CommunicationProductivityProjectsHRSchedulingForms

Connecteam is the all-in-one employee management platform built for frontline and non-desk teams. It combines scheduling, time tracking with GPS clock-in/out, task management, team chat, training, digital forms, and HR operations into a single mobile-first app. Connect it to Actionist and your agents can create and update shifts, clock employees in and out, manage time-off requests, assign tasks, sync form submissions to downstream tools, and surface workforce events to every department that needs to act on them — without anyone touching the Connecteam dashboard.

Job order to staffed shift in under a minute

When a service deal closes in HubSpot, the agent creates a Connecteam job for the engagement, finds the right available employee, creates their shift with the correct start time and location, and builds their task checklist — all before the account manager has finished the congratulatory email to the client.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    40 min / week
    Manual deal-to-schedule handoff

Sales sends an email to ops with deal details; ops manually creates the Connecteam job and shifts; workers get their assignments hours or days later, sometimes with missing information.

    Sales Agent
    0 min
Agent creates jobs and shifts at deal close

When a deal closes in the CRM, the agent creates the Connecteam job, finds the right employee, and builds their shift and task list — operations is staffed before the account manager finishes the win email.

  • Marketing
    60 min / week
    Manual coverage-to-campaign sync

Marketing asks operations for field coverage data by email, waits for a reply, and manually updates campaign targeting — often running ads in regions where no service can be delivered.

    Marketing Agent
    0 min
Agent aligns campaigns to live field coverage

The marketing agent reads Connecteam shift data to know where workers are deployed this week and updates geo-targeted campaigns to match — no manual coordination between marketing and operations.

  • Customer Support
    30 min / week
    Manual form-to-ticket process

Managers check Connecteam for new form submissions, manually create support tickets with copied data, and email the relevant teams — often hours after the submission, when corrective action is harder.

    Customer Support Agent
    0 min
Agent routes field form submissions to tickets automatically

When a field worker submits an incident or delivery form in Connecteam, the agent creates a support ticket, notifies the responsible parties, and builds a corrective action task — all within about a minute of submission.

  • Human Resources
    90 min / week
    Manual Connecteam HR admin

HR manually creates each new hire's Connecteam profile, fills in custom fields from paper forms, sets leave balances by hand, and remembers to archive departing employees — often days after the relevant event.

    Human Resources Agent
    0 min
Agent creates, updates, and archives employee profiles automatically

New hires are in Connecteam with their task list, leave balance, and certifications before day one. Departures are archived on their final day. Leave balances sync weekly from payroll with no manual correction.

  • Finance
    120 min / week
Manual timesheet extraction and payroll prep

Finance manually exports Connecteam timesheet data at period close, copies hours into the payroll system, chases managers for overtime approvals, and corrects missed clock-outs — often a half-day task per pay period.

    Finance Agent
    0 min
Agent stages payroll hours at every clock-out

Every clock-out writes a verified timesheet row to the payroll staging sheet in real time. Overtime is flagged before the shift ends. Pay period close is a review, not a data-entry exercise.

  • Operations
    150 min / week
    Manual scheduling from job orders

Ops reads job orders from the CRM, manually creates Connecteam shifts for each one, checks for conflicts by scrolling the schedule, and phones available workers when someone drops out.

    Operations Agent
    0 min
Agent builds and maintains the schedule from job orders

Job orders become Connecteam shifts automatically. Mid-week gaps trigger immediate replacements. Emergency cover is found and assigned before the operations manager even sees the message.

  • Legal
    45 min / week
    Reactive compliance investigation

Legal learns about working time breaches after payroll runs, checks rest periods only after a complaint, and discovers expired certifications when an incident occurs — all the high-risk, high-cost outcomes.

    Legal Agent
    0 min
Agent monitors working time and rest periods proactively

Maximum hours and rest period checks run on every new shift and every week-end timesheet review. Certification expiry triggers renewal tasks 30 days in advance. Compliance is proactive, not reactive.

FAQs

Questions about Connecteam + Actionist

How does Actionist connect to Connecteam?
Go to the Apps tab, find Connecteam, and click Connect. You will need a Connecteam API key — go to Settings → API & Integrations inside Connecteam and generate one (requires the Expert plan or higher, and only the account owner can create keys). Paste the key into Actionist and click Test connection. Actionist will make a read-only call to verify access before any agent actions run. Webhook triggers also require API access — Actionist registers the necessary webhook endpoints automatically during setup.
Which Connecteam plan do I need to use the Actionist integration?
API access is available on the Expert plan or higher. The free Basic plan and the lower paid tiers (Starter, Advanced) do not include API access. Webhooks also require Expert or above. If you are on a lower plan and want to evaluate the integration, Connecteam offers trials of higher tiers — contact their sales team. All Actionist actions that create or modify data (shifts, users, tasks, time-off requests) and all webhook triggers require the Expert tier or above.
Can Actionist create shifts and jobs automatically from my existing job management or CRM tool?
Yes. The most common pattern is: a deal closes or a job order is created in your CRM or field service platform → the agent creates a Connecteam job for the engagement → finds the right available employee → creates their shift with the correct role, time, and location → builds their task checklist. Actionist connects to HubSpot, Salesforce, Zoho, and other CRMs, so the trigger can come from wherever your sales or operations team manages job orders. The agent handles the translation from job order to Connecteam schedule without any manual input.
How do Connecteam webhook triggers work in Actionist?
Connecteam fires webhooks on events like Clock In, Clock Out, New Form Submission, New Shift in Scheduler, Updated Shift, Task Completed, New User, and User Updated. When you connect Connecteam and enable a trigger in Actionist, the agent registers an HTTPS webhook endpoint with Connecteam automatically — you do not need to configure webhooks manually in Connecteam's webhook settings. Events arrive within about a minute of occurring in Connecteam. Connecteam retries failed webhook deliveries up to 3 times with 60-second intervals, so transient connectivity issues are handled without lost events.
Can Actionist help with payroll by pulling hours from Connecteam?
Yes. The Finance Agent can read shift data and timesheet rows from Connecteam and write them to a payroll staging sheet in Google Sheets or push them directly to connected payroll platforms. The most common setup: Clock Out triggers the agent to read the shift's approved hours and the employee's cost centre from their custom fields, then write the row to the payroll staging sheet before the next morning. Overtime is flagged to the manager for approval the moment it occurs. By pay period close, every hour is verified and staged — no manual data entry.
Can I use Actionist to automate Connecteam employee onboarding and offboarding?
Yes. For onboarding: when a new hire is confirmed in your HRIS or a roster spreadsheet, the agent creates their Connecteam profile with the correct role, department, and certification fields populated, sets their leave balance, and creates their first-week task checklist. For offboarding: when a departure date passes or an employee's record is marked as leaving in the HRIS, the agent archives their Connecteam account on their last working day, creates a departure note for the audit trail, and removes them from active scheduling — preventing accidental shift assignments to former employees.
What compliance checks can Actionist run using Connecteam data?
Several. The Legal Agent can check for maximum working time directive breaches by comparing weekly hours from Connecteam timesheets against jurisdiction-specific thresholds. It can also verify minimum rest periods between shifts before a new shift is confirmed — preventing breaches rather than investigating them after. Certification expiry is monitored via employee custom fields, with renewal tasks created in Connecteam 30 days before expiry. Incident form submissions are checked for mandatory field completion weekly, flagging any incomplete records before the compliance log is closed.
Does Actionist support custom fields on Connecteam employee profiles?
Yes. The Update User Custom Fields action lets agents write to any custom field you have created on Connecteam employee profiles — certifications, equipment assignments, cost centres, specialist roles, or any other field your business uses. Similarly, the Find User action returns custom field values, so agents can read certifications, jurisdictions, or cost centres from employee records and use that data to route shifts, calculate payroll, or trigger compliance checks. Custom field names must match exactly as configured in your Connecteam account.
