Capture, organise, and act on every idea your team produces

CommunicationProductivityProjectsDocumentsStorageAutomation

Evernote is the note-taking and knowledge-management platform teams use to capture ideas, store reference material, and organise work across notebooks and tags. Connect it to Actionist and your agents can create notes automatically from meetings, emails, and form submissions, append real-time updates to running documents, search for the right note before every customer call, and tag or file content the moment it arrives — all without anyone touching the Evernote app.

New lead triggers prospect research brief in Evernote

When a lead is created in HubSpot, the agent finds or creates a prospect note in Evernote, appends the key deal details, tags it by lead source and rep, and notifies the rep in Slack. The rep has a structured research brief within about a minute of the lead arriving — no manual note creation required.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    50 min / week
    Manual prospect note creation

Reps open Evernote, create a new note, copy the company name from HubSpot, write in the deal stage and rep name, then switch back to the CRM — 8–10 minutes per new lead.

    Sales Agent
    0 min
Agent creates the research brief on lead arrival

When a lead is created in HubSpot, the agent finds or creates the prospect note in Evernote, appends the deal details, applies the lead-source tag, and pings the rep in Slack — all within about a minute.

  • Marketing
    30 min / week
    Manual campaign notebook setup

The marketing team creates Evernote notebooks and template notes by hand for each new campaign — copying structure from the last campaign, renaming files, and applying tags one note at a time.

    Marketing Agent
    0 min
Agent seeds campaign workspace on launch

When a campaign is added to the calendar, the agent creates the Evernote notebook, seeds three template notes, and applies campaign tags — all done before the first brief meeting starts.

  • Customer Support
    40 min / week
Manual knowledge base updates after tickets

Support agents manually write up resolved ticket learnings into Evernote at the end of each shift — a task that is routinely skipped under ticket volume pressure, leaving the knowledge base stale.

    Customer Support Agent
    0 min
Agent captures learnings the moment a ticket closes

When a Zendesk ticket closes, the agent finds or creates the category knowledge note and appends the resolution automatically — the knowledge base grows without anyone setting aside time to document.

  • Human Resources
    20 min / week
    Manual onboarding notebook setup

HR creates an Evernote notebook for each new hire by hand — duplicating template notes from a master folder, renaming them, and applying name and date tags before the employee's first day.

    Human Resources Agent
    0 min
Agent provisions onboarding workspace on hire creation

When a new hire record is detected, the agent creates the notebook, seeds the template notes, and applies all tags — so HR's only job is filling in the content, not setting up the structure.

  • Finance
    35 min / week
Manual vendor and audit note filing

Finance creates Evernote notes for vendor records, audit items, and budget reviews by hand — copying details from the finance system, applying tags inconsistently, and filing notes into the wrong notebooks under pressure.

    Finance Agent
    0 min
Agent files and tags financial notes consistently

The finance agent creates, tags, and files vendor, audit, and budget notes automatically from the source systems — with consistent structure every time, regardless of who is on duty.

  • Operations
    40 min / week
Manual ops log and notebook maintenance

The ops team creates a new weekly log note manually each Monday, moves completed project notes to the archive by hand, and chases team members to tag or file stray inbox notes — 30–45 minutes of weekly housekeeping.

    Operations Agent
    0 min
Agent maintains the notebook structure automatically

The operations agent creates the weekly ops log before the first standup, moves completed project notes to the archive on schedule, and flags untagged inbox notes for their owners — the workspace stays organised without manual effort.

  • Legal
    25 min / week
Manual contract note creation and archiving

Legal manually creates review notes for each new contract, files signed agreements into the archive notebook, and applies tags by hand — a time-consuming process that is often deferred until the end of the month.

    Legal Agent
    0 min
Agent files and archives contract notes on status change

When a contract enters review, the agent creates the note; when it is signed, the agent archives it and applies the correct tags. The executed contracts register stays current without anyone filing paperwork manually.

FAQs

Questions about Evernote + Actionist

How does Actionist connect to Evernote?
Go to the Apps tab, find Evernote, and click Connect. Actionist opens an Evernote OAuth authorisation window — sign in with your Evernote credentials and grant the requested permissions. The handshake completes in under 30 seconds and Actionist runs a test read to confirm access before any agent actions run. No API tokens to generate or paste.
What permissions does the agent need on my Evernote account?
For read operations (Find a Note, Find a Tag, Get Note Content) the agent needs read scope on your notes and notebooks. For write operations (Create Note, Append to Note, Create Notebook, Tag Note, Move Note to Notebook) it additionally needs write scope. The OAuth flow requests both scopes together. If you connect a personal Evernote account, the agent can access all notebooks you own. Shared notebooks from other users are accessible only if your account has been granted edit access by the owner.
Can Actionist agents access notes in shared or team notebooks?
Yes — if your connected Evernote account has been granted access to a shared notebook by its owner, the agent can read and write notes in that notebook. Actionist acts with exactly the same notebook permissions as the account you connected. If a notebook is shared with you in read-only mode, the agent can read from it but cannot create or append notes. Full read-write access on a shared notebook allows all write actions.
How do I prevent the agent from creating duplicate notes?
Use Find or Create Note instead of Create Note whenever there is a risk the note already exists. This action searches for a matching note first and returns it if found, creating a new one only when no match exists. It is the recommended pattern for running documents like client logs, project status notes, and weekly digests where exactly one note per topic should exist. For one-off captures where a new note is always correct — like individual meeting minutes — Create Note is the right choice.
Can Actionist agents trigger workflows when a new note arrives in a specific notebook?
Yes — the New Note trigger fires within about a minute when any note is created in your Evernote account. You can filter the trigger to act only on notes in a specific notebook or with a specific tag by adding a condition step immediately after the trigger. This lets you build notebook-specific workflows: for example, when a new note lands in the 'Action Items' notebook, automatically create a task in ClickUp from the note title.
What happens to a note when the agent calls Delete Note — is it recoverable?
Delete Note moves the note to Evernote's Trash — it is not permanently deleted immediately. Notes in Trash are recoverable from within the Evernote app until you empty the Trash manually or Evernote's auto-purge policy (30 days for most plans) removes them. Actionist does not permanently delete notes; it only moves them to Trash. For compliance-sensitive content, use Move Note to Notebook to archive rather than Delete Note to trash.
Can Actionist work with Evernote alongside other note-taking or project management tools in the same workflow?
Yes — Evernote is most useful in multi-app workflows. Common patterns: capture meeting details from Google Calendar into Evernote and create a ClickUp task from the note; find the relevant Evernote client note before a HubSpot deal advances; append resolved Zendesk ticket learnings into an Evernote knowledge base; move note content into a Google Docs draft when it is ready for external sharing. Any of Actionist's connected apps can send or receive data alongside Evernote in the same agent task.
Does Actionist support Evernote Business or Teams accounts?
Actionist connects to Evernote via the standard Evernote API OAuth flow, which works with personal, Evernote Personal, Evernote Professional, and Evernote Teams (formerly Business) accounts. On Evernote Teams, the agent operates with the permissions of the individual account you connect — it can access your personal notebooks and any business notebooks your account has been granted access to. Business-admin-only notebooks require the connected account to hold admin rights in the Evernote Teams workspace.
