How does Actionist connect to Bigin by Zoho CRM?
Go to the Apps tab in Actionist, find Bigin, and click Connect. Actionist opens a Zoho OAuth window — sign in to your Zoho account and grant permission for Actionist to read and write your CRM data. The handshake completes in under 10 seconds, and Actionist runs a test read call to confirm access before any agent actions run. If your Zoho account covers multiple Bigin organisations, you can choose which one to connect during the OAuth flow.
What permissions does the agent need in my Bigin account?
For read operations — Search Contact, Search Company, Search Pipeline Record, Search Event, Search Task, Search Product, Search User — the agent needs standard CRM read permissions on those modules. For write operations — creating or updating contacts, companies, pipeline records, tasks, events, calls, and products — it needs CRM write permissions. The OAuth flow requests both scopes together. If you use Zoho's profile-based permission system, ensure the connecting user has at minimum the Standard profile, which covers all modules Actionist uses.
Can I use Actionist with multiple Bigin pipelines?
Yes. Bigin supports multiple pipelines (called Team Pipelines) for different functions — sales, onboarding, support escalations, and so on. When creating a pipeline record via Actionist, you specify which pipeline to use as a parameter. The agent can create records in the Sales pipeline for inbound leads, the Onboarding pipeline for new customers, and the Renewals pipeline for upcoming contract renewals — all from a single Bigin connection. The Search Pipeline Record action can filter by pipeline name or ID as well.
What events can trigger a Bigin workflow in Actionist?
Bigin provides ten webhook-based triggers available in Actionist: New Contact, Updated Contact, New Company, Updated Company, New Pipeline Record, Updated Pipeline Record, New Task, New Event, New Call, and New Product. Triggers fire within about a minute of the event occurring in Bigin. You can filter on trigger data — for example, responding only to Updated Pipeline Records where the stage changes to Closed Won. Polling-based triggers are not used; all Bigin triggers are webhook-driven.
How do I avoid creating duplicate contacts when syncing leads from multiple sources?
Use the Create or Update Contact action instead of Create Contact. It checks for an existing Bigin contact matching the submitted email address before creating anything — if a match is found, it updates the existing record with the new data; if no match exists, it creates a new contact. This pattern prevents duplicates when the same person submits multiple forms, attends multiple webinars, or is added by both marketing and sales tools simultaneously. For bulk imports, you can also use Search Contact first to check for existence before deciding to create.
Can I use COQL queries with Actionist to run complex CRM reports?
Yes. The Get Records Using COQL Query action lets you run Zoho CRM Object Query Language queries against your Bigin data to retrieve records matching complex, multi-condition filters that are impossible to express with simple search actions. For example: find all pipeline records with deal value above $5,000 that have been in the same stage for more than 21 days and have no task due in the next 7 days. COQL results are returned as structured records that the agent can then act on — creating tasks, sending Slack alerts, or writing to Google Sheets.
