Extract structured data from any document with AI-powered OCR and 2,800+ pre-trained models

DocumentsFinanceDeveloperAISecurityAutomation

Base64 Document AI is an AI-powered document intelligence platform headquartered in New York that extracts structured JSON data from any document type — invoices, IDs, passports, contracts, tax forms, insurance documents, receipts, and more. It uses over 2,800 pre-trained AI models combined with OCR and Generative AI to automatically classify document types and extract fields, tables, signatures, and faces. Connect it to Actionist and your agents can scan documents synchronously for instant results, submit large batches as async scan tasks, detect and verify faces on identity documents, confirm signature authenticity against a reference, and route documents through named processing flows — turning any incoming document into structured data your other apps can act on.

Invoice data captured and routed for approval on arrival

When an invoice email arrives in the shared AP inbox, the agent scans the attachment using Base64 Document AI, extracting vendor name, invoice number, line items, and due date. The structured data is written to the AP ledger in Google Sheets, a summary is posted to Slack for approval, and a Notion record is created — all without a human opening the PDF.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    30 min / week
Manual contract data entry into CRM

Reps open each returned contract PDF, read through the terms, and manually type party names, contract value, and dates into the CRM deal record — adding 10-15 minutes per deal at close.

    Sales Agent
    0 min
Agent extracts and writes contract terms to CRM at receipt

When a signed contract arrives, the agent scans it with Base64 Document AI, extracts party names, value, and close date, and writes them to the HubSpot deal — the CRM is accurate the moment the document lands.

  • Marketing
    45 min / week
    Manual transcription of supplier documents

The team opens each inbound media kit or brief, manually reads through the document, and types pricing, dates, and commitments into the planning spreadsheet — a slow process that delays campaign planning.

    Marketing Agent
    0 min
Agent extracts tables and fields from inbound materials automatically

Supplier decks, event briefs, and sponsorship proposals are scanned on arrival. Pricing tables and key dates are extracted to Notion without anyone opening the PDF.

  • Customer Support
    50 min / week
Manual ID document review per ticket

Support agents manually open submitted ID images, visually check them, type name and document number into the case record, and confirm completeness — adding 5-10 minutes to every verification ticket.

    Customer Support Agent
    0 min
Agent extracts ID fields and verifies face before ticket opens

When a customer submits an ID for account recovery, the agent scans it, extracts the key fields, and confirms a photo is present — all before the support agent opens the case.

  • Human Resources
    40 min / week
    Manual onboarding document data entry

HR coordinators open each new hire's submitted documents one by one, type personal details, tax withholding elections, and employment terms into the HRIS by hand — a 30-45 minute process per new hire.

    Human Resources Agent
    0 min
Agent processes ID, tax forms, and offer letters at onboarding

When a new hire is added to the tracker, the agent scans their identity document, W-4, and signed offer letter, writes all extracted fields to the HRIS, and confirms identity verification — no HR coordinator manually keys a single field.

  • Finance
    60 min / week
Manual invoice data entry to accounting system

AP staff open each invoice email, extract the PDF, read vendor details and line items, and key them into the accounting system one field at a time — consuming several minutes per invoice across dozens of weekly submissions.

    Finance Agent
    0 min
Agent extracts invoice line items to AP ledger on email arrival

Invoices are scanned as they arrive. Vendor name, invoice number, line items, and due date are written to the AP ledger immediately — no AP clerk manually keying from a PDF.

  • Operations
    75 min / week
    Manual document triage and routing

Ops staff open each scanned document, identify its type by eye, and manually forward it to the correct inbox or queue — a time-consuming and error-prone process at high document volumes.

    Operations Agent
    0 min
Agent classifies and routes all document types automatically

Mailroom scans are classified by document type and routed to the correct department queue without a human triaging each one. Failed extractions are flagged before they clog the downstream system.

  • Legal
    35 min / week
Manual contract intake and signature check

Legal ops staff manually read each received contract to note party names, dates, and terms, then visually inspect the signature page to confirm the document is signed before routing to a lawyer.

    Legal Agent
    0 min
Agent extracts and verifies every contract before legal review

Inbound contracts are scanned for party names and dates, checked for a signature, and the signature is verified against the reference on file — all before the contract reaches the legal reviewer.

FAQs

Questions about Base64 Document AI + Actionist

How does Actionist connect to Base64 Document AI?
Go to the Apps tab, find Base64 Document AI, and click Connect. You will need two credentials: your Base64.ai account email address and your API key. To generate an API key, log in to base64.ai, navigate to your account settings or developer portal, and create a new API key. Paste both your email and the API key into Actionist, then click Test connection — Actionist calls the Base64.ai auth endpoint to verify both values before any document operations run.
What file types and document formats can Base64 Document AI extract data from?
Base64 Document AI supports virtually every document format your teams handle: PDFs, JPEG, PNG, TIFF, BMP, GIF, WebP images, Microsoft Word (.docx), Excel (.xlsx), PowerPoint (.pptx), HTML files, and ZIP archives containing multiple documents. Multi-page documents are handled natively — the API returns one result object per page or detected document in the response array. Handwriting is extracted automatically alongside typed text with no extra configuration.
Does Base64 Document AI need to know what document type I'm sending, or does it classify automatically?
Base64 Document AI ships with over 2,800 pre-trained AI models covering IDs, passports, driver licences, visas, invoices, receipts, tax forms (IRS 1040, W-2, W-9), ACORD insurance forms, bankruptcy documents, contracts, and thousands more. The API automatically classifies the document type and selects the best model, so you do not need to specify a model for standard document types. For non-standard or proprietary forms, you can create a custom model using the Base64.ai Custom Model Builder.
Is there an asynchronous option for batch document processing?
Yes. The synchronous /api/scan endpoint returns extracted data in under 1 second at P99. For high-volume or batch processing scenarios, use the asynchronous scan path instead: the Create Scan Task action submits a document and returns a UUID immediately, while the Get Scan Result action polls that UUID for the completed extraction. This lets the agent queue many documents and retrieve results without holding an open connection, which is preferable for large document batches processed overnight or via scheduled agent tasks.
How does the face detection and recognition feature work for identity verification?
Base64 Document AI extracts face photos from identity documents (passports, ID cards, visas) via the Detect Face action. The Recognize Face action goes further: it matches a face found in one document against a face from a second document or reference image — returning a match confidence score. This is commonly used for identity verification workflows where a selfie or webcam capture must be confirmed to match the photo on a submitted ID card.
Can I use Actionist to verify that a document was signed by a specific person?
The signature detection feature (Recognize Signature) finds and extracts signatures from any document. The Verify Signature action takes two inputs — a document bearing a signature and a reference document with the known authentic signature — and returns a match score indicating whether the two signatures belong to the same person. This is useful for contract compliance checking, loan document verification, and audit workflows where you need to confirm that the signer is who they claim to be.
What are Flows in Base64 Document AI and how does Actionist use them?
Flows are no-code document processing pipelines configured inside your Base64.ai account. A flow defines where documents come from (email, API, scanner, cloud storage), which AI models to run, any human-review steps, and where the structured output goes. In Actionist, the List Flows action retrieves all flows configured in your account, and the Scan Document action can route a document through a specific named flow — so the agent submits documents to the right processing pipeline without hardcoding model names or output destinations.
Can Actionist combine Base64 Document AI with other apps in the same workflow?
Actionist's Base64 Document AI actions can be combined with any other connected app to build end-to-end document automation. Common patterns: extract invoice fields and write line items to a Google Sheets ledger; run ID verification and log the pass/fail result to a Notion onboarding tracker; scan a signed contract, extract party names and dates, and update the corresponding HubSpot deal; classify incoming faxes or emails, route each document type to the right Slack channel, and push structured data to your ERP. Any app in Actionist's library can receive or supply data in the same workflow.
