Proposal generated and delivered when deal reaches Proposal stage

When a deal moves to Proposal stage in HubSpot, the agent renders a personalised proposal PDF from the master Markdown template — including company name, deal value, and custom scope — compresses it, uploads it to Google Drive, and emails it to the prospect. The rep is notified via Slack. From deal-stage change to proposal in the prospect's inbox: within about a minute, no human document work.

Savings

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    90 min / week
    Manual proposal document prep

Reps open a Word template, edit the client name and figures, export to PDF, rename the file, and email it — a 15–30 minute process per proposal that delays outreach and produces inconsistent formatting across the team.

    Sales Agent
    0 min
Agent renders and delivers proposals in under a minute

When a deal moves to Proposal stage, the agent renders a personalised, brand-consistent proposal PDF from Markdown and emails it to the prospect — no rep opens a document editor.

  • Marketing
    120 min / week
    Designer-dependent content PDF production

Marketing waits for a designer to lay out each report or one-pager in Figma or InDesign, export it, review it, and revise it — a multi-day cycle for every content asset.

    Marketing Agent
    0 min
Agent renders branded PDFs directly from Markdown or data

The Marketing Agent renders campaign reports, case studies, and one-pagers from Markdown templates on a fixed weekly schedule — no design tool dependency, no bottleneck.

  • Customer Support
    60 min / week
Manual case summary and onboarding guide production

CSMs type escalation summaries and onboarding guides from scratch in Word, copy-paste customer details from the CRM, and format the document before sending — 20–40 minutes per document.

    Customer Support Agent
    0 min
Agent renders personalised support documents instantly

The Support Agent renders escalation summaries and onboarding guides from templates with customer-specific data substituted automatically, and delivers them within about a minute of the trigger.

  • Human Resources
    75 min / week
Manual offer letter and certificate production

HR opens an offer letter template, edits the candidate's name, role, and salary, exports to PDF, and emails it — repeated for every hire. Training certificates are produced one at a time by hand.

    Human Resources Agent
    0 min
Agent bulk-renders offer letters and certificates in one job

The HR Agent submits all offer letters and certificates as a single bulk render job — the entire cohort's documents are ready in parallel within minutes, password-protected and emailed automatically.

  • Finance
    150 min / week
Manual invoice generation and vendor data entry

Finance opens a billing template per customer, fills in the invoice details, exports to PDF, compresses it if too large, and emails it — then manually keys scanned vendor invoices into the accounting system line by line.

    Finance Agent
    0 min
Agent bulk-generates invoices and extracts scanned data automatically

The Finance Agent bulk-renders all monthly invoices in one parallel job and uses Lens OCR to extract vendor invoice data directly into the accounting system — no manual document production or data entry.

  • Operations
    100 min / week
Manual PDF assembly, filing, and maintenance

Ops staff manually merge multi-part report PDFs, compress large files before emailing, archive documents to the correct folder, and maintain the document index by hand — consuming several hours per week.

    Operations Agent
    0 min
Agent assembles, compresses, archives, and indexes PDFs on schedule

The Operations Agent merges, splits, compresses, and archives PDFs on a weekly schedule, logging metadata to the document index automatically — the library stays current without manual intervention.

  • Legal
    120 min / week
Manual contract drafting, assembly, and data entry

Legal staff open contract templates in Word, fill in party names and terms, merge exhibits by hand in Acrobat, apply passwords manually, and key contract data into the CLM system after signing — hours per contract.

    Legal Agent
    0 min
Agent renders, assembles, protects, and extracts contract data automatically

The Legal Agent renders contract drafts from approved templates, merges agreements with exhibits, applies password protection, and extracts signed contract data into the CLM — all without manual document handling.

FAQs

Questions about Autype + Actionist

How does Actionist connect to Autype?
Go to the Apps tab in Actionist, find Autype, and click Connect. Select the API key connection method, then log in to your Autype dashboard at autype.com, navigate to Settings → API Keys, and generate a new key. Paste the key into Actionist and click Test connection. Actionist runs a lightweight metadata call to verify the handshake. The connection is live within about a minute and your agents can immediately start rendering, converting, and manipulating documents.
What document formats can Autype produce through Actionist?
Autype can render to PDF, DOCX, and ODT from any of its input types. Via Actionist, the Render Document from Markdown, Render Document from JSON, and Render Persistent Document actions all support all three output formats — you choose the format in the action parameters. For bulk jobs, every document in the batch can be PDF, DOCX, or ODT. The Convert DOCX to PDF and Replace Placeholders actions output in the corresponding target format. PDF tools (merge, split, watermark, compress, protect, fill forms) produce PDFs.
How does bulk document rendering work, and how many documents can I generate at once?
Bulk rendering in Autype works asynchronously — you submit a Create Bulk Render Job with either a JSON variable array or an uploaded CSV/Excel/JSON file (one record per document), and Autype processes up to 100 documents in parallel in a single job. The job runs in the background; Actionist's agent polls Get Bulk Render Job Status until completion, then retrieves the ZIP archive of all rendered files. For batches larger than 100, you split the dataset into multiple jobs. Webhook callbacks are also supported so the agent is notified when the batch completes rather than polling.
What is Autype Lens OCR and how accurate is it for invoices and contracts?
Autype Lens is an AI-powered OCR and data extraction feature. You pass it a scanned PDF or image along with a JSON schema defining the fields you want to extract — for example, vendor name, invoice number, line items, total amount, and due date. Autype's AI reads the document and returns the extracted data as structured JSON matching your schema. It handles handwritten and typed text, multi-column layouts, tables, and signatures. For well-formatted invoices and standard contract templates, extraction accuracy is high. For highly irregular or damaged scans, manually verifying edge cases before automating the full pipeline is advisable.
Can I use my existing Word DOCX templates with Autype, or do I need to rebuild them in Markdown?
You can use existing Word templates directly. Autype's Replace Placeholders in DOCX/ODT action accepts a DOCX or ODT file as input, finds all {{placeholder}} tags in the document, and substitutes them with dynamic values — text, images, lists, or tables. If your current templates use double-brace placeholders, you can connect them immediately without any migration. Autype also supports a native Markdown-based template editor and JSON document structure for teams building templates from scratch, but importing existing DOCX files is a fully supported path.
Does Autype support password-protecting PDFs, and can I set different permissions for opening versus editing?
Yes. Autype's Protect PDF action supports both a user password (required to open the document) and an owner password (required to change security settings, print, or copy). You can set them independently — for example, distributing a readable-but-not-editable document by setting only an owner password with print and copy restrictions, with no open password. The permission model follows the PDF encryption specification: you can restrict printing, content copying, form filling, annotation, and document modification independently. Actionist's Legal and Finance agents use this to secure board packs and contract execution bundles before distribution.
How does Autype handle rendering jobs that take a long time — does the agent wait or is it asynchronous?
All rendering jobs in Autype are asynchronous. When an agent submits a render — including bulk jobs — Autype returns a job ID immediately and begins processing in the background. Actionist automatically polls Get Render Job Status or Get Bulk Render Job Status every few seconds (with a ceiling of five minutes) until the job is complete, then retrieves the output URL. This means your agent never blocks a workflow waiting for a large document batch. For production workloads, Autype also supports webhook callbacks, so the agent is notified via a push event when the job finishes rather than polling.
Are Autype-rendered documents GDPR-compliant, and where is the data processed?
Autype operates EU-hosted infrastructure and is designed with GDPR compliance in mind. Document content submitted via the API is processed within Autype's EU data centres. Rendered files and uploaded assets are held only for the duration specified by the plan's retention policy (rendered job outputs are held for one hour for DOCX/ODT; PDFs keep the last five renders). For highly sensitive data — personal information in HR documents, financial records — confirm your Autype plan's data retention and sub-processor agreements against your organisation's DPA requirements before deploying to production.
