Trade-in appraised and logged before the first rep call

When a trade-in inquiry arrives, the agent decodes the VIN, retrieves the current market value at the stated mileage and condition, checks for active liens, and logs everything to HubSpot before the rep is even assigned. The Slack notification gives the team advance notice so the right appraiser is scheduled immediately.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
Manual VIN decode and separate valuation lookup

Reps paste the VIN into a decoder tool, copy specs to the CRM, then open Kelley Blue Book or a separate valuation service for the market estimate — two lookups and two data-entry sessions per trade-in.

    Sales Agent
    0 min
Agent decodes VIN and pulls market value before first call

When a trade-in inquiry arrives, the agent decodes the VIN and retrieves the current market value in one step — the rep opens HubSpot and finds all the data already there.

  • Marketing
    20 min / week
Manual image sourcing and spec data entry

The marketing team sources stock photos individually for each new listing and manually transcribes specs from the window sticker or a separate decoder tool into the listing management system.

    Marketing Agent
    0 min
Agent populates listings with images and specs automatically

When a new vehicle enters inventory, the agent retrieves stock images and full specs via the CarsXE API and writes them to the listing — no photographer or manual data entry needed for standard inventory.

  • Customer Support
    15 min / week
Manual OBD code lookup per service ticket

Service advisors look up each fault code in a separate OBD reference tool or online database before they can respond intelligently to the ticket, adding 5 minutes per fault-code ticket.

    Customer Support Agent
    0 min
Agent decodes OBD codes and enriches tickets before advisors review

When a ticket arrives with a fault code, the agent decodes it to a plain-English description and appends it to the ticket — advisors read the enriched ticket instead of looking up the code manually.

  • Human Resources
    12 min / week
Manual recall check for employee vehicles

HR periodically looks up each company vehicle VIN on the NHTSA website to check for open recalls, a process that takes 2-3 minutes per vehicle and is typically done infrequently rather than weekly.

    Human Resources Agent
    0 min
Agent monitors employee vehicles for recalls and updates records

The HR agent checks all employee-assigned VINs for open recalls every Monday and notifies affected employees automatically — HR never needs to run a manual recall check.

  • Finance
    18 min / week
Manual lien and title verification per purchase order

Finance manually checks each VIN through separate lien search and title status services before approving a purchase, then logs the results to the approval record — 10-15 minutes of research per vehicle purchase.

    Finance Agent
    0 min
Agent runs lien and title checks before any purchase order advances

When a purchase order is submitted, the agent calls lien, theft, and title status checks simultaneously and appends results to the approval record — finance managers see a clear risk status without any manual research.

  • Operations
    120 min / week
Manual weekly recall check for entire fleet

An operations team member manually checks each fleet VIN on the NHTSA recall database each week, copies any new recall details into a tracking spreadsheet, and creates service tasks by hand — 2 hours per week for a 50-vehicle fleet.

    Operations Agent
    0 min
Agent runs weekly fleet recall sweep and creates service tasks

Every Monday the agent checks every fleet VIN against the current recall database, identifies new recalls since last week, and creates service tasks automatically — operations leadership sees the status before the first standup.

  • Legal
    10 min / week
Manual pre-closing title and lien verification

Paralegals manually retrieve title status and lien searches from separate services for each vehicle deal before closing, transcribe the results to the deal file, and follow up with the sales team — 20-30 minutes per closing.

    Legal Agent
    0 min
Agent confirms title and lien status before closing documents are prepared

When a deal reaches the closing stage, the agent automatically retrieves title brand, lien status, and recall records and attaches a compliance summary to the deal file — attorneys proceed with documented vehicle status.

FAQs

Questions about CarsXE + Actionist

How does Actionist connect to CarsXE?
Go to the Apps tab, find CarsXE, and click Connect. The recommended path is API key authentication. In the CarsXE developer dashboard, navigate to API Keys and generate a new key. Paste it into Actionist and the platform runs a test VIN decode to confirm the handshake before any actions run. CarsXE also supports an MCP server for tool-calling agents that prefer that architecture — select the MCP option in the connection flow and provide your API key when prompted.
What vehicle data does CarsXE actually return?
CarsXE provides 12+ endpoint types: VIN specifications (full make, model, year, trim, engine, transmission, body style), international VIN decoding, license plate decoding in 50+ countries, market value estimates (retail, trade-in, loan) with optional mileage and condition inputs, vehicle history (ownership count, accidents, odometer), safety recalls from the NHTSA database, OBD-II fault code descriptions, vehicle images by make/model/year, plate image recognition from photo URLs, VIN OCR from images, lien and theft status, ownership cost projections, and title brand status.
Which countries does CarsXE cover for license plate decoding?
CarsXE covers 50+ countries for license plate and VIN data. Plate decoding requires the plate number and country code; for US plates, the state is also required. The international VIN decoder handles VINs manufactured to non-US standards, covering major European and Asian markets. Country coverage varies by endpoint — the CarsXE documentation at api.carsxe.com/docs lists the supported regions per endpoint.
Can I use CarsXE for bulk VIN decoding across a large fleet?
Yes. CarsXE's REST API is stateless and designed for programmatic access at scale. In Actionist, you can configure a scheduled agent task that reads a fleet register from Google Sheets, iterates each VIN through Decode VIN Specifications or Get Vehicle Recalls, and writes the results back — processing hundreds of vehicles in a single scheduled agent task. CarsXE pricing is usage-based starting at $99 per month plus per-call fees, with a 7-day free trial available.
How accurate is the CarsXE market value data?
CarsXE market value estimates use multi-valuation methodology that factors in retail, trade-in, and loan scenarios. The estimate improves with more inputs — providing the VIN, current mileage, vehicle condition, and state gives a more accurate result than a VIN-only call. The data reflects current market conditions and is useful for appraisals, fleet disposal planning, and lease-vs-buy decisions, but CarsXE recommends treating it as a data-informed estimate rather than a certified appraisal for high-value transactions.
Does CarsXE check recall status in real time?
CarsXE retrieves safety recall data sourced from the NHTSA database and equivalent authorities in supported international markets. Recall records are updated as new recalls are issued, so a check run today reflects the current state of open recalls for that VIN. CarsXE does not manufacture the recall data — it reads from the official regulatory database — so any recall issued after your last query will be detected on the next call. For fleet compliance workflows, running weekly checks ensures you catch new recalls within about seven days of issuance.
Can the agent read a plate from a photo taken with a phone camera?
Yes, via the Recognize Plate from Image action. The agent submits a publicly accessible image URL to the CarsXE plate image recognition endpoint, which uses computer vision to extract the plate characters. Image quality matters — a clear, well-lit photo of the plate taken at moderate distance works best. The extracted plate string can immediately be passed to Decode License Plate to resolve the full vehicle identity. This workflow is commonly used for lot audits, incident documentation, and service lane check-in automation.
What is the difference between Get Vehicle History and Check Lien and Theft Status?
Get Vehicle History returns the vehicle's ownership record — number of previous owners, accident reports, odometer readings at title changes, and salvage or flood event flags. Check Lien and Theft Status returns the current financial and legal encumbrance status — whether an active lien is recorded against the title and whether the vehicle has been reported stolen. For pre-purchase due diligence, both calls are typically run together: history tells you what happened to the vehicle, lien and theft status tells you whether it is legally clear to transfer.
