Inbound lead to CRM and follow-up task in 60 seconds

Every inbound lead lands in Aqtos CRM with a structured follow-up task and a calendar slot for the rep — before anyone has read the notification email. No lead sits unassigned over a weekend or gets lost between tools.

Savings

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    50 min / week
Manual CRM data entry for every lead

Reps copy lead details from email or forms into Aqtos CRM manually, create a follow-up task, and notify the team — typically 5-10 minutes per lead that could be doing something more valuable.

    Sales Agent
    0 min
Agent creates CRM records and follow-up tasks automatically

When a new lead arrives, the agent creates an Aqtos client record, assigns a follow-up task to the rep, and posts a lead summary to the sales channel — all within about a minute of the form submission.

  • Marketing
    45 min / week
    Weekly manual CRM hygiene sessions

A marketer opens Aqtos each Monday to review new records, look up company details manually, and add missing tags — easily 30-60 minutes per week on pure data hygiene.

    Marketing Agent
    0 min
Agent enriches and tags client records automatically each week

The Marketing Agent scans new Aqtos client records, enriches missing company data, and tags each with the correct lead source — clean attribution data without manual review.

  • Customer Support
    60 min / week
Manual SLA monitoring across open tickets

Support leads scan the Aqtos WORK board periodically to spot critical tickets that have gone quiet, then manually escalate and notify account managers — a process that depends on someone remembering to check.

    Customer Support Agent
    0 min
Agent escalates stale critical tickets automatically

The Support Agent checks all critical Aqtos tasks hourly, escalates any with no update for four or more hours, and alerts both the support lead and the account manager — no SLA breach goes unnoticed.

  • Human Resources
    45 min / week
Manual onboarding setup for each new hire

HR manually creates the employee record, copies the onboarding task template, assigns each task to the right person, and sends individual notifications — typically 45-60 minutes per new hire, all before the person even starts.

    Human Resources Agent
    0 min
Agent creates the full onboarding project the moment an offer is signed

When a signed offer lands in the HR folder, the agent creates the employee record, a structured Aqtos onboarding project with assigned tasks, and notifies IT and the hiring manager — all before anyone reads the notification.

  • Finance
    40 min / week
Monthly invoice assembly from project notes

Finance reviews completed project tasks at month end, identifies billable milestones, pulls client details from the CRM, and creates invoices manually — a process that is time-consuming and prone to missed billings.

    Finance Agent
    0 min
Agent creates milestone invoices the moment tasks are marked Done

When a billable milestone is completed in Aqtos WORK, the agent creates the invoice in Aqtos MONEY with the correct amount and client details — nothing is missed at month end because invoicing is tied to task completion, not memory.

  • Operations
    75 min / week
Pre-standup task board review across all projects

An operations lead manually opens Aqtos before standup, checks each project for overdue or stalled tasks, notes any uptime issues, and mentally assembles a status picture — easily 15-20 minutes of tab-clicking every morning.

    Operations Agent
    0 min
Agent delivers a cross-team health digest every morning before standup

The Operations Agent lists all overdue and unassigned tasks across Aqtos projects, pulls website uptime from Aqtos TECH, and sends a structured digest to the ops channel — leadership enters standup with a live picture.

  • Legal
    30 min / week
    Manual contract expiry monitoring

The legal team maintains a separate spreadsheet of contract end dates and manually checks it each week, then creates renewal tasks in Aqtos when a contract comes into range — a process that depends on the spreadsheet being up to date.

    Legal Agent
    0 min
Agent flags expiring contracts 60 days out and creates structured renewal tasks

The Legal Agent scans Aqtos client records for contracts expiring within 60 days, creates renewal tasks with sub-tasks for review, negotiation, and signing, and notifies the account manager and legal lead — every renewal gets a proper runway.

FAQs

Questions about Aqtos + Actionist

How does Actionist connect to Aqtos?
Go to the Apps tab in Actionist, find Aqtos, and click Connect. You will be prompted for an API key from your Aqtos BOSS settings. In Aqtos, go to Settings → Developer → API Keys, generate a new key with the scopes for the modules your agents will access (Work, People, Money, Office, Tech), and paste it into Actionist. The agent runs a read-only test call to confirm the handshake before any actions run.
Which Aqtos modules can Actionist agents access?
Actionist agents can read and write across Aqtos's five core modules: WORK (tasks, projects, checklists), PEOPLE (clients, employees, CRM pipeline), MONEY (invoices, expenses), OFFICE (internal chat messages), and TECH (website uptime monitor status). The depth of access depends on the scopes you grant when generating the API key in Aqtos Developer Settings.
Can Actionist agents create tasks and projects in Aqtos automatically?
Yes. Agents can create tasks, update their stage and assignee, list all tasks in a project, and create new projects — all without anyone opening Aqtos. The most common pattern is triggering task creation from another app event: a deal closed in your CRM creates a delivery project, a completed milestone creates an invoice, or an approved hire creates an onboarding checklist. Any app connected to Actionist can feed data into Aqtos WORK.
Can Actionist send messages through Aqtos OFFICE chat?
Yes. The Send Internal Chat Message action lets agents post notifications directly into Aqtos OFFICE — to individual employees or team channels. This is useful for automated alerts (overdue tasks, invoice created, SLA breach) that need to appear in the same system where the work happens rather than requiring team members to context-switch to Slack or email. Note that Actionist does not monitor Aqtos OFFICE chat as a trigger source — outbound messaging is supported; inbound message detection is not.
Does Aqtos have real-time triggers that Actionist can listen to?
Based on Aqtos's current API capabilities, Aqtos does not expose webhook-based outbound triggers. Actionist agents interact with Aqtos through scheduled agent tasks — running on a cadence you define (daily, weekly, hourly) to read and update data. If you need to react to events in Aqtos, the recommended pattern is a scheduled polling task that checks for new records or status changes since the last run.
Can I use Actionist to automate Aqtos invoicing alongside my accounting software?
Yes. A common multi-step pattern is: (1) an Aqtos task marked Done triggers the agent, (2) the agent creates an invoice in Aqtos MONEY, (3) the agent logs the same invoice line in a Google Sheets revenue tracker or pushes it to QuickBooks or Xero via those apps' Actionist connections. Aqtos handles the client-facing invoice; your accounting tool gets a matching record. All three steps run in the same scheduled agent task.
How does Actionist handle the different Aqtos pricing plans?
Actionist connects to the Aqtos API regardless of whether your Aqtos plan is Starter, Pro, or Enterprise — the connection method (API key) is available across plans. The breadth of data your agent can access depends on which Aqtos modules your plan includes. If you are on the Starter plan with limited users or module access, those same limits apply when the agent makes API calls on your behalf.
What is the best way to combine Aqtos with other apps in Actionist workflows?
Aqtos works well as both a destination and a source in multi-app workflows. As a destination: route data from Google Sheets, Gmail, DocuSign, or your calendar into Aqtos tasks, client records, and invoices. As a source: pull task lists, client data, or expense records from Aqtos and feed them into Google Sheets for reporting, Slack for alerts, or QuickBooks for accounting. Any of Actionist's connected apps can work alongside Aqtos in the same workflow — the most effective setups use Aqtos as the operational system of record and other apps for communication, reporting, or specialist functions.
