflow each Monday to pull completion rates per flow, copies numbers into a spreadsheet, and calculates week-over-week changes by hand — a 45-minute task before the planning call.

    Marketing Agent
    0 min
Agent posts the funnel performance digest automatically

Every Tuesday at 8 AM the agent fetches flow analytics for all published funnels, calculates completion rates and week-over-week changes, and posts a ranked digest to the #marketing Slack channel — no dashboard visit required.

  • Customer Support
    35 min / week
    Manual support funnel triage

Support team checks Heyflow responses manually, determines urgency from submission text, creates tickets in the helpdesk by hand, and sets the SLA tier — adding 5–10 minutes to the response time for every incoming request.

    Customer Support Agent
    0 min
Agent creates the helpdesk ticket within about a minute of submission

The New Response trigger fires the moment a support-request funnel is submitted. The agent reads the urgency field, creates the helpdesk ticket with the correct SLA tier pre-set, and fires a Slack alert for priority requests — the SLA clock starts within about a minute.

  • Human Resources
    25 min / week
Manual job application export from Heyflow

HR exports Heyflow job applications as a CSV periodically, imports them into the ATS manually, and notifies the relevant recruiter — a multi-step process that means applicants can go unnoticed for a full business day.

    Human Resources Agent
    0 min
Agent pushes applications to the ATS within about a minute of submission

When a job application funnel is completed, the agent maps all fields to the ATS immediately and notifies the recruiter in Slack — no manual export, no import file, and no delay between the candidate clicking Submit and the recruiter knowing they've applied.

  • Finance
    40 min / week
Manual cost-per-lead calculation from Heyflow data

Finance manually extracts weekly submission counts from Heyflow, cross-references them with ad spend in the finance tracker, and builds the cost-per-lead calculation by hand — a 40-minute task that often happens late in the week.

    Finance Agent
    0 min
Agent calculates and posts CPL before the Monday morning review

Every Monday the agent fetches submission counts from all lead funnels, reads the ad spend from the finance tracker, calculates cost-per-lead per funnel, and posts the result to the CFO dashboard before the first meeting of the week.

  • Operations
    30 min / week
    Manual Heyflow workspace governance

Ops manually audits the Heyflow workspace periodically — checking for orphaned flows, missing response handlers, and expired campaign funnels — a task that takes 30+ minutes and often gets skipped under deadline pressure.

    Operations Agent
    0 min
Agent governs the workspace automatically every week

Every Monday the agent lists all flows, checks for missing response handlers, verifies registered ownership for each flow, and archives expired campaign funnels — the workspace is audit-ready every week without anyone spending time on it.

  • Legal
    20 min / week
Manual GDPR compliance checks on Heyflow flows

Legal manually reviews live funnels for GDPR consent fields on a quarterly cadence — non-compliant flows can go undetected for months and collect personal data without a valid legal basis.

    Legal Agent
    0 min
Agent audits every flow for GDPR consent weekly and archives non-compliant ones

Every Tuesday the legal agent checks the field schema for every published flow and flags any missing consent mechanism within 24 hours of its appearance. Flows that are not remediated in time are archived automatically — compliance is continuous, not quarterly.

FAQs

Questions about Heyflow + Actionist

How does Actionist connect to Heyflow?
Actionist connects to Heyflow through a webhook. Inside Heyflow, open the flow you want to connect and navigate to the Integrate & Automate panel. Add a Webhook response handler, paste in the Actionist inbound webhook URL, and click Test. Once the test submission confirms the connection, activate the handler. From that point, every new submission to that flow is delivered as a structured JSON payload to Actionist within about a minute of completion. No middleware is required — the webhook delivers directly.
What data does Actionist receive from each Heyflow submission?
Heyflow's standard webhook payload includes the flow ID, a unique response ID, the submission timestamp, and a fields object containing every submitted field value. If the flow is running an A/B test, the variant ID is also included. On Heyflow Business and Scale plans, you can enable Extended Payloads for a richer structure that includes additional metadata. Actionist maps every field in the payload and makes it available for agent tasks — you can use any submitted value to drive routing logic, CRM field mapping, or conditional follow-up.
Does Actionist work with Heyflow's native CRM integrations or only with webhooks?
Actionist connects via Heyflow's webhook response handler, which is independent of Heyflow's native CRM connectors. You can run both in parallel: Heyflow's native HubSpot or Salesforce connector handles your primary CRM push, and the Actionist webhook handler receives the same submission to drive any additional downstream logic — Slack alerts, calendar scheduling, data-warehouse writes, or secondary CRM enrichment. There is no conflict between running multiple response handlers on the same flow.
Can Actionist trigger actions from multiple Heyflow funnels at once?
Yes. You can configure the Actionist webhook URL as a response handler on as many Heyflow flows as you need. Each payload includes the flow ID, so Actionist can identify which funnel triggered the submission and apply the correct routing logic for that funnel. For example, an enterprise pricing funnel can route leads to Salesforce while a support-request funnel routes tickets to your helpdesk — both using the same Actionist connection with funnel-specific logic branching on the flow ID field.
What happens if Heyflow's webhook delivery fails?
Heyflow retries webhook deliveries if the receiving endpoint returns an error status. If a submission is lost due to a temporary outage, you can use Actionist's Get Funnel Submissions action to pull all submissions for a given flow and replay the missed ones through your downstream logic. For critical pipelines, running a daily scheduled agent task that fetches the previous day's submissions and cross-references them against your CRM provides a safety net — any submission not yet in the CRM is pushed through automatically.
Does Actionist support Heyflow's A/B test flows?
Yes. Heyflow includes the variant ID in the webhook payload for flows running A/B tests. Actionist's agent can read the variant ID from each submission and log results separately per variant in a tracking spreadsheet. A scheduled agent task can then compare weekly submission counts and completion rates for each variant and flag when one variant achieves statistical significance — letting you make a data-driven decision to promote the winner without manually tallying results across two flows.
How does Actionist help with GDPR compliance for Heyflow data?
Actionist's legal agent can audit all published Heyflow flows on a schedule — retrieving each flow's field schema and checking for a GDPR consent checkbox on any step that collects personal data. Non-compliant flows are flagged to the registered owner and the legal team. If the issue is not resolved within the remediation deadline, the agent can archive the flow to stop further data collection automatically. The agent can also process data subject access requests by retrieving specific submissions by ID and compiling the full submission data into a DSAR response document.
Can Actionist agents publish or archive Heyflow funnels on a schedule?
Yes. Actionist can publish a Heyflow flow at a specified time using the Publish Flow action — useful for coordinated campaign launches that need to go live at midnight or simultaneously across multiple markets. It can also archive flows when their associated campaign end date arrives, keeping the workspace clean without requiring someone to manually retire expired funnels. Both actions work on any flow in your Heyflow workspace and can be combined with CRM or calendar data to drive the timing logic.
