Turn any content into private podcast feeds your audience actually listens to

MarketingCommunicationAnalyticsAutomationCourses & LMS

Hello Audio is a private podcast hosting platform built for course creators, coaches, and membership operators. It turns existing content — video recordings, training sessions, audio files — into private RSS feeds that listeners access through their existing podcast apps, no new app download required. Connect it to Actionist and your agents can add new listeners automatically when purchases or sign-ups fire in other apps, update listener metadata as their status changes, resend invitation emails, publish new episodes, and react to engagement milestones like a listener reaching their Super Listener Score threshold or hitting a download count target — all without anyone touching the Hello Audio dashboard.

New course buyer gets feed access within minutes of purchase

When a purchase fires in Stripe, the agent checks whether the buyer already has feed access, adds them as a listener if not, updates their HubSpot contact with the listener tag, and posts a new-buyer notification to the sales Slack channel — all within about a minute of payment confirmation.

Tags are updated weekly as cohort assignments change, and listeners who hit download milestones receive personalised emails without any manual list management or dashboard work.

  • Customer Support
    30 min / week
    Reactive listener access troubleshooting

Support agents log into Hello Audio to manually check listener status when access tickets arrive, resend invitation emails one by one, and manually update records after resolving each ticket.

    Customer Support Agent
    0 min
Agent resolves most access issues before a ticket is raised

A weekly scheduled task proactively identifies new listeners with zero downloads and resends their invitation, preventing the most common support ticket from being created in the first place.

  • Human Resources
    20 min / week
Manual onboarding feed enrolment and offboarding

HR admins manually add new hires to Hello Audio feeds after receiving a notification, and separately remember to remove departing employees — a step that is frequently forgotten in the offboarding checklist.

    Human Resources Agent
    0 min
Agent enrols new hires and revokes access for departing employees automatically

New hire feed access is granted before day one and role-change feed updates happen weekly without any HR admin manually logging into Hello Audio.

  • Finance
    25 min / week
    Manual payment-to-access reconciliation

Finance team manually cross-checks payment records against Hello Audio listener rosters, removes cancelled subscribers, and tracks which listeners have active access versus lapsed plans in a spreadsheet.

    Finance Agent
    0 min
Agent syncs payment events to feed access within minutes

Cancellations and chargebacks trigger automatic feed access revocation with a compliance log entry, and renewals extend access without any manual step.

  • Operations
    60 min / week
Manual feed health monitoring and listener roster management

Operations team manually compares Hello Audio rosters against the membership platform, checks episode counts, and manages cohort migrations by exporting and reimporting CSV files.

    Operations Agent
    0 min
Agent runs weekly feed audits and cohort migrations without manual work

Feed health checks, cross-platform listener syncs, and episode catalogue reconciliations run on schedule every week, with results posted to Slack automatically.

  • Legal
    30 min / week
Manual licence compliance and data subject request handling

Legal team manually reviews Hello Audio listener rosters against licence agreements, removes non-compliant listeners individually, and manually retrieves listener data when responding to GDPR requests.

    Legal Agent
    0 min
Agent audits licenced content access and produces GDPR exports automatically

Weekly licence compliance checks flag lapsed-agreement listeners for access deactivation, and GDPR data subject access requests are compiled from Hello Audio data without a manual dashboard login.

FAQs

Questions about Hello Audio + Actionist

How does Actionist connect to Hello Audio?
Go to the Apps tab, find Hello Audio, and click Connect. You will need a Hello Audio API key — log in to Hello Audio, navigate to Account Settings, and find the API key in the Integrations section. Paste the key into the connection field in Actionist and click Test connection. Actionist runs a read-only verification call to confirm the handshake before any actions can run. The API key inherits the permissions of your Hello Audio account, so agents can manage listeners and episodes across all your feeds from a single connection.
Which Hello Audio triggers require the Powerhouse plan?
All five Hello Audio triggers — Listener Subscribes to a Feed, New Listener, Listener Downloads Specific Episode, Listener Reaches a Super Listener Score, and Listener Reaches a Number of Downloads — require the Hello Audio Powerhouse plan. If your Hello Audio account is on a lower plan, Actionist actions (Add Listener, Edit Listener, Change Listener Metadata, Resend Invitation Email, Add Episode) will still work for one-directional automation, but the event-based triggers will not fire. Upgrade your Hello Audio plan first if you need reactive workflows driven by listener behaviour.
Can Actionist automatically grant and revoke Hello Audio feed access based on payments?
Yes. Connect both Stripe (or ThriveCart) and Hello Audio to the same Actionist agent. When a payment succeeds, the agent calls Add Listener with the customer's email and the correct feed ID. When a subscription is cancelled, a refund is issued, or a chargeback is raised, the agent calls Edit Listener to deactivate the listener's feed access or Remove Listener from Feed to revoke it entirely. Payment and access status stay in sync without anyone logging into Hello Audio — and the revocation is logged for compliance purposes.
What is the Super Listener Score and how can Actionist react to it?
Hello Audio's Super Listener Score measures how quickly a listener downloads new episodes after they are released. Listeners who download episodes within minutes or hours of release score higher than those who download days later. You can configure a threshold in Hello Audio, and when a listener crosses it, the Listener Reaches a Super Listener Score trigger fires in Actionist within about a minute. The agent can then tag the listener, enrol them in an upgrade sequence, send a personalised reward email, or post their achievement to a Slack channel — all at the moment of peak engagement.
Can Actionist publish new episodes to Hello Audio automatically?
Yes, via the Add Episode (Beta) action. Note that this feature is currently in beta in Hello Audio, which means the API may have limitations or require specific audio file URL formats. In practice, agents use this action to publish episodes from Google Drive, Zoom recording links, or content calendars in Notion — the agent reads the audio file URL from the source system and calls Add Episode with the feed ID, title, and URL. Because it is a beta feature, test the action with a non-production feed before relying on it for live content.
How does Actionist handle listeners who never set up their podcast app after joining?
Use the Resend Invitation Email action on a scheduled agent task. Set up a weekly scheduled task that lists all listeners who have been on the feed for 7 or more days and calls Get Listener Details to check their download count. Listeners with zero downloads receive a Resend Invitation Email automatically. This pre-empts the most common Hello Audio support ticket — 'I never received my link' or 'I can't find the podcast' — by catching inactive listeners before they contact support. You can also combine this with a CRM tag to prevent the same listener from receiving more than two resend emails.
Can I use Actionist to sync Hello Audio listener data with my CRM?
Yes. The most common pattern is a two-way sync: when a new listener is added in Hello Audio (via the New Listener trigger), the agent creates or updates their record in HubSpot, Salesforce, or another CRM. When a contact record changes in the CRM — name, email, tags, membership tier — the agent calls Change Listener Metadata to update the Hello Audio listener record. This keeps personalisation accurate in both directions: CRM data flows into Hello Audio for dynamic episode intros, and listening behaviour flows into the CRM for segmentation.
What happens when a listener is removed from a Hello Audio feed — do they lose access immediately?
When Actionist calls Remove Listener from Feed or Edit Listener to deactivate a listener, Hello Audio revokes their RSS feed access. Their existing podcast app will stop receiving new episodes on the next refresh, which typically happens within a few minutes depending on the app. Episodes the listener already downloaded will remain in their podcast app locally — Hello Audio does not have the ability to delete content from a listener's device. For compliance or licensing use cases, document the revocation timestamp in your audit trail rather than relying on device-level deletion.
