Open house sign-in to CRM contact and task, automatically

When a visitor signs in at an open house, the agent reads their qualification data, checks whether they already exist in HubSpot, creates or updates the contact, and creates a follow-up task for the listing agent — all within about a minute of the sign-in. No more manual CRM entry after a long Sunday of open houses.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

With Actionist

What your agent runs for you

  • Sales
    35 min / week
Manual CRM entry after every open house

Listing agents transcribe each sign-in sheet row into the CRM by hand after the event — typically Sunday evening or Monday morning — with no qualification scoring and no automatic follow-up tasks.

    Sales Agent
    0 min
Agent creates CRM contact and follow-up task within a minute of sign-in

When a visitor signs in via Curb Hero, the agent reads the qualification data, creates a CRM contact with all captured fields, and assigns a ranked follow-up task to the listing agent — before the agent leaves the property.

  • Marketing
    25 min / week
Weekly batch upload to email platform

The marketing coordinator exports Curb Hero leads as a CSV each Monday, manually cleans the data, and bulk-uploads to the email platform — a process that delays follow-up by up to 48 hours and introduces errors during the manual clean-up step.

    Marketing Agent
    0 min
Agent logs every sign-in and enrolls visitor in nurture sequence automatically

Each Curb Hero New Lead event appends the visitor to the brokerage's attendance log and enrolls them in the appropriate email nurture sequence within about a minute of sign-in — segmented by the qualification answers captured at the open house.

  • Customer Support
    20 min / week
    Manual weekly data quality review

The operations team reviews Curb Hero exports each Monday to find incomplete sign-ins, then emails listing agents individually to request missing contact information — by which time the open house is days past and the visitor's details may be impossible to recover.

    Customer Support Agent
    0 min
Agent flags data quality issues within the hour

Each incoming Curb Hero lead is automatically checked for missing required fields — no email, no phone, blank qualification questions — and the listing agent is notified via Slack within about a minute if remediation is needed.

  • Human Resources
    12 min / week
    Manual monthly activity audit

Team leads review their agents' Curb Hero activity manually each month, asking agents to self-report open house counts and trying to reconcile the numbers with CRM activity logs — a process that often misses inactive agents until the quarterly review.

    Human Resources Agent
    0 min
Agent tracks each agent's open house activity and flags gaps automatically

The HR agent reads weekly Curb Hero lead logs to compile per-agent open house frequency and flags agents who haven't run an open house in 30 days to their manager — without any manual reporting from team leads.

  • Finance
    18 min / week
    Manual quarterly cost-per-lead calculation

The finance team manually exports Curb Hero data, cross-references listing marketing spend from a separate spreadsheet, and calculates cost-per-lead figures quarterly — too infrequently to catch overspend before it compounds.

    Finance Agent
    0 min
Agent calculates cost-per-lead per listing from sign-in volume weekly

The finance agent reads Curb Hero lead counts per listing, divides by the associated marketing spend, and writes cost-per-lead figures to the finance tracking sheet every Friday — giving the broker data-driven ad spend decisions before the weekend.

  • Operations
    45 min / week
Manual registry updates from per-agent reports

Operations collects lead sheets from individual agents after each weekend, manually transcribes them into the master registry, reconciles duplicates, and sends the updated sheet to the broker by Tuesday — three days after the open houses ran.

    Operations Agent
    0 min
Agent keeps the central lead registry current without manual input

Every Curb Hero lead event — new or updated — automatically syncs to the brokerage's central Google Sheets registry within about a minute, so the operations team always has an accurate, current view of all open house activity across every listing.

  • Legal
    15 min / week
Manual DNC list maintenance after every open house

Legal manually reviews Curb Hero exports for opt-out flags each week, updates the DNC list in the CRM by hand, and checks each email platform separately to ensure suppression — a multi-step process that creates a compliance gap from sign-in to suppression.

    Legal Agent
    0 min
Agent honors DNC flags and logs suppression within a minute of sign-in

When a visitor opts out at sign-in, the agent immediately suppresses the contact across all connected follow-up systems and logs the event to the DNC compliance tracker — compliant by default, with a full audit trail.

FAQs

Questions about Curb Hero + Actionist

How does Actionist connect to Curb Hero?
Go to the Apps tab in Actionist, find Curb Hero, and click Connect. Curb Hero connects via webhook — Actionist provides a webhook URL that you paste into your Curb Hero account settings under Integrations. Once configured, Actionist receives lead events from Curb Hero within about a minute of each sign-in or lead update and routes them to your configured agent workflows.
What events can trigger an agent when a Curb Hero lead arrives?
Curb Hero sends two real webhook events to Actionist: New Lead (fires when a guest signs in at an open house or submits a property marketing form) and Updated Lead (fires when a lead's details are changed, such as contact info being corrected or notes added after the event). Both fire within about a minute of the event occurring in Curb Hero.
Can Actionist connect Curb Hero leads to my CRM automatically?
Yes — Curb Hero is most powerful when connected to your CRM and follow-up stack. Common combinations: push new Curb Hero open house leads directly into Follow Up Boss, kvCORE, or HubSpot; log each lead to a Google Sheets tracking sheet; send the listing agent a Slack notification with the lead's name and contact info; or trigger an automated text message via a connected messaging app. Curb Hero feeds the lead data, Actionist routes it everywhere it needs to go.
What lead data fields does Actionist receive from a Curb Hero trigger?
Curb Hero captures whatever fields you have configured on your open house sign-in form — typically first name, last name, email, phone number, and any custom qualification questions you added (e.g. pre-approved? timeline to buy?). That full payload arrives in the Actionist agent's context when the trigger fires, so you can map any captured field to fields in your CRM, spreadsheet, or follow-up tool.
Can Actionist write data back into Curb Hero, or is it trigger-only?
Actionist agents can perform read and write actions against connected apps but currently do not write back into Curb Hero — Curb Hero's integration is trigger-only (inbound webhook). This means Actionist receives lead data from Curb Hero and can push it anywhere in your stack, but cannot create or update records inside Curb Hero itself. Use Curb Hero's own dashboard for managing open house setups and lead profiles.
How do I prevent duplicate CRM contacts when a Curb Hero lead is updated?
Yes. When the Updated Lead trigger fires, Actionist receives the updated lead payload. You can configure the agent to check whether the lead already exists in your CRM (by email or phone) and update the existing record rather than creating a duplicate. For example, the agent can call a Find Contact action in HubSpot before deciding whether to create a new contact or update the existing one — keeping your CRM clean even when leads are edited after the event.
Can I use Actionist to pull historical leads from Curb Hero in bulk?
Curb Hero is a trigger-only source for Actionist — it fires events but has no API for reading historical lead lists or property data. If you need to process existing Curb Hero leads in bulk, export them from Curb Hero's dashboard as a CSV, import that CSV into Google Sheets, and point an Actionist scheduled agent task at the sheet to process and route each row to your CRM. For new leads going forward, the webhook trigger handles everything.
Does Actionist handle Curb Hero's offline sign-in sync correctly?
Absolutely. Curb Hero works offline and syncs when connectivity is restored. When the sync happens, Curb Hero fires the New Lead webhooks for all the queued sign-ins. Actionist processes each event as it arrives — so leads collected at a property with no Wi-Fi still flow into your CRM and trigger follow-up workflows once Curb Hero comes back online, typically within about a minute of the sync completing.
