Connect Formsite by generating an API token from your account settings. The token gives Actionist read and write access to your forms and results.

Open API settings in Formsite

Log in to Formsite, open any form, and go to Settings → Integrations → Formsite API. Your Access Token, server, and account directory are all listed here.

Questions about Formsite + Actionist

How does Actionist connect to Formsite?
Go to the Apps tab in Actionist, find Formsite, and click Connect. Formsite uses API token authentication — you'll need your Access Token, server prefix (e.g. fs30), and account directory, all of which are on Formsite's Settings → Integrations → Formsite API page. Paste them into the connection fields and Actionist runs a read-only test call to confirm the handshake. API access requires a Pro 1 or higher Formsite plan.
What Formsite plan do I need to use the API?
Formsite's API is available on Pro 1 plans and above. The Deluxe plan does not include API access. Webhooks, which power the New Form Result trigger, are also a Pro-tier feature. If you're on the free trial, you can test API connectivity but will need to upgrade to a paid Pro plan before going live with Actionist workflows.
How quickly does Actionist see a new form submission?
When you use the New Form Result trigger, Actionist receives the submission via Formsite's webhook — within about a minute of the form being submitted. This is not polling; Formsite pushes the result to Actionist as soon as the submission completes. If you use scheduled actions instead of the trigger, the agent checks on whatever cadence you configure (e.g. every hour, every morning).
Can Actionist process file attachments from Formsite forms?
Yes. When a result includes a file upload, Actionist can retrieve the file's direct URL using the Get File Upload URL action and pass it to any other connected app — saving to Google Drive, attaching to a help desk ticket, or appending to a Notion record. Actionist does not store files itself; it retrieves the Formsite-hosted URL and routes it. File upload items require a Pro-tier Formsite account.
Can Actionist handle multiple forms in the same workflow?
Yes. You can connect different form triggers to different workflows, or use the List Forms and Get Form Results actions inside a single workflow to pull data from several forms in sequence. A common pattern is a weekly operations workflow that iterates through all your active forms, pulls submission counts, and writes a summary table to Google Sheets — covering your entire form portfolio in one scheduled agent task.
How do I handle incomplete or abandoned form submissions?
Formsite can fire a webhook when a partial submission is saved as incomplete. In Actionist, this maps to the Incomplete Form Result trigger. You can use it to queue a follow-up message, flag the partial record in your CRM, or send the submitter a nudge to complete the form. The agent receives the same field data that was filled in before the abandonment, so the follow-up can be personalised to where the submitter stopped.
What happens to form results that arrive when Actionist is not running?
Actionist's form workflows run as scheduled agent tasks in the cloud runtime (plan-gated). If you use the webhook-based trigger, the agent processes the submission within about a minute of it arriving. If you use polling-based scheduled tasks (e.g. 'pull all new results each morning'), submissions accumulate in Formsite and are retrieved on the next run — nothing is lost. Formsite stores all results permanently until you delete them.
Can I use Actionist to update form result statuses for approval workflows?
Yes. Actionist's Update Result Status action lets your agent mark any result as Complete, Incomplete, or any custom status you've defined in Formsite. This is the foundation of approval workflows: a human reviewer approves in Actionist or a connected app, the agent marks the Formsite result as Complete, and the Result Status Changed trigger can then fire downstream actions — notifying the applicant, updating the CRM, or generating a document.
