Prospect auto-registered from CRM deal stage change

When a deal moves to the Demo Requested stage, the agent finds the next scheduled product demo webinar, registers the prospect, writes the personalised join link to the HubSpot deal, and queues a follow-up call for the rep the day after the event — all before the rep has time to open the GoToWebinar tab.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
    Manual prospect registration

Reps log into GoToWebinar, search for the right session, manually type in each prospect's name and email, and copy the join link back to the CRM — several minutes per registration, multiplied across the pipeline.

    Sales Agent
    0 min
Agent auto-registers from deal stage change

The moment a deal hits Demo Requested, the agent registers the prospect and writes the join link to the CRM record — the rep never opens GoToWebinar.

  • Marketing
    40 min / week
Post-webinar CSV export and manual CRM update

After each event, someone exports the attendance list as CSV, matches names to CRM contacts, manually updates lifecycle stages, and pastes data into a spreadsheet — 30-60 minutes per webinar.

    Marketing Agent
    0 min
Agent updates CRM and analytics within about a minute of session end

The agent retrieves the attendee list via API and pushes updates to HubSpot and Google Sheets automatically — no CSV, no copy-paste, no manual matching.

  • Customer Support
    30 min / week
    Manual no-show identification and follow-up

Support reps compare the registrant list against the attendee list by hand, identify no-shows, and manually send follow-up emails — error-prone and slow when managing multiple training sessions per week.

    Customer Support Agent
    0 min
Agent flags no-shows and schedules makeup sessions

The agent cross-references registrants and attendees after each session and automatically tags no-shows in HubSpot and schedules makeup sessions — zero manual list comparison.

  • Human Resources
    20 min / week
    Manual new-hire webinar enrolment

The HR team registers each new hire for the orientation webinar manually — copying emails from the HRIS into GoToWebinar one by one, and then pasting join links back into the onboarding tracker.

    Human Resources Agent
    0 min
Agent registers the full cohort in under two minutes

Every Monday the agent pulls the new-hire list and registers the entire cohort at once — personal join links are written back to the onboarding tracker before HR opens their email.

  • Finance
    15 min / week
    Manual cost-per-attendee calculation

Finance waits for marketing to export a post-webinar attendance report, then manually pulls spend data from a separate sheet and calculates cost-per-attendee in a spreadsheet — typically done days after the event.

    Finance Agent
    0 min
Agent delivers cost-per-attendee automatically after each session

The agent retrieves session details and attendee counts after the event ends, combines them with spend data, and writes the cost-per-attendee figure to the finance dashboard before the next business day.

  • Operations
    20 min / week
Manual panelist and co-organiser setup per webinar

For each webinar, someone logs into GoToWebinar and manually adds each panelist and co-organiser by email — a repetitive task done for every new event, every week.

    Operations Agent
    0 min
Agent configures the full webinar from a Notion event brief

When a webinar is added to Notion, the agent creates the session, adds all panelists and co-organisers, and posts a confirmation to Slack — the event is fully staffed in about a minute.

  • Legal
    18 min / week
    Manual compliance attendance record archiving

After each compliance training session, someone exports the attendance list, reformats it, and pastes it into the audit log — a tedious task that becomes a bottleneck when regulators request records on short notice.

    Legal Agent
    0 min
Agent archives attendance records to the compliance log automatically

After each compliance session, the agent retrieves full attendance and engagement data and writes it to the audit log — regulators can access records within about a minute of the session ending.

FAQs

Questions about GoToWebinar + Actionist

How does Actionist connect to GoToWebinar?
Go to the Apps tab, find GoToWebinar, and click Connect. Actionist opens a GoTo OAuth sign-in window — log in with your organiser account and grant the requested permissions. The connection uses GoTo's standard OAuth 2.0 flow via api.getgo.com, so no API keys or tokens need to be pasted manually. Actionist runs a test call to list your upcoming webinars before confirming the handshake.
What permissions does the agent need on my GoToWebinar account?
The GoTo OAuth flow requests organiser-level access, which covers creating and updating webinars, managing registrants and panelists, and reading session analytics. If your account is part of an enterprise GoTo organisation, your IT administrator may need to pre-approve the Actionist OAuth client. Read-only operations — like fetching registrant lists or session details — work with the same credentials as write operations; Actionist does not request elevated admin permissions beyond standard organiser scope.
Can I register people from other apps automatically when they take an action?
Yes — this is one of the most common GoToWebinar use cases. When a lead fills out a form in HubSpot, Typeform, or a landing page, the agent calls Create Registrant and enrolls them in the correct webinar within about a minute. The same pattern works for CRM deal-stage changes, calendar invites accepted, or any trigger from Actionist's 200+ connected apps. Each registrant receives GoToWebinar's standard confirmation email with their personal join link automatically.
Can the agent fire actions when someone registers or joins a webinar?
Yes. GoToWebinar's webhook system surfaces four events that Actionist can respond to: registrant.added (within about a minute of someone registering), registrant.joined (when someone enters the live session), webinar.created, and webinar.changed. Use these triggers to update CRM records, send Slack notifications, start lead-scoring sequences, or kick off any downstream action as registrations come in — no polling required.
How do agents pull post-webinar attendance data?
After a session ends, the agent calls Get All Attendees for the session to retrieve every participant's name, email, join time, duration attended, and engagement metrics (poll responses, Q&A activity). This data can be written to a Google Sheet, used to update CRM lifecycle stages, or segmented for post-event email sequences. For detailed per-person engagement data — including which polls they answered and what questions they asked — use Get Attendee Details.
Can I run recurring webinar series and track attendance across all sessions?
Yes. GoToWebinar supports recurring webinar series, and each session is a separate entry you can query with Get All Sessions. The agent can retrieve attendance data for every session in a series, compare turnout across dates, identify which topics or days drove the most engagement, and flag attendees who've missed sessions in a required training sequence. This makes the agent well-suited for multi-session onboarding programmes and certification training with mandatory attendance requirements.
What types of webinar events does GoToWebinar support?
GoToWebinar supports three main event types: live webinars (real-time with full Q&A and polls), simulated live ('simulive') webinars that play pre-recorded content on a schedule while still accepting live Q&A, and on-demand webinars that viewers can access any time after the event. When you create a webinar via Actionist, you can specify the type. On-demand and simulive webinars are useful for evergreen training content and time-zone-distributed audiences.
How does the agent handle panelists and co-organisers across multiple webinars?
Each webinar has its own panelist and co-organiser list, managed through separate API calls. When a recurring event is set up, the agent can create panelists and co-organisers for each instance individually, or batch the setup when a new webinar series is created. For offboarding or speaker replacements, the agent queries all upcoming webinars with Get All Webinars, finds entries that include the departing person, and removes them as co-organiser or panelist from each — a single workflow that would otherwise require logging into GoToWebinar once per event.
